Welcome Center-Display Cases Reservation Agreement

Reservation/Scheduling: Any registered student organization or university departments are eligible. Display case reservations may be made Monday through Friday from 9:00 am-4:30 pm at the Welcome Center. The Welcome Center is located on the 4th level of the Kansas Union. Reservations are made on a first-come-first serve bases. Display cases will be scheduled on a weekly bases from Monday through Sunday. There is a two (2) week limit per semester per organization, and only one (1) case may be schedule at a time.

Installation: Displays must be installed between Noon and 4:00 pm on Monday. Any group, which has not installed their display by 4:00 pm on Monday, will lose their right to use the case and must reschedule for a later date pending availability

Display Case Keys/Fixtures: Keys to the cases may be checked out from the Welcome Center and returned before 4:00 pm. Groups must leave their KUID as a deposit for the key. Display case fixtures-such as shelves and hooks-may be used in the slat-wall display cases. Non-stick removable tape may also be used in the slat-wall cases-glue, tacks, pins, staples, and regular tape will not be allowed in these cases. Staples, tacks and pins will be allowed in the tack-wall display cases. Any fixtures checked out will be accounted for when the display is dismantled.

Display Content: any display which intentionally degrades another race, gender, culture, religion, etc., and displays which promote alcohol abuse, drug use, slander or activity of an illegal nature will not be allowed in the cases. this decision will be at the discretion of the Program Director of Kansas Memorial Union. A display including any of the above will be taken down immediately and the sponsoring organization will lose their reservation privileges. The sponsoring organization/ department must be clearly identifiable as part of the display inside the case. The display cases may not be used for campus, local, state, or national election propaganda or promotional materials, unless all candidates/issues are informational represented. If the material displayed is in a foreign language, and English translation must be included in the display. Organizations should use caution when including items of value in displays. Kansas Memorial Union assumes no responsibilities for stolen, lost, or damaged items.

Removal: Displays must be removed during normal Welcome Center hours (Monday-Friday). Displays must be removed by 11:00 am on Monday morning. The Welcome Center staff will dismantle displays not removed by this time. Display case material will be kept in the Welcome Center for a period of 24 hours, after which time the material will be disposed. The Kansas Memorial Union and Welcome Center will assume no responsibility for lost, stolen, or damaged items.

Damages: Organizations and departments shall be responsible for any damages to display cases/fixtures while under their use, and shall be billed for the cost of fixing or replacing any damaged fixtures or cases.
