Application/Agreement/Contract - August 26-27, 2023
I, hereafter know as exhibitor, agree to enter into an Exhibitor relationship with West Virginia Popular Culture & Comic Book Convention (WVPopCon), whereby upon selection agree to exhibit/vend at WVPopCon.  Upon selection, WVPopCon will use the provided information to send an invoice.  WVPopCon may contact Exhibitor for more information.

WVPopCon offers the following:
1) Booths are 10 x 10 foot square areas
2) Each booth has a SINGLE 8 FOOT table.  Others are available for purchase.  
3) Two Weekend Passes per 10 x 10 booth purchased.  Others are available for purchase.  This will be strictly enforced.
3) Chairs are free.  Power is free.  Wi-Fi is free.  Parking is free.  We have a lot of freebies.
5) Free Promotion (Online and in Print Program) if table is paid in full 3 months (~June 1st) before the convention.  By the way, it helps if you promote you will be here also..

Terms and Conditions:
1. Exhibitor will follow all municipal, state, and federal laws regarding sales and sales tax.
2. Exhibitor will arrive and set up at the official times or they will not be allowed to participate in the event. Official set up times should be: Friday: 6:00 pm – 9:00 pm and/or Saturday: 6:00 am - 9:00 am (No load in after 9:00am, show begins on promptly at 10:00 am).
3. Exhibitor agrees to ONLY use loading/unloading doors, NOT the Main Entrance of the facilities for loading/unloading.  
4. Exhibitor AGREES to keep their table open during full hours of the event.  NO EARLY DEPARTURES.  
5. Exhibitor WILL NOT leave trash or garbage in their area after departure.  Dumpsters are available.  Empty boxes, etc. are to be placed there.
6. Exhibitor understands while there is no explicit ban on adult material (magazines, DVDs etc...), WVPopCon is a family friendly convention and children WILL be present – discretion should be used and no display of such material is acceptable.
7. Exhibitor understands any damage to the convention facilities is the sole responsibility of the Exhibitor.
8. Exhibitor agrees to forever harmless WVPopCon from any damages, loss, theft, cost, liability, act of God, terrorism or expense that arises from exhibiting at this convention.
9. Exhibitor understands subletting of space is not allowed without the consent of the Promoter.
10. Exhibitor will not create a solid wall of materials to the sides of their booth (back of booth is ok) thus blocking the view down artist alley row.  Exhibitor will be asked to re-position items doing so.
11. Exhibitor will not sell any unlicensed or bootleg material.  Promoter has right to eject Exhibitor doing so from event without refund.
12. Exhibitor will act appropriately at the event. (i.e. no bad behavior or language).
13. Any solicitation of or by Exhibitors and/or Attendees for other events is strictly prohibited without prior permission.
14. Any sound systems with Exhibitor must be kept at a low volume level.
15. No smoking or outside alcohol is permitted in the venue at any time.
16. Exhibitor is responsible for providing a biography/images for posting, and WVPopCon may need to be selective of the biography for promoting/printing/space reasons.  
17. Promoter has the right to revoke or refuse any registration form and to remove any Exhibitor from the event at any time.
18. Promoter has complete authority over the event and all rules and regulations.
19. Exhibitors failing to adhere to any of the above terms will not be invited to attend future events.
20. Exhibitor must cancel 4 months prior to event to receive a refund; after that time no refunds or roll-overs to future events will occur.
21. Exhibitor understands booths are not guaranteed until payment is made in full. Tables not paid in full two months prior to event are forfeit and will be resold.  Checks with insufficient funds will be charged a $25.00 service fee.

By filling in the form below, and by placing your initials, Exhibitor agrees to all of the above terms.  Exhibitor also certifies that, i) they are and shall remain in compliance with all State and local laws, regulations, statutes and rules, ii) they have the legal right to sell and offer for sale the products being sold at the Convention, and iii) they shall indemnify, defend, and hold harmless the Convention and any of its officers, directors, employees, and agents from claims in any way related to Exhibitor’s violation of any term of this Agreement. *
