1. 此項條例旨在保障個人的私隱權。任何涉及本學會會籍申請人的資料，無論從電腦或以人手方式收集及紀錄得來的，均受是項條例保障。而此等資料已按是項條例界定為「個人資料」。此外，本條例旨在管制個人資料的收集、保留、處理和使用情況。下文的「資料」一詞均指個人資料。
The intention of the Ordinance is to protect a living individual’s right to privacy. Any information collected and recorded, whether on computer or manually, in relation to an applicant for membership of the China Hong Kong Railway Institution (CHKRI) will be subject to regulation by the Ordinance. The information collected has been defined in the Ordinance as “Personal Data”. The Ordinance aims to control the collection, holding, processing and use of Personal Data. Personal Data in these notes shall be referred to as “Data”.

2. 所有會籍申請人在遞交申請表後，不時向本學會提交任何已更改的個人資料如地址及／或電話號碼，以便本學會紀錄會員的最新資料。若申請人未能提交上述資料，將可能導致本學會無法處理有關的會籍申請及其後之延續。
From time to time, it is necessary for all applicants for membership to supply the CHKRI any change in personal particulars such as address and / or telephone number(s) after submission of application, in order to help the CHKRI in maintaining its records. Failure to supply such data may result in an inability of the CHKRI to process applications for membership and the subsequent renewal.

3. 申請人的個人資料可能作以下用途：
The purposes for which data relating to applicants may be used as follows:
 處理會籍申請之用；以及
 As a basis for processing of membership application; and,
 日後作通訊聯絡。
 As a basis for future communication.

4. 當妥善處理會籍申請後，有關申請人的資料除作上述第3項之用外，尚可能作以下用途：
Upon successful election of membership, the purposed for which data relating to applicants may be used in addition to the purposes stated in Paragraph 3 above are as follows:
 作本學會日常運作之用；
 For daily operation of the CHKRI;
 更新會籍紀錄；
 For maintenance of membership records;
 核對會員資料；
 For verification of membership ;
 出版和投遞本學會的刊物；
 For publications and delivery of such materials of the CHKRI;
 投遞其它刊物，但事前已獲申請人同意；
 For the delivery of other publications with authorization from the applicants;
 籌辦與其它專業學會有關的活動；
 For activities relating to learned Institution;
 籌辦與周年會員大會及特別會員大會有關的活動。
 For activities relating to Annual General Meetings and Extraordinary General Meetings;

5. 本學會將嚴加保密及小心處理所有資料，但仍可能把資料送交以下有關人士：
Data held by the CHKRI will be kept confidential and safeguarded diligently but the CHKRI may provide such information to:
 任何與本學會運作有聯繫的人士；
 Any party in connection with operation of the Institution;
 任何為本學會擔任機密工作的非本學會人士；
 Any other person under a duty of confidentially to the CHKRI; and,
 申請人必須或準備與之來往的任何人士。
 Any party with which the applicant has or proposes to have dealings.

6. 按個人資料(私隱)條例的條款所示，申請人有權：
In accordance with the terms of the Ordinance, the applicant has the right to:
 查證本學會是否保留及取用其個人資料；以及
 Check whether the CHKRI holds data about him and access to such data; and,
 要求本學會更改任何申請表上的資料。
 Require the CHKRI to change any data contained in the application.

7. 按個人資料(私隱)條例的條款所示，本學會有權徵收合理費用以處理任何個人資料查詢或更改。
In accordance with the terms of the Ordinance, the CHKRI has the right to charge a reasonable fee for the processing of any data access request.
