LUMA 2026 Vendor Application
All vendors must apply and be approved. You will be notified of approval or denial via email. Any questions, please contact vendors@lumaarts.org

DATES/TIMES
Friday, September 11 sundown to midnight
Saturday, September 12 sundown to midnight

Setup begins at 3pm both nights. You will not be allowed to enter the festival footprint prior to 3pm. You must be setup and running by 5pm. 

Vendors are required to stay until 12:15am each night.

ENTRANCE/EXIT
Most of downtown will be blocked off for the festival. An entrance and exit location for set-up/breakdown will be provided to you prior to the festival. You will be permitted to leave Friday after the festival using the pre-determined exits. 

ELECTRICITY/GENERATORS
Electricity is not available. You must provide a generator to suit your needs. The Binghamton Fire Department must inspect your generator. Noise from your generator must not interfere with the festival. If you are near an art installation, your generator must go on the side of your space farthest from the art. If it is too loud, we will require you to turn it off.

LIGHTING
All of the street lights and building lights are turned off during the festival. It will be very dark. You will have to provide some kind of lighting so people know you are open and can see what you have on display. Companies like Jackery, Halo, and Flashfish make portable batteries that can run a string of lights. Stores like Five Below sell small strings of lights that run off AA/AAA batteries. Home Depot and Lowes selling camping lanterns that run on cordless drill batteries.

YOUR SPACE
Spaces are approximately 12' x 12'.  Food vendors are assumed to be in a truck that takes three spaces. Tents, tables, chairs, or other needs are NOT provided. All of your items must fit inside your vendor space. Some additional space may be available if needed; please contact vendors@lumaarts.org. 

ACCESSIBILITY
Please ensure that your station is accessible to people of all needs and abilities.

PARKING
Parking is prohibited inside the festival space. Vendors are responsible for finding a parking spot. You may drive into the festival space to load/unload, but vehicles must be safely parked out of the way before 430pm and must remain there until the festival has ended each day.

WI-FI
There is no Wi-Fi available.

SECURITY
We do not provide security for any vendors. Anything left overnight is at high risk of damage from people and weather.

SPEAKERS / MUSIC
Music at a reasonable volume level may be played for your customers inside your space or waiting in line. Use of a speaker system to promote your services/goods is not permitted.

PROHIBITED VENDOR ITEMS
- Light up items
- Items with offensive or suggestive language
- Alcohol (except for the Beer Garden Sponsor)
- LUMA reserves the right to exclude any items or vendors that it deems inappropriate. You will be asked to describe your items to ensure compliance before approval.

FOOD VENDORS 
1. Propane tanks larger than 20lb cylinders, typical home gas grill size, will need a Binghamton Fire Department propane permit. If you will have 3 or more 20lb cylinders, you will need a permit. Permits can be found here:

2. All food/beverage vendors must have their NYS Health Department permit visible at all times.

3. The City of Binghamton requires an E2 permit for all food vendors

4. The tires of your vehicle must be within 18" of the curb.

5. Tables, signs, flags, or any other items must fit inside your space. The front of your space must be even with all other vendors (food and non-food) in your row.

NON-COMPLIANCE REMOVAL
Vendors who violate the rules and regulations set forth by LUMA will be removed from the festival. 

The exhibitor agrees to indemnify and hold harmless the LUMA Projection Arts Festival from and against any loss or expense by reason of any liability by or upon the sponsors for damages because of bodily injuries, at any time resulting there from accidents sustained by any person or persons on account of damage to property rising out of or in consequence of the LUMA Festival, whether such injuries to persons or damage to property are due or claimed to be due to any negligence of the sponsors, their agents, servants or employees. By submitting this application, the applicant acknowledges that he/she has read the description above the application and agrees to abide by the terms and conditions therein. Applicant further acknowledges that all decisions of the LUMA Festival are final and that your application may be rejected for any reason whatsoever.

What category of vendor are you? *
LUMA organizers have sole discretion over determining price category for vendors.

Artists / Craft vendors are those that hand make items and sell them (i.e. painting, pottery, sculptures, poetry, photography, woodworking, etc.). If you are purchasing product and reselling it, that is regarded as a business. 

Food vendors are those that prepare/cook food at the event for immediate consumption. If you sell food in containers that is not intended for consumption during the event (i.e. bottled juice, marinades, packaged candy, seasonings), that is a business and not a food vendor.
