McMillen PTSA 26-27 Volunteer Interest Form

The PTSA Board is looking for volunteers who are interested in serving on the PTSA Board for the 2026-2027 school year.

 President, Vice Presidents, Secretary and Treasurer are all elected officers. All other officers and chairs are appointed volunteer positions.

 All open positions are listed below. If you are interested in any of the positions or would like more information, please contact programs@mcmillenptsa.org, and read our frequently asked questions about serving on our PTSA Board or as a chairperson.

President

  • Time Commitment: 4-8 hours per week
  • Busiest Times of Year: Busiest at the beginning of the year but flattens out; additional special projects as desired
  • Key Responsibilities: Manage overall objectives and strategies of PTSA. Act as liaison between parents and principal / staff. Recruit all PTSA Committee Chairs. Create agenda and facilitate monthly PTSA board meetings. Create agenda and facilitate about four PTSA general meetings. Create school calendar and budget with Principal and Treasurer. Speak at Back to School Night and other events. Attend (or designate someone else to attend) monthly PTSA Council meetings, a consortium of the PTSA Presidents from all PISD schools that meets in the District Office. Some evening work is involved.

1st VP - Membership

  • Time Commitment: Up to 8 hours; Good job for parent working daytime hours
  • Busiest Times of Year: September
  • Key Responsibilities: Review and plan membership drives according to the Membership Awards deadlines posted on www.txpta.org. Develop article for the Panther Pride for each membership drive. Collect, count, and deposit money with treasurer. Generate a monthly report of new members to be submitted to www.txpta.org; Develop bulletin notices to list and thank all paid members.

2nd VP - Programs

  • Time Commitment: 1-2 hours per month
  • Busiest Times of Year: Part of school year and prior to scheduled programs.
  • Key Responsibilities: Plan parent and student enrichment programs; publicize and attract attendance to parent programs; assist presenters as needed.  Develop an outreach plan that would be in service to students, single-parent families, working parents, grandparents, senior citizens, people with disabilities, non-English speaking people, people of varied cultural, ethnic and social groups, and community business people.

3rd VP - Ways and Means

  • Time Commitment: 2 hours per week; much more during peak times
  • Busiest Times of Year: Around our major fundraisers.
  • Key Responsibilities: Support committee chairs for key fundraising events.
    Continue to monitor success of fundraisers and recommend changes to fundraising objectives and strategies at McMillen. Assists or handles Spirit Wear if there is no chairperson. 

4th VP - Hospitality

  • Time Commitment: 2-4 hours per month
  • Busiest Times of Year: On-going
  • Key Responsibilities: Recruit committee of helpers and focus on making all /staff feel welcome at McMillen. This includes hosting several events during the school year including teacher luncheons and back to school events.

Secretary

  • Time Commitment: 30 hours per year
  • Busiest Times of Year: Following each PTSA meeting
  • Key Responsibilities: Take minutes at PTSA meetings, then forward to president and Minutes Review Committee. Submit minutes for inclusion on the website. Make copies of the minutes for the next PTSA meeting so they can be approved by the membership. Maintain complete records of members and leaders. Send communications on behalf of the board of directors. Bind all minutes and documents at the end of the year.

Treasurer

  • Time Commitment: 100 hours per year, including attending PTSA meetings. Tax return (done by hand) takes about 4 hours
  • Busiest Times of Year: Beginning of the year due to learning curve; some late Spring/Summer work getting budget ready for Fall with the president.
  • Key Responsibilities: Prepare the annual tax return. Generate and maintain the PTSA budget. Inform committees of budgeted funds. Pay bills and reimbursements as required. Oversee ongoing PTSA finances ensure adherence to approved PTSA budget. Prepare and present budget report for each PTSA board and general meeting.

Communications and Website

  • Time Commitment: 4-8 hours a week
  • Busiest Times of Year: On-going
  • Key Responsibilities: Provide regular communications about PTSA and school events. Promote PTSA events and share information. Maintain an up-to-date website (knowledge of Membership Toolkit beneficial, but not necessary). Design graphics and edit text for use on social media. 

Parliamentarian

  • Time Commitment: 40 hours annually, without amending any bylaws
  • Busiest Times of Year: On-going
  • Key Responsibilities: The first and foremost job/role of the Parliamentarian is: Be There. You need to be at all PTSA general meetings and all the PTSA board meetings. Ensure all present at meetings act within Bylaws, and within some approximation of parliamentary procedure. Chair the Bylaws Committee and review bylaws and standing rules annually. Formal adoption of new bylaws is completed every other year. This is a good early year task. Manage/oversee the Nominating Committee Process. After the Parliamentarian forms the committee, s/he remains available to assist them at their request. However, the Parliamentarian meets with the committee only if she has been elected to the committee.

Homecoming or Winter Formal

  • Time Commitment: Depending on the date of Homecoming, availability is needed a few hours a month potentially August through November. The biggest time commitment would be the week of the HOCO dance and the day of set-up.
  • Busiest Times of Year: The Fall, depending on the date of Homecoming for McMillen.
  • Key Responsibilities: Ticket Sales during lunch and online, creating a sign-up for volunteers and donations, planning decorations and theme, confirming DJ for the dance, work with school staff to confirm plans, create volunteer opportunity for Senior High students to earn NHS hours, and clean up.

Spirit Wear

  • Busiest Times of Year: Beginning of school year
  • Key Responsibilities: Design and order McMillen High School Spirit Wear items. Work with a vendor to create the design. Fill incoming orders placed through our online system and facilitate the delivery of items to students. Utilize the "Order Fulfillment" features of Membership Toolkit so as to keep track of all orders filled.

Art in Education/Reflections

  • Time Commitment: 12 hours per year
  • Busiest Times of Year: Fall
  • Key Responsibilities: Support access to the arts, year-round, by identifying monthly arts-related activities. Develop a plan to promote the Reflections program and recognize eligible, participating students. Ensure your PTA attains Active Status with Texas PTA by October 31 each year to be eligible for state-level Reflections judging. Promote cultural events in the community and surrounding areas.
    Network with PTSA  Arts in Education Leaders in your community to collaborate on common goals.

Community Partners

  • Time Commitment: 1 hour per month, based on activities
  • Busiest Times of Year: Based on activities
  • Key Responsibilities: Help McMillen PTSA grow by finding corporate sponsors and scheduling spirit night events with local businesses.

Council Delegate

  • Time Commitment: 2 hours per month
  • Busiest Times of Year: On-going
  • Key Responsibilities: The Council Delegate will attend Plano Council PTA meetings as the MHS Representative and report pertinent information back to our board.  
Student Recognition Chair 
  • Time Commitment: 2 hours per semester
  • Busiest Times of Year:  End of Fall and End of Spring
  • Key Responsibilities: To organize and sponsor a student recognition event at the end of each semester.  Heart of a Panther recognizes students during the school year with the approval of student recognition staff.
