CLIENT ADVOCATE SUPPORT SPECIALIST - The True Wellness Center in North Wales, PA
Our team is seeking a heart centered, conscious Client Advocate Support Specialist for a mature yet ever-growing, wellness center. This individual must have a professional demeanor, possessing strong interpersonal communication and problem-solving skills. The right candidate is already on their own personal growth journey and devoted while being ready, willing, and able to align with the new paradigm of the science of self-healing.

Responsibilities:
• Assist the Client Concierge Manager in all daily responsibilities including providing full back-up coverage/support when necessary.
• Open and close the office daily. Answer phones, schedule and confirm client appointments and ensure schedules are updated and available for each practitioner daily.
• Ensure exceptional and consistent client experiences for all our clients. Greet clients with a warm and welcoming demeanor, answer any questions that arise throughout their treatment journey. Track and follow up with clients (help keep clients engaged and stay on their wellness plans/treatment protocols).
• Be a strong advocate for our clients by addressing new client requests in a timely manner (less than 12 hours, being sure to include the practitioner and client concierge in on the communication/ next step.
• Oversee the scheduling of various client appointment types and own the updating of specific notes in the client’s file.
• Assist with data entry in the scheduling software to replace handwritten notes and files. Assist the Client Concierge Manager in all daily responsibilities including providing full back-up coverage/support when necessary.
• Assist clients safely and properly on and off all equipment/modalities, etc. Ensure equipment is ready for use and all turned off at end of day. Ensure proper timing and settings for each client on equipment/modality.
•Maintain a clean and organized environment by cleaning /refilling equipment after use, keeping bathrooms cleaned and stocked and taking out the recycling to ensure the practitioner treatment rooms and the overall office is clean at the start of each day.
• Wash Laundry including drying, folding and putting away laundered items daily.
• Oversee the management of product inventory to include: the shipping and fulfillment, receiving and tracking incoming goods and stocking shelves (ensure systems/accounting updated) and identifying additional purchases necessary to maintain stock levels.
• Create vials and kits for clients and practitioners
• Aid with Invoicing, collections, processing payments

Requirements:
Friendly, pleasant demeanor with ability to build and maintain client relations
Previous experience in a medical or wellness clinic, working directly with clients

Detail oriented with ability to effectively prioritize tasks in a fast-paced environment
Effective verbal and written communication skills
Able to work independently and as part of a team

Part-time with potential for full-time

1-2 evenings per week and 1-2 Saturdays per month
