The Desk Assistant (DA) is a student staff member employed by the University College Services. The DA is responsible for assisting the Coordinator of Student Engagement and Resident Advisors in the effective administration of the residence hall. This is accomplished through working at the building/complex Front Desk and performing related tasks as assigned by the Supervisor.
1. You must be a student in good standing; this means you need to maintain a 2.5 GPA throughout your term of employment. Failure to uphold this academic standard will lead to dismissal from the position.
2. Have good interpersonal skills and demonstrate the ability to relate to people.
3. Demonstrate good clerical and communication skills.
4. Have a flexible schedule to be available for desk hours when needed (i.e., every other weekend, finals week, openings and closings, etc.)
TERMS OF EMPLOYMENT
1. Attend all meetings and training sessions as specified by the University College and/or your supervisor
2. Employment begins and ends at a time designated by the University College Services and/or your Supervisor.
3. An hourly salary of $7.25
Desk Assistants are the receptionists for the residence hall and in that capacity should:
1. Be alert at all times while on-duty.
2. Be on time for all desk shifts i.e., 10 minutes prior to the beginning of shift.
3. Notify your supervisor,(When appropriate dependent upon the time of day or evening) or Public Safety of suspicious activities or policy violations as the situation dictates.
4. Visually monitor all ingress to as well as egress from, the building and greet residents, staff and guests as appropriate
5. Be courteous and helpful in all interactions, including telephone conversations. Take complete messages in a professional manner.
6. Sign out building/complex equipment to residents following the established procedure. When ending a shift for the night, collect all equipment that you signed out before locking up the Front Desk.
7. Assist people who appear to be unfamiliar with the building.
8. KEEP THE FRONT DESK AREA NEAT AND CLEAN, ESPECIALLY ON WEEKENDS WHEN THE REGULAR HOUSEKEEPING STAFF IS NOT AVAILABLE.
9. Follow established procedures regarding the use of the public address system.
10. Know and follow policies and procedures regarding keys in the individual buildings.
11. Be familiar with and enforce the University Guest Registration Policy.
12. Follow appropriate procedures regarding the building/complex door and fire alarm system.
13. Assist as required with the opening and securing of the building/complex at the beginning and end of each semester.
14. Remain calm and respond appropriately to any emergency situation while on-duty.
15. PERFORM SPECIFIC TASKS IN PRIORITY ORDER (INCLUDING TASK ASSIGNMENTS) AS ASSIGNED AND REQUESTED BY YOUR SUPERVISOR.
16. Be familiar with and abide by all University policies.
17. Make every effort to work in a cooperative fashion with University public safety officers, students, and Residence Life staff and University Student Housing Staff.
18. Attitude is EVERYTHING!! It is imperative that the Desk Assistant take control of their reactions in all situations. Should a Desk Assistant chose an attitude that is negatively affecting the staff, job action will be taken.
1. Keep yourself informed of all relevant information that affects the front desk operation.
2. If you have a problem or a question about how or why things are done, please ask your supervisor. There are no stupid questions!
3. Also, remember that your supervisors are also human, and will make mistakes. If you have another way of doing some things that is more efficient, please let your supervisors know! They would love to hear your suggestions.
4. Keep all channels of communication open and honest.
5. Keep your supervisor and Resident Advisors informed about desk activity via email and your supervisors will do the same.
6. Check your emails at least twice a day, preferably in the morning and then in the evening.
7. Get to know the staff and the residents.
8. Attitude is EVERYTHING!! It is imperative that the Desk Assistant take control of their reactions in all situations. Should a Desk Assistant chose an attitude that is negatively affecting the staff, job action will be taken.
1. Do not be fake! Be honest with your feelings and frustrations. If you do not let your supervisors or the other staff members know what is bothering you, they cannot address the issue.
2. Be a role model at all times – remember you are always being watched.
3. Professional behavior as a staff member should be maintained at all times. Please remember that you are representing Cheyney University and the University College.
1. Weekly and other task assignments are to be done as assigned in a timely manner.
2. You must attend all staff meetings, training sessions, shifts, and certain social events unless you spoke to your supervisor (via phone, email, or in person) at least one day in advance with a good reason. Appropriate documentation to support your absent may be requested from your supervisor.
3. Be sure to be on time for your shifts- that means 10 minutes early so you have time to settle in before starting your shift. If you are running late, please call to inform the current DA.
1. Please fill out logs accurately, efficiently, LEGIBLY, and most of all completely! If a resident or staff returns something, make sure to log item(s) back in the designated form.
2. If you must switch shifts, please fill out a Change of Shift form and have it submitted and approved no later than ONE DAY in advance. If it is not 24hrs before the shift it will not be approve, unless it is an emergency (i.e. deaths, serious illnesses). In these situations follow up with a phone call with your supervisor.
3. Act responsibly at all times while conducting business. You are expected to abide by all University and Housing policies.
4. As Desk Assistants, you are exposed to many confidential materials. It is your duty to be careful with the way you are handling such materials.
5. Always be aware of your surroundings, actions, and behavior.
Orientation Leader Job Description
Orientation Leaders will welcome new students to campus during Wolf Orientation. They work with the First Year Students one–on–one and show them what CU is all about! Not only will this be a great leadership opportunity, but you will also be a vital component in students getting acclimated to campus life and starting to build their own Cheyney Legacy & Spirit!

Peer Mentor Job Description
The Cheyney University Peer Mentor Program pairs an upper-class student (Mentor) with a group of no more than 40 incoming first year and transfer students to help make their transition to college easier. The program is designed to increase student retention. In addition, the program motivates students to work hard and encourages academic excellence. The program also encourages the development of meaningful relationships among all students.
Must have at least 30 credits at Cheyney University prior to the starting date
Must have at least a 2.75 cumulative grade point average (GPA).
The Peer Mentor position is expected to be a major priority, second only to course work. While in this position you may NOT:
1. Be a Resident Advisor
2. Be employed on campus (including work study)
Must exhibit positive role model behavior at all times, have a positive attitude, and work well with others

Peer Mentors have a general responsibility for serving as a supporter, assisting first year students in their personal adjustment to the University and working closely with faculty and staff. Each Peer Mentor will be assigned to a learning community. A Peer Mentor will fulfill the tasks listed below which will enhance Cheyney University in its endeavors to increase retention and foster the educational, career, financial, moral, personal, social, and spiritual development of our students. University College has high expectations for students who serve as Peer Mentors. The Peer Mentor position is expected to be a major priority, second only to course work because of the high level of leadership and responsibility required in this role.
Peer Mentor Responsibilities:
Help first year students successfully transition into college and toward graduation by:
1. Introducing them to campus resources and referring them to the proper services.
2. Developing a community conducive to student success by encouraging positive behaviors and discouraging behaviors that may be detrimental to the individual and/or community.
Support student participation in learning communities by:
1. Participating in (taking your mentees to) university sponsored events. Mandatory events include Entrepreneurial Leadership Center lectures and Arts and Lecture Series events.
2. Coordinating one learning community activity each month
3. Updating mentees about learning community activities and campus events regularly
4. Meeting with mentees in person on a weekly basis
Attend staff training in its entirety the week prior to the beginning of the fall semester and throughout the year as scheduled
Attend weekly Peer Mentor and one on one meetings with the Coordinator of Student Engagement.
Work a mandatory 10 hours per week
Regard any personal information about students as confidential except when disclosure is required to protect them or identified others from serious and foreseeable harm or when legal requirements demand that confidential information must be revealed to the Coordinator of Student Engagement
Resident Advisor Job Description
The Resident Advisor (RA) is a paraprofessional undergraduate staff member within University College and The Residential Living Program. The RA plays a vital role in facilitating an atmosphere of community upon a specific learning community, floor/suite, wing, and/or building. The RA is an integral member of the department and supports the mission and five priorities of the department and University.
Through instructional and on-going training programs, the RA is exposed to informational experiences which assist him/her in fostering an living learning environment which is conducive to the academic, social, spiritual, and personal development of each of his/her residents. This leadership position provides the RA with unique opportunities to further develop personal awareness and interpersonal communication skills vital for success in all facets of life. RAs play a vital role in the following areas:
An RA assumes a leadership role within the residential community. The position has broad responsibilities extending into all aspects of the student's physical, social, educational, and emotional well-being. Some methods in which this is achieved are through one-on-one interactions, group activities in the residence hall, and helping to maintain standards of community behavior through procedures and policy enforcement.
A primary responsibility of the RA position is developing relationships within our living learning community. This is a vital piece of the residential living experience. Using individual interactions along with select programming activities, the RAs build relationships and make lifelong friendships that in the end help to support all members of the community.
There are a lot of behind the scenes tasks that RAs complete to keep things running smoothly! These include working shifts at the hall's front desk, participating in a rotating on-call (duty) schedule during evenings and overnight, completing paperwork, opening and closing the hall, meeting with their supervisor weekly, handling tasks as assigned, participating in a weekly staff meeting, and on-going training throughout the year.
RAs are in a unique position to provide a lot of peer support to fellow college students. To do this, staff must be fair and respectful, be mindful of confidentiality and privacy. In addition, the staff must abide by all local, state, and federal laws as well University policies and procedures.
REMUNERATION: Will be provided yearly as an addendum.
TERMS OF EMPLOYMENT
1. Resident Advisors are REQUIRED to attend ALL training sessions including monthly weekend in-services. Fall training is in August and spring training is in January. Failure to attend designated and mandatory training and in-services will result in termination of the RA position.
2. The Resident Advisor is responsible to and receives direct supervision from the Coordinators of Student Engagement (CSE), Coordinator of Residential Community Development and Crisis Management (CRC), and/or Manager of Housing Operations and Auxiliary Services. From this point on, the Coordinators (CSEs &CRC) will be referred to as a supervisor. In other cases where deemed necessary, the Head RA will also be referred to if applicable.
3. The Resident Advisor position is expected to be a major priority, second only to academic course work. The Resident Advisor must not hold any SGCA executive board position, Student Trustee, and/or any major University paid position that may conflict with the duties and expectations of the RA position. Any outside employment must be approved in advance by the Coordinators of Student Engagement/Community Development & Crisis Management. If, in any of the Coordinator’s opinion, the Resident Advisor’s job performance becomes adversely affected, the decision will be reevaluated. However, a Resident Advisor cannot work more than fifteen hours per week if approved for outside employment with proper documentation such as a schedule.
4. Students who are graduating in December, who will be involved in student teaching or in a significant internship in the fall or spring semester, will be evaluated by the Coordinators for continued employment. Students may not be eligible to continue as a Resident Advisor for the upcoming semester if their past job performance does not meet the required job expectations and/or their future commitment requires extensive time away from the Resident Advisor position.
5. Attendance at all weekly staff meetings, workshops, and/or training programs as specified by the Coordinators of Student Engagement, Coordinator of Community Development & Crisis Management, Manager of Housing Operations & Auxiliary Services, Executive Director of University College and/or the Vice President for Student Affairs and Student Life is mandatory.
6. Employment begins at a time of hire and/or designated by the Executive Director of University College and officially ends with the close of the residence halls in the spring semester and completion of all designated RA responsibilities. Employment for subsequent years occurs through a re-application process which includes a scheduled evaluation each semester with your supervisor, and is contingent upon previous job performance. Reemployment is not guaranteed.
7. Due to the nature of the Resident Advisor position, each Resident Advisor is responsible, in an individual or team relationship, for the overall operation of a floor/suite, wing, suite or building and is expected to make contributions to the entire building. He/she is expected to be available to students during a majority of evening hours.
8. The Resident Advisor is required to work a certain number of hours (7-10 hours per week) at the residence hall front desk. Hours per week may vary depending upon the size of the building and staff. He/she must follow all procedures and policies outlined in the Resident Advisor manual and training sessions as it relates to the front desk operations, and receive directives from their supervisor and in some cases the Head Resident Advisor regarding this area of their position.
9. The Resident Advisor is to be on duty in the residence hall on assigned evenings from 8:00 p.m. to 8:00 a.m. The Resident Advisor must remain in his/her building for this time period and be ready to respond to any emergency situation that may arise by following emergency procedures outlined in the RA manual. RAs that are not on duty must also be available and visible throughout the day and evening. Details of Resident Advisor on-duty responsibilities can be found in the RA manual.
The front desk should be aware of your location while on duty at all times in case of an emergency.
10. The Resident Advisor must sleep in his/her room/suite unless given prior approval from the supervisor of his/her building. All RAs must abide by the guest policy regardless of a single room/suite.
11. The Resident Advisor is permitted to be away from campus two weekends per month. The Resident Advisor must notify the supervisor whenever leaving campus overnight at least 48hrs in advance. At least one-half of the total building staff must remain on campus on any given weekend.
12. The Resident Advisor must demonstrate the ability to be a consistent and a positive role model. The Resident Advisor is expected to abide by local, state, and federal laws, as well as all University rules and regulations. Any Resident Advisor found responsible for violating any aspect of the Student Code of Conduct, the CU Student Handbook, any University rules and regulations, and/or local, state, and federal laws, may be relieved of all job responsibilities, privileges, and remuneration. Be advised that the student may be required to relocate to another floor/suite and/or building should they be terminated form the Resident Advisor position. This is based on the direction of the supervisor and University College.
1. The Resident Advisor is to establish and maintain a close relationship with each student of the floor/suite/wing that he/she is assigned to in the building. In addition, the Resident Advisor should also make valid efforts to become acquainted with residents in the building. The Resident Advisor is to advise students within the limits of his/her capabilities on academic, social and personal matters. The Resident Advisor should be aware of student problems and concerns including adjustment, homesickness, roommate/suitemate(s) conflicts, etc., and be interested in student goals and values. He/she should be sensitive enough to students to recognize concerns and to work with them. The Resident Advisor will refer students who need assistance to the appropriate campus agencies and/or their supervisor.
2. The Resident Advisor will work to create an atmosphere that is safe and conducive to studying.
3. The Resident Advisor will be familiar with University and departmental policies and regulations and be able to communicate them to students. The Resident Advisor will enforce policies and provide proper documentation and follow-up in a timely manner, as prescribed by the Chair of the University Disciplinary Committee and University College.
4. In the case of long absences, sickness, accidents, and/or unusual behavior on the part of students, the Resident Advisor is expected to report the situation immediately to their supervisor and the appropriate office i.e. Public Safety, Health Services, University College etc.
5. The Resident Advisor will support, participate, and encourage resident participation in Residence Hall Council in his/her area and keep close contact with the area representatives. The supervisor of each area will set specific expectations for their area.
6. The Resident Advisor will act as a liaison between students on the floor/suite/wing/building and their supervisor.
7. The Resident Advisor will assist with staff selection scheduled via the Student Leadership Information Sessions and shall help identify and encourage potential student leaders and Resident Advisor and/ or other Student Leadership candidates to get involved within the residence halls as well as campus wide.
1. University College and Residential Living views programming as a major component of the educational responsibilities of the Resident Advisor and a constant effort to improve programming is expected of all staff members.
2. Resident Advisors are required to actively participate in the planning, promotion, execution, and evaluation of required programs as outlined in the programming model (each semester) under the supervision of their supervisor. Additionally, one community service project per academic semester, completed by the entire staff and building involvement is required. Successful programming is of vital importance in the enhancement of the social, educational, spiritual, and developmental growth of students.
3. The Resident Advisor is expected to prepare necessary reports, logs, and evaluations. This includes assisting with the maintenance of accurate student room/suite inventory and damage records. The RA is also responsible for Health and Safety Inspections, incident reports, information reports, building weekly reports, and any other reports as requested.
4. The Resident Advisor is required to perform other duties as assigned within the scope of the job description by his/her supervisor.
5. The Resident Advisor will assist with the room/suite Selection Process, Opening/Check-In, Closing/Move-Out, Discover Week/Days, Community Day, May Weekend, Founder’s Day, Parents’ Weekend, Homecoming, and other major events as needed and when applicable.
1. Resident Advisors must possess and maintain a minimum of a 2.50 semester and Cumulative Grade Point Average. If during the semester of being an RA you receive a 2.45 GPA, you will have one semester to raise your GPA back to 2.50. Failure to do so will result in termination of the RA position. Should an RA fall below a 2.45 GPA, their RA position will be terminated effective immediately.
2. RAs who fail to obtain a 2.50 semester GPA but who meet the Cumulative GPA requirement will be evaluated on case by case bases by the their supervisor and the Executive Director of University College as to the outcome of their continued employment as an RA.
3. RA applicants are required to possess a minimum of 24 undergraduate credits to apply for the RA position. Exceptions may be made in the case of transfer students and case by case basis. RAs must be a full-time student and maintain a minimum of 12 credits per semester. Exceptions may be made for seniors who have one semester before graduating and depending on the staff member’s previous job performance.
4. To insure RAs success in this position, RAs who are involved in other high volume programs (athletics, band, etc.) must communicate the requirements and expectations of this position to the director of these programs. RAs will not be excused from mandatory training sessions and required job responsibilities.
5. RAs must be willing and able to exhibit role model behavior at all times, both in and out of the classroom, throughout campus in all aspects of the RA position, and attend their scheduled classes.
