Terms & Conditions

EXAMINATION ARRANGEMENT

Candidates registered to a particular course must follow the exam date accompanying that course.

All students are required to present authorised photographic identification at all examinations and may be refused entry to an examination if not provided.

Candidates who are absent from their registered exam due to illness must inform us on the day of the exam and provide medical proof (doctor certificate or similar document) within three (3) days. Under such conditions, candidates will be charged a re-registration fee for a future exam date. Failure to provide notice will result in a forfeit of the exam fee and the candidate will have to pay the full exam fee.

 

BOOKING TERMS AND CONDITIONS

All bookings of all our events and WSET courses are processed on the understanding and basis that you have read and agreed to the terms and conditions. 

1. Restrictions on Application (All Courses)

a. Candidates applying for a course may not apply for examination only (except for resit examinations).

b. Candidates applying must be 18 years old or over.


2. Application Payment, Allocation and Refund

a. Vacancies are allocated strictly in the order that complete and valid application forms are received. An application form without the full fee and proof of payment or invoice request will be invalid and no course/examination booking will be confirmed until the full fee has been received.

If an organisation requests an invoice for a place on a course for one of its employees and that employee, at any time subsequent to the invoice being raised, leaves the organisation’s employment - for whatever reason - the organisation which requested the invoice remains liable to pay the full course fee.

Minimum numbers of fully paid students are required for all courses and resits for exams to run. If on reaching the application deadline, there are insufficient students, that course or exam will be rescheduled if possible (Within one year from the course start date), otherwise it will be cancelled and a full refund will be arranged for those students who have already paid.

All courses and examinations are subject to minimum student numbers. Pinewood Wine Society reserves the right to change tutors, reschedule, cancel, close or combine events or WSET courses in the 7 days prior to the planned start date of the course.

WSET courses fees will only be refunded in full – if Pinewood Wine Society cancels a course if enrolments do not reach the required minimum numbers – notification (by email and by phone) will be made in the 7 days prior to the planned start date of the course. Students must note that refunds can take 6 to 8 weeks to process.

Cancellation of Application (All Courses)

If an application is cancelled, for whatever reason (including illnesses and accidents with certification), up to 8 working days prior to the start of the course or 30 days prior to the first examination relating to that course (whichever comes first), an administration fee of HK$500 will be charged, plus the cost of any study materials supplied, and the remainder of the course fee will be returned to the payee.

If an application is cancelled, for whatever reason (including illnesses and accidents with certification), during the 7 working days prior to the start of the course or less than 30 days prior to the first examination relating to that course (whichever comes first), or at any time after the start of the course or after the first examination relating to the course, the course fee remains payable in full and therefore no refund will be given.

Pinewood Wine Society endeavours not to make any changes, however reserves the right to change the published prices of its programmes or materials or cancel courses or examinations 7 days prior to the planned start date of the course.

Transferral of Application (All Courses)

Once an application has been made, any transfer to another course - or to another applicant – is subject to availability and will incur an administration fee of HK$500. Transfers will only be accepted up to 8 working days prior to the start of the course or 30 days prior to the first examination relating to that course (whichever comes first).

Absence of Session(s)

If there are any absence of session(s) in all courses, Pinewood Wine Society will try to assist and find a suitable alternative session but there is no guarantee that such an alternative will be available. If no suitable alternative is available before the registered examination, candidates may opt to take the examination without having done the missed session(s). Otherwise, the examination will also need to be postponed in which case an administration fee of will be incurred for postponement made up to 30 days prior to the examination date, or the full resit fee for postponement made within 30 days prior to the examination date.

No requests will be processed without payment in advance.

Examination Arrangement (All Courses)

All applications will automatically be registered for a place on the examination date(s) relating to that course. Any applicant who wishes to postpone their examination within 30 days of the registered examination date will be charged the full resit fee.

Any changes to the registered examination date should be made at least 30 days prior to the registered examination date. Each change of examination date will incur an administration fee of HK$500. Upon any postponement of the examination date, the examination must be completed within 1 year of the final session of the course.

Any absence from a candidate’s registered examination will result in the forfeiture of that candidate’s full examination fee. Registration for any subsequent examination will incur the full examination fee to be paid again in advance.

Candidates who are absent from their registered examination due to illness must inform us before the examination and provide medical proof (doctor’s certificate or similar document) within 3 working days of the examination date. Under such conditions, candidates will not need to pay the full examination fee again but will be charged a re-registration fee for a future examination date. Payment must be completed and payment proof provided within 7 working days and the re-registered examination must be taken within 1 year. Failure to provide notice and payment proof before the deadline will result in a forfeit of the full examination fee and the candidate will have to pay the full examination fee again for any future examination date.

Candidates requiring special examination conditions because of dyslexia or other medical reasons must submit their request at the time of their application to Pinewood Wine Society. Such requests must be supported by a doctor’s certificate or similar document.

Examination results will be sent by registered post with an email notifying that the results have been released. Under no circumstances will the results be disclosed over the phone, by fax or by email.

Any uncollected examination results will be destroyed after 6 months.

If a candidate needs to have their replacement for the qualification pin and/or certificate, the candidate can send their request by completing the WSET Replacement Certificate Request Form together with the appropriate fee as detailed on the form.

Gift Vouchers & Special Promotions

Gift vouchers or special promotions are non-refundable & non-exchangeable or non-redeemable for cash

PINEWOOD WINE SOCIETY PERSONAL INFORMATION COLLECTION STATEMENT

The personal data collected in this application will be used by Pinewood Wine Society to process your registration for the wine course and/or examination(s) detailed in the application form and for examination registration purposes.

Failure to provide any personal data included in the form (including full details of date of birth) may result in an inability on the part of Pinewood Wine Society to successfully register you for the appropriate course and examination.

Your data may be transferred to the Wine and Spirit Education Trust (WSET) in the United Kingdom for examination purposes as well as to confirm that you have previously passed any relevant examination in order to qualify for the course and/or examination(s) you are applying for.

For us to provide you with products and services, we on occasion share some of your personal information with certain approved third parties. These include WSET, examiners, suppliers (for example, our IT services provider) and regulatory bodies (for example, Ofqual, the Charity Commission or Information Commissioner’s Office).

We reserve the right to disclose your personal information to third parties:

(a) in the event that we buy or sell any business or assets, in which case we may disclose your personal information to the prospective buyer or seller of such business or assets;

(b) if substantially all of our assets are acquired by a third party, personal information held by us may be one of the transferred assets;

(c) with our professional advisors e.g., lawyers, where necessary to protect our interests;

(d) if we are under any legal or regulatory obligation to do so; and

(e) in connection with any legal proceedings or prospective legal proceedings, in order to establish, exercise or defend our legal rights.

If we share your information with any other third party, we will let you know in advance.

TYPHOON AND BLACK RAINSTORM WARNING SIGNALS ARRANGEMENTS

For classes and exams that have not yet started:

If Typhoon Signal No.8 (or above) or the Black Rainstorm Warning Signal are in force after the following times, classes and exams will be cancelled as indicated:

6:30 a.m. – Classes and exams start before 2:00 p.m.

11:00 a.m. – Afternoon classes and exams that start between 2:00 p.m. & 6:00 p. m.

3:00 p.m. – Evening classes and exams that start from 6:00 p.m. onwards

For the classes and exams that have already started:

When Typhoon Signal No.8 or above is hoisted / is likely to be issued within 2 hours of the classes/examinations time frame – Immediately suspend

When Black Rainstorm Signal is announced – Continue

When Typhoon Signal No.3 or above is hoisted – Continue

When Red Rainstorm Signal is announced – Continue

Under all other signals and circumstances, classes and exams will proceed as scheduled.
