The Carl J. Shapiro Theater, located in the Shapiro Campus Center, is one of the most popular spaces on the Brandeis campus. The 248-seat auditorium offers a wonderful arena for lectures, concerts, theatrical productions, and much more. Basic rental details are listed below. Please fill out the attached Theater Reservation Form and return to the Department of Student Activities. After reviewing the space request, Student Activities staff in cooperation with Conference and Events Services, will determine your final price quote for the usage. If approved, contract will be provided by the University. Please note that additional fees may be assessed based on the level of technology used for the event and services required during your event. A basic daily $750 fee covers the following services provided by the Carl J. Shapiro Theater:

o Technical equipment including 3 wireless microphones, basic theatrical lighting, and sound board use.
o Set-up for your event and any needed house management duties.
o One technical staff member for the event to run any AV needs. (More in-depth technical needs may require additional fees).
o Use of the green room and theater for up to 8 hours per day. Rehearsal and tech times should be detailed on request.
o Additional accommodations may be provided. Please discuss further needs with staff from the Department of Student Activities.

As the primary purpose of the theater is for the Brandeis campus, priority is given to Brandeis clubs, organizations and University departments. Availability is limited to summer months and semester breaks and may be based on staff availability. In addition, renters must supply Brandeis with certificate of insurance as noted in legal terms below.

Payment of the rental fee should be submitted by check to Conference and Events Services. A quote for the total cost will be provided for your group at least two weeks prior to your event. All checks should be made out to Brandeis University.

The University shall not be liable for any damages suffered by Renter in connection with the cancellation of this agreement. The Renter and all participants will comply strictly with all federal, state and local laws and ordinances including all legal restrictions governing the consumption of alcohol.
No firearms, weapons, explosive fireworks or incendiary devices of any kind shall be allowed on the Licensed Premises or any other property of the University. Renter shall be fully responsible for compliance with all federal, state and local laws and regulations applicable to its conference, camp or program, and agrees to indemnify the University against any costs or damages rising from any violation(s) or such laws or regulations.

Renter agrees to indemnify, defend and hold harmless the University, its Trustees, officers, agents, employees and contractors, from any liability, cost or expense in connection with or arising from any claim whatsoever for injury, death, loss or damage to any person or to the property of any person or of the University during the period in which the privileges hereunder are granted or occurring in the course of or as a result of the exercise of the privileges herein granted. This indemnity and hold harmless agreement shall include indemnity against all costs, expenses, judgments, arbitration, settlements, penalties, and liabilities (including without limitation attorney’s fees) incurred in connection with any claim or proceedings brought thereon and the defense thereof, including without limitation, any claim related to copyright or trademark laws or any claims related to defamation, privacy rights, false arrest and the like.

Renter agrees to obtain and maintain in full force and effect a policy or policies of public liability and property damage insurance, in form and substance satisfactory to the University, under which the University and Renter are named as insured and under which the insurer agrees to indemnify and hold the University harmless from and against all costs, expenses and/or liability arising out of or based upon any and all claims, accidents, injuries and damage mentioned in the immediately preceding paragraph or upon the indemnification obligations of Renter set forth in such paragraph. The “other insurance” clause shall be deleted from such policy so as to make it clear that the coverage of such policy is primary and any coverage under the University’s other policies is secondary. Such policy shall be endorsed to provide a separate general aggregate limit for the activities covered by this Agreement. Each such policy shall be non cancelable with respect to the University without thirty (30) days written notice to the University, and a duplicate original or certificate thereof shall be delivered to the University by no later than 30 days prior to the beginning date of the program.

The University reserves the right to refuse performance under this Agreement if such certificate is not provided as specified above.

If any policy is canceled, Renter must obtain and provide the University with evidence of a replacement policy on equivalent terms as a condition to Renter’s right hereunder to utilize the Licensed Premises.

The minimum limits of liability of such insurance shall be $1,000,000 bodily injury, personal injury and property liability combined single limit (Where applicable, the Renter will also obtain and provide the University with motor vehicle insurance with $1,000,000 bodily injury and property damage liability coverage and worker’s compensation insurance covering the activities of the Renter).

Please note that the submission of this form does not guarantee the theater’s use unless your request is confirmed by the Department of Student Activities in cooperation with Conference and Event Services.
