Coolings Food and Produce Market run by Keep it Local Events Terms & Conditions Events organised by Anne Marriner and Sally Ross 26 Musgrave Avenue East Grinstead, RH19 4BS Anne – 07902 151850 Sally – 07773 779581 PARKING All instructions with regard to parking will be issued to exhibitors one week prior to an event. It is imperative that all stallholders move their vehicles as per our instructions once they have unloaded and prior to setting up their stall allowing other exhibitors easy access to the venue and the customers access once the event starts. TIMING We will be on site from 8am on a Saturday for set up and we have one hour clear down time after an event finishes, if you are running late on the morning of an event please contact Anne or Sally as soon as you know there is a problem. You must not to begin to take down your stalls or cease trading prior to the advertised finish time. Any participants, who leave the event prior to the advertised finish time, may forfeit the right to attend any future events with immediate effect. EVENT LAYOUT AND PITCH SPACE We are not able to alter any stallholder’s allocated pitch on the day of the event, you set up in order of arrival on the day of the event. Please note there is no power supply in the outdoor area that the Food and Produce Market is set up in. All pitches are spaced for a 3mx3m gazebo and any disputes should be bought to the attention will be set up in of the event organisers who reserve the right to charge an additional fee if deemed necessary. All rubbish must be removed from your pitch at the end of the event. PAPERWORK AND INSURANCE Pitches will not be allocated to any participant until the appropriate paperwork has been completed, received and checked by the event organisers. All relevant and up to date licences and certificates pertaining to the exhibitors activities and products must be on display and clearly visible during an event if applicable. Only exhibitors given permission to sell alcohol by the event organisers, and appropriately licensed by the local authority, may do so. If you are found to be selling, sampling or giving away alcohol from your stand without the appropriate permission you may be told to cease trading. We strongly advise all stallholders to have Public Liability Insurance and we request a copy of your insurance with your payment. Any stallholder applying with insurance will be given priority booking over an applicant without insurance. If you do not currently have insurance we can recommend G.M. BEHAVIOUR Exhibitors must ensure that business is conducted in a professional manner and that nothing is done that will affect the reputation of the event or interfere with other stallholders or customers in any way. The event organisers have the right to remove any exhibitor from the site who behaves in a way that affects the reputation of the event. The organiser’s decision will be final. PAYMENT Payment will be requested at the time of booking confirmation being sent out by the organisers. We request that all payments are sent as post dated cheques for all the bookings for the year ahead. Cheques will need to be dated for 1st on the month that the Food and Produce Market is being held in, for example the cheque for attendance to the May Market should be dated 1st May. Any stallholder failing to send post dated cheques to the organisers may have their future bookings cancelled as per the terms of the cancellation policy. Alternatively cash can be paid at the market for the forthcoming market. PRODUCT The organisers reserve the right to ask any stallholder to remove any product displayed at an event that was not listed on the stallholder’s initial application or given prior agreement to display by the organisers before an event. All stallholders must mark clearly and accurately the price of any product for sale and label clearly any minimum purchase requirements. This is in line with the The Price Marking Order (2004). CANCELLATION POLICY Cancellations will be refunded in full up to one week before the event. After that, no refund is possible. Failure to notify us of being unable to attend an event in the week prior to the event or even on the day (due to sickness etc) may result in cancellation of future bookings with “Keep it Local” events without refund. If you need to advise us of cancellation in the 48 hours prior to an event please notify us by telephone, Sally on 07773 779581 or Anne on 07902 151850 (you will be able to leave a message at any time). No refunds will be given in the event of adverse weather conditions, poor attendance or sales, or in the event of any other adverse circumstances that may occur outside the control of the event organisers. Any stallholder failing to attend the market for at least two or more consecutive months will have their pitch booking reviewed by the organisers and the offer of a pitch could be terminated with immediate effect in this instance. We reserve the right to terminate any offer of a pitch at any time should we feel that any of the above has been infringed or should we feel that the number of visitors are not sufficient for the number of suppliers of any one food type. We would give a minimum of one week’s notice prior to an event.
