This event takes place on June 28, 2020, from 10 AM to 6 PM. You are expected to be at the event for the duration or assign your booth to someone in your absence. Setup will begin at 8 AM on June 28, 2020. All participants are expected to be off the fairgrounds no later than 8 PM on June 28, 2020.
Confirmation: Exhibitors are not confirmed until full payment is made. Payment is due within 10 calendar days of the invoice. Payment plans are available, please contact
for information. There will be a small convenience fee added to any payment plans.
Cancellation: Cancellation 60 or more days prior to the event will result in a 50% cancellation fee + any deposit paid. All cancellations made less than 60 days prior to the event are non-refundable.
Payment of Booth Fees: Once you have been notified of an approved application, your payment is due IMMEDIATELY to ensure your spot. If your payment and Exhibitor Contract are not received (Exhibitor Contracts are signed electronically) within 10 calendar days of being notified VIA EMAIL, your spot will be given to the next business on the list. Exhibitor fees are payable by check, PayPal, or Stripe only. A 5% processing fee will be applied to electronic payments. If paying by check, check must be received within 10 calendar days of invoice or your spot will be forfeited and you will be placed on a waitlist. Any non-sufficient checks will be immediately turned over to a collections agency and the Exhibitor will be banned from participating in this event and any future events.
Exhibitor Announcements: All communication will take place in a Facebook group that will be created by March 1, 2020. Only participating Exhibitors, sponsors, and teachers will have access to this group, along with the administration of LoCoWellness and SAVASANATION!
Exhibitor Selection: The selection process is on a rolling basis with confirmation on all applications being made no later than May 31, 2020 (Early bird acceptance is March 15, 2020). The selection process takes the following into account: uniqueness, history of vending at LoCoWellness/SAVASANATION!, booth placement requests and more.
Application Acceptance/Booth Placement: Exhibitors will receive exact booth assignments in the pre-arrival Exhibitor kit and are subject to change before and during the event. Application acceptance/booth placement is made at the discretion of LoCoWellness/SAVASANATION! and is based on the package that has been purchased by the Exhibitor, previous sales success, previous history with LoCoWellness/SAVASANATION!, special set up and electrical requirements and marketability of product as decided by LoCoWellness/SAVASANATION!.
Exhibitor Application/Payment Schedule:
January 10, 2020: Exhibitor Application Opens
February 28, 2020: Early Bird Application Closes
March 15, 2020: Early Bird Exhibitors announced (10 days to pay your invoice!)
May 15, 2020: Exhibitor Application Closes
May 31, 2020: All Exhibitors announced
June 1, 2020: All products/services sold disclosure deadline
Weather: Weather can change quickly and this is a rain or shine event. No refunds will be made due to weather conditions.
Liability Insurance: Exhibitor shall maintain a valid liability (and for practitioners malpractice) insurance policy with $1,000,000 minimum coverage naming LoCoWellness, LLC as an additional insured. Failure to provide proof of coverage by the deadline (June 1, 2020) shall result in the release of your booth space with no refund.
Security: Exhibitor is solely responsible for securing exhibits and merchandise at night. There will be overnight security of the Exhibitor areas.
Hours: Exhibitor booth must be open and staffed in ordinance with Exhibitor Hours (10 AM - 6 PM). Setup/breakdown will be 2 hours before and 2 hours after the event.
Exhibitor Tent Requirements: All tents must be 10x10 tents and Exhibitors must provide tent with weights - 25lbs or heavier (Exhibitors may not use stakes to secure tent). Your space will be limited to the tent, and all Exhibitors are expected to stay within the 10x10 area and not assume more space is available on the fairgrounds. Violators will be removed from the event without a refund.
Food Vendors: You will be required to sign a separate liability waiver and carry additional insurance as required. Food vendors must have a valid and current permit from the Loudoun County Health Department and follow all Loudoun County regulations during the event. Any violations not corrected during the event will result in removal from the event with no refund. These regulations will be addressed separately with each food vendor prior to the event.
Vehicles: No vehicles of any kind may be driven onto the fairgrounds outside of designated parking/unloading areas.
Product sales and taxes: LoCoWellness Abundance Fest 2020 reserves the right to deny sale of items that have not been listed on the application. No products may be sold that are in violation of Loudoun County, Virginia, or Federal laws. Exhibitor will be solely responsible for any and all sales, use, or other taxes, fees, permits, and surcharges imposed by any federal, state, county, or municipality in connection with the fulfillment of the Exhibitor’s obligations under the this Agreement and any other agreements. Product/service disclosure deadline is June 1, 2020.
Exhibitor agrees to indemnify and hold harmless LoCoWellness, LLC, its parents, subsidiaries, partners, sponsors, agents, employees and assigns from any and all claims, causes of action suits, damages, theft, injuries and losses to any person or goods arising out of relating to the Festival. Exhibitor agrees that this release shall be a full and final compromise and release of any claims, demands, actions, and causes of action, known or unknown.
LoCoWellness Abundance Fest 2020 shall not be liable for any failure or delay in performance arising from causes beyond LoCoWellness Abundance Fest 2020’s reasonable control, including, without limitation, weather, acts of God, fire, flood, terrorism, strikes, failure of suppliers or subcontractors to substantially meet its performance obligations under this Agreement.
Exhibitor shall permit photographs and video recording of their booths, employees and agents. All photographs and video footage shall be the sole property of LoCoWellness Abundance Fest 2020 and may be exploited by LoCoWellness Abundance Fest 2020 in any manner or media without obligation to Exhibitor.
Termination. Before the Event, any agreement, including this Agreement, between LoCoWellness Abundance Fest 2020 and Exhibitor will be subject to cancellation by LoCoWellness Abundance Fest 2020 with or without cause upon 3 days prior written notice to Exhibitor at no cost to LoCoWellness Abundance Fest 2020.
Exhibitor will be responsible for any and all damages, injuries, claims, charges and costs, whether tangible or intangible, to persons or property that in any way arise out of or relate to the performance of the Services whether performed by Exhibitor or any other persons/entities under the Exhibitor’s control or direction.
LoCoWellness Abundance Fest 2020 has no liability for damage or theft of Exhibitor’s materials or equipment except to the extent LoCoWellness Abundance Fest 2020 has agreed in writing to assume liability for materials on-site and then only for any damage or theft solely due to the negligence or misconduct of LoCoWellness Abundance Fest 2020.
