• It is better to ask for permission than for forgiveness:
If in doubt about any of the policies, ask the convention Press Relations officer or the chairs directly.
• Coverage is by consent only:
You may film panelists presenting in the main events hall or the secondary panel rooms. One or more panelists may request that their panel not be filmed, in which case you are prohibited from recording or uploading footage of the panel in question.
If you are filming the audience, large crowd shots are permitted, but you may not focus recording on any individual attendee without their explicit permission. You must respect the privacy wishes of any attendee at the convention. This rule also applies to vendors in the dealers’ room.
• Access and entry restrictions:
Video recording is allowed within the Gallery, Corral, and common area of the convention.
A press badge grants you early access to programming for the purposes of setting up equipment, but not to the front-row reserved seating, which is reserved for preferred and premium memberships. A press badge does not give you preferred or early access to: autographs, children’s programming, preferred/premium membership only events, such as VIP meet-and-greets, nor any event/panel that requires an additional fee.
• The interview process:
A press badge grants you access to interview opportunities for our Guests of Honor. There is limited time for interviews in our GoHs’ schedules, but we will work hard to facilitate interviews. There may be other factors that affect interviews, such as contractual obligations, so not all GoHs will be available for interviews. Please see the interview request form and interview policy at the bottom of the page for more information about interviews.
• Recording children’s programming:
Recording or photography of children’s-only programming is strictly forbidden without explicit parental consent.
• Quality of recordings:
You are strongly encouraged to film using a stationary tripod positioned near the outside edges of the panel rooms. This allows attendees an unobstructed view of the panelists. If your setup permits it, you are encouraged to use a directional “shotgun” microphone, or to connect to the panel room’s mixer audio, if you have the required cables and logistics allow for this.
We discourage the use of handheld recorders placed on the tables, as this doesn’t provide good audio and can be a distraction to the presenter. It will be allowed only at the discretion of the panelist.
• Timing of uploads:
Panel recordings must be uploaded only after the convention. Other recordings, including interviews, may be uploaded during the convention.
