Panhellenic Officer Application 2020 term
APPLICATIONS ARE DUE WEDNESDAY NOVEMBER 1st at 11:59 pm.

The Davis Collegiate Panhellenic Association (DCPA) is looking for talented women who are passionate about creating a positive image of the Greek community through the achievement of excellence in scholarship, leadership & philanthropic service for the 2020 year.

QUALIFICATIONS:
-Candidates must be initiated members of a Davis Collegiate Panhellenic Association recognized chapter.
-Candidates must be a fully matriculated student at the University of California, Davis with a cumulative GPA of 2.5 or higher for the academic term of Winter 2020- Winter 2021.
- Candidates must be in good standing with the university and may not be on any type of scholartic or disciplinary probation by both the University and your Panhellenic organization.
-Please keep in mind that being on Panhellenic is a time commitment and that all applicants should be prepared to help at all Panhellenic events, attend relevant weekly meetings and attend off-site conferences as needed.

President
QUALIFICATIONS: Must have had previous Panhellenic experience for this role (past council member, chapter delegate or recruitment counselor)

Duties:
● Preside at all meetings of the Panhellenic Council.
● Preside at all meetings of the Executive Board.
● Serve as an ex-officio member of all Panhellenic Association committees except the judicial board.
● Communicate regularly with the Panhellenic Advisor and Greek Life
Coordinator
● Be familiar with the NPC Manual of Information and all governing documents of this Association.
● Ensure that the NPC College Panhellenic annual report is completed
● Communicate regularly with the NPC area advisor
● Maintain current copies of the following: DCPA bylaws and standing rules the Panhellenic Association budget, contracts executed on behalf of the Panhellenic Association, correspondence and materials received from the NPC area advisor, all NPC College Panhellenic reports and other pertinent materials
● Review all bylaws, standing rules, recruitment rules, and code of ethics at the beginning of the year term
● Correspond with the treasurer for the opening and closing of bank accounts, creating the budget, and maintaining the expenditure logs.
● Serve on the Recruitment Committee and disaffiliate for recruitment.
● Perform all other duties as assigned.

Executive Vice President
● Perform the duties of the president in her absence.
● Be familiar with the NPC Manual of Information and all governing
documents of this Association.
● Serve as Judicial Committee Chair.
● Review all standing rules, code of ethics, bylaws, and recruitment rules at
the beginning of the term year.
● Serve as Diversity and Inclusion Committee Chair
● Promote the recruiting of diversity within the Panhellenic community.
● Meet weekly with the Greek Life Advisor.
● Review all sorority’s master calendars yearly to help avoid over
programming of events.
● Put all sorority philanthropy events on the Panhellenic calendar.
● Serve as the Panhellenic-IFC liaison.
● Coordinate fundraising event to raise money for Panhellenic designated
Philanthropy.
● Serve on the Recruitment Committee and disaffiliate for recruitment.

Vice President Public Relations
● Keep an accurate roll of the members of Panhellenic Council.
● Record minutes of all meetings of the DCPA Panhellenic Council and the Executive Board and distribute minutes via email to council officers, delegates, Presidents, and advisors.
● Maintain a complete and up-to-date file that includes the minutes of all
meetings from the date of organization and current correspondence.
● Send meeting minutes to the NPC area advisor.
● Be familiar with the NPC Manual of Information and all governing documents of this Association.
● Maintain updated contact list of all council members and chapter presidents.
● Act as Panhellenic historian and maintain historical archives.
● Review and Update all historical information
● Plan and execute all publicity for the DCPA.
● Assist DCPA member groups with publicity for their events.
● In collaboration with the Vice President of Recruitment, is responsible for developing and implementing a comprehensive publicity campaign for formal
recruitment.
● Coordinate recruitment informational, advertising and outreach programs
on campus
● Maintain and update the DCPA website.
● Shall serve on the Recruitment Team and disaffiliate for recruitment.
● Perform all other duties as assigned.

VP Finance
● Supervise the finances of the DCPA.
● Prepare the annual budget and, after its approval by the Panhellenic
Council, provide a copy to each DCPA member sorority.
● Receive all payments due to the Panhellenic Association, collect all dues and give receipts.
● Pay promptly the annual NPC dues and all bills of the DCPA.
● Maintain current financial records; give a financial report at each regular meeting of the Panhellenic Council and an annual report at the close of
her term of office.
● Be familiar with the NPC Manual of Information and all governing
documents of this Association.
● Shall work closely with the Vice President of Recruitment in developing and maintaining the formal recruitment budget

● Create and maintain a file of all receipts and reimbursement forms for 5 years
● Correspond with officers to have them update their expenditure logs and fill-in extra information.

VP Recruitment
QUALIFICATIONS: Must have had previous Panhellenic experience for this role (past council member, chapter delegate or recruitment counselor)

● Know and follow the Standing Rules for membership selection and NPC Unanimous Agreements and any other rules that directly or indirectly relate to recruitment.
● Plan, evaluate, and report on Fall Formal Recruitment and continuous open bidding
● Define objectives for recruitment with the help of the Assistant Vice President of Recruitment
● Propose the type of events, dates of recruiting, duration of events registration fees, Standing Rules for Membership Selection and other facets of recruitment to the Panhellenic Council or the Panhellenic Recruitment Committee
● Assist the Greek Advisor with the invitation and bid-matching procedure.
● Coordinate recruitment finances with the Panhellenic Treasurer, including the recruitment budget, income, expenditures and chapter fee schedules.
● Invite all chapter presidents, recruitment chairwomen, recruitment advisors, and Panhellenic Council members to a recruitment evaluation meeting within one month after Fall Formal recruitment ends. Take notes for her successor on their recommendations. Make a report to the Panhellenic Council at a meeting during the fall quarter, summarizing recruitment results and recommendations for the next year.
● Maintain a complete and up-to-date Recruitment Director’s file.
● Live in Davis during the summer and work on Panhellenic affairs during that time
● Remain available for a minimum of one month after leaving office to serve as
an advisor for the next Vice President of Recruitment.
● Organize Panhellenic Recruitment workshops
● Work closely with the Vice President of Communications on the documentation and processing of recruitment violation reports. Distribute Recruitment statistics.
● Serve on the Recruitment Committee and disaffiliate for recruitment.

Assistant VP Recruitment

● Work with the Recruitment Chair, President, Vice President, and Greek Advisor to plan and implement the Pi Rho Chi selection process.
● Responsible for planning and implementing the recruitment counselor training retreat prior to Fall Formal Recruitment.
● Make sure that waivers for the retreat are signed
● Keep recruitment counselors informed of recruitment plans during the summer.
● Arrange staffing assignments for freshman and transfer Orientation program, How Do You Rec and Move In Day.
● Prepare Recruitment Counselor notebooks.
● Help the Vice President of Recruitment which any and all duties as requested
● Live in Davis during the summer to prepare for recruitment.
● Maintain a complete and up-to-date Recruitment Counselor Coordinator’s
File.
● Train their successor.
● Remain an advisor capacity for at least one month after her successor takes office.
● Attend all Recruitment meetings pertaining to office
● Assume responsibilities and duties of Recruitment Chair when she is unavailable.
● Create a calendar in advance for the Recruitment Counselors to help with all
outreach programs
● Help plan Panhellenic Recruitment workshops.
● Serve on the Recruitment Committee and disaffiliate for recruitment.

VP Education
● Chair the Scholarship committee
●Explore and inform DCPA of programs and opportunities that would contribute and enrich member’s experience
● Create applications for DCPA scholarships and manage the selections process through the Scholarship committee
● Serve as the DCPA representative to the Standards of Excellence
● Assist in the selection of the Greek Woman of the Year.
● Coordinate at least one Panhellenic educational event each quarter.
● Give out weekly scholarship tips to delegates.
● Plan quarterly study events for the Greek Community.
● Serve on the Recruitment Committee and disaffiliate for recruitment.
● Perform any other duties pertaining to this office.
