Mahabhuta Yoga VegFest 2023 Food & Artisan Vendor Application
In the spirit of Mahabhuta Yoga VegFest-- We respectfully require that all your ingredients, items displayed, items sold and sampled, advertisements, not be, contain, reference the use of, or test on, animals. This includes but is not limited to the following items and or ingredients, flesh, dairy, eggs, honey, beeswax, gelatin, coral, silk, skin products (such as cow/leather, suede, snake, alligator, wool, feathers, fur, etc.). Man made substitutions are welcome. If you sell any products including, but not limited to, these ingredients you will be asked to remove them from your station without exception. This is NOT a vegetarian event. If you have any products or ingredients you are unsure of please send an email with your inquiry to mahabhutayogavegvest@gmail.com.

Booth / Space Reservation-- Vendor application shall not become binding between vendor and Mahabhuta Yoga VegFest until: 1. Vendor fills out and submits the application 2. Fees have been paid to Mahabhuta Yoga VegFest 3. Application is approved by Mahabhuta event Organizers 4. Notification of acceptance or denial will be by mail or email within 7 business days of the application deadline date (October 1, 2023 ). 5. If denied, you will be fully refunded.
 
Mahabhuta Yoga VegFest likes to feature unique product exhibitors participating at this event. Mahabhuta Yoga VegFest reserves the right to limit or accept the number of vendors providing similar type products or services.  It is the vendor's responsibility to inquire about this.  

Cancellation / Refund Policy (other than weather)-- No refunds will be given once application is submitted with payment.

Cost-- Art Vendors (only indoor space is allowed onsite at Sanders Beach)
$350 per vendor for indoor space. Limited to 8 vendors (8 foot table permitted.)
$175 per vendor for indoor space. Limited to 8 vendors (4 foot table permitted.)

Food Vendors
$250 plus 5 ($15 food Vouchers). Limited to 8 vendors (Food Trucks allowed on premises) We have a few spaces for food vendors on the terrace ( no tents required)

Tear down-- Tear down starts on Sunday, November 12th, 2023 at 6 PM. Vendors are required to stay for the entire duration of the event unless otherwise instructed by a Mahabhuta Director. Vendors responsibility is to remove everything that was brought in. Vendor is to leave the area as clean as you received it.

Weather Concerns-- Should any contingency interrupt or prevent the holding of the event, including weather, Mahabhuta Yoga VegFest shall in no way be liable to the Vendor. Fees/payments to Mahabhuta Yoga VegFest cannot be refunded, as they are distributed prior to the event for liability insurance, facility/operating costs, supplies, marketing/promotion, and other event related expenses.  

Sales Tax-- Please do not contact Mahabhuta Yoga VegFest with your tax questions. Vendors are responsible to be in compliance with the regulations of their State concerning their product(s) and to have this information available if needed. As business owners, it is your responsibility to collect and submit the appropriate sales taxes to state and federal agencies. 

  Rules for Vendor
1. At the end of the event, remove/take with you all of your supplies.
2. Vendor must have their booth staffed during event hours.
3. Vendor is free to attend evening concerts.
4. Vendor activities are restricted to the allotted space. Do not solicit beyond the boundaries of your space.
5. Tear down starts at 6PM on Sunday.  
6. Space not occupied by the opening of the event will be considered a no-show, and deemed forfeited, and will be reused by Mahabhuta Yoga VegFest without any obligation or refund whatsoever.  
7. Failure to comply in any respect with the terms, conditions, rules, or regulations of this event shall result in the termination of the rights of the Vendor.  
8. Vendor agrees to indemnify, save, and hold harmless Organizer, including its officers, staff, and volunteers from all liability, claims, causes of action, damages, theft, injuries, costs, expenses and losses to any person or goods/property arising out of or connected in any way with the participation and renting of space at Mahabhuta Yoga VegFest. Vendor agrees that this release is intended to be a full and final compromise and release of any claims, demands, actions, and causes of action, known or unknown. Organizer and its officers, staff, and volunteers will not be responsible for any merchandise, cash, displays or personal items/property lost, damaged, or stolen during participation in Mahabhuta Yoga VegFest. Vendor is solely responsible for any and all injuries to persons or damages of property or any other injury, claim, damage or loss of whatever nature, arising directly or indirectly from activities at Pensacola Veg Fest.
9. Vendor will agree to promote, in advance of and at the event, their participation at Mahabhuta Yoga Veg Fest through social networking.  
10. This is a ZERO WASTE EVENT Please use recycling containers provided.
11. Vendor will make a strong effort to use ZERO WASTE environmentally friendly items.  
12. Vendor shall not commit any nuisance  
13. Vendor will not interfere with the effectiveness of any utility of Mahabhuta Yoga VegFest.  
14. Vendor will not interfere with free access or passage to the facilities of Mahabhuta Yoga VegFest.
15. Vendor will not do or permit any act which might invalidate the insurance policy carried by the event.  
16. Vendor agrees to conduct affairs in a legal, cooperative, and considerate manner according to the local, city, state and federal laws, ordinances and the regulations of the facility covering fire, safety, health and all other matters.  
17. Event facility space shall not be shared or sublet without the permission of Mahabhuta Yoga VegFest.  
18. Mahabhuta Yoga VegFest is open to the public, and everyone is welcome to attend. Entrance is granted with the understanding that attendees/vendors/volunteers who distract from the event with non-endorsed activities will be asked to leave.  
19. Vendor agrees to allow Organizer to capture, use, and distribute photos and/or videos featuring Exhibitor staff and displays for promotional purposes. Photos and videos will become property of the Organizer.
Mahabhuta Yoga VegFest Reserves the Right To:
1. Decline any application at its discretion.
2. Set/determine a maximum noise level, suitable methods of operation and display.
3. Have the final decision as to what constitutes a proper exhibit, and such decision shall be final and binding.
4. Move or remove booth(s) or display(s) deemed objectionable to include persons, things, conduct, printed materials, or any item or attire that organizers may consider objectionable to Mahabhuta Yoga VegFest’s intent.  
5. Relocate vendor(s) booth(s) when such relocations are necessary to maintain the character and/or good order of Mahabhuta Yoga VegFest.
6. Make changes, amendments, and additions, and further regulations, as it considers necessary.
7. Limit OR accept the number of vendors providing similar type products or services.

Applications that are not complete will not be accepted. Please read application carefully.

Authorization I hereby make an application to become a vendor at Mahabhuta Yoga VegFest, Inc. I, the undersigned, hereby and forever discharge, release and hold harmless Mahabhuta Yoga VegFest Inc. and their sponsors, of and from all manner of actions, suits, damages, claims and demands whatsoever arising from any loss or damage to the person or persons or property of the undersigned while in the possession or under the supervision of Mahabhuta Yoga VegFest Inc. I hereby consent to all rules and regulations established by Mahabhuta Yoga VegFest Inc. If accepted, I understand that my fee will not be refunded if all or part of the festival is cancelled due to inclement weather or other events which Mahabhuta Yoga VegFest Inc. has no control. I further understand that my fee will not be refunded if I am accepted and payment is made.

The Mahabhuta Yoga VegFest name and logo are registered trademarks. No product or service bearing the Mahabhuta Yoga VegFest name or logo--or the name or logo of any of its' sponsors--may be sold or marketed in any manner without prior written consent from the Festival or the sponsor. 8. Mahabhuta Yoga VegFest; and contracted workers are not responsible or liable for accidents, loss, theft, or claims resulting from exhibitor’s participation. Exhibitors are fully responsible for protection of their property and for securing their tents and displays. 9. All electrical appliances must be listed and disclosed on application.10. All vendors may be asked to remove any items not consistent with their application. 11. All fees are due with each application.12. Vendors must bring their own tents, displays, and equipment(i.e. drop cords, etc.). 13. All ‘Mashed Grass and Composting’ Rules and Regulations must be followed by all vendors.All checks are payable to UNIVERSAL SPIRIT MINISTRIES or we can arrange payment via Zelle, Venmo, or PayPal.
