Welcome, Volunteers!
Thank you for signing up to volunteer at the Puerto Rican Parade and Festival. Your time, effort, and enthusiasm are vital to making this event a success! Please read the following guidelines carefully to ensure a smooth, enjoyable, and safe experience for everyone involved.
1. Age and Eligibility Volunteers must be at least 16 years old. If you are under the age of 18, a parent or guardian consent form is required.
2. Volunteer Shift Commitment Volunteers are expected to commit to at least a 2-hour shift. If you're unable to fulfill your shift, please notify us at least 48 hours in advance so we can arrange for coverage.
3. Attendance and Punctuality Please arrive at least 15 minutes before your scheduled shift to ensure adequate preparation and orientation. Volunteers who fail to show up for their assigned shift without prior notice may not be invited to volunteer for future events.
4. Dress Code Volunteers are required to wear comfortable clothing that allows for easy movement, as well as closed-toe shoes (no sandals, flip-flops, or high heels). Volunteers will be provided with an official event t-shirt. Please wear it during your shift to help identify you as an event volunteer.
5. Volunteer Roles and Responsibilities Volunteers will be assigned to specific roles such as parade route guides, registration/check-in, crowd management, vendor assistance, float support, or festival setup/cleanup. Volunteers must follow all directions from event coordinators and be proactive in helping wherever needed. Volunteers should maintain a positive and friendly attitude while interacting with parade participants, festival guests, and fellow volunteers.
6. Safety and Emergency Protocol Volunteers must comply with all safety protocols in place during the event (including any health-related guidelines such as mask-wearing or social distancing, if applicable). Volunteers should immediately report any safety concerns or emergencies to the event organizers or coordinators. First Aid: A first aid station will be available on-site. If you require medical attention during your shift, please alert an event coordinator or supervisor.
7. Respect for Event Rules and Attendees Volunteers are expected to respect the rules of the event, including no smoking, no alcohol consumption, and no inappropriate behavior during the event. Volunteers should treat all attendees, participants, and fellow volunteers with respect and professionalism. Disruptive behavior will not be tolerated and may result in dismissal from the event.
8. Communication and Coordination You will receive event updates and instructions via email or text before the event. Please make sure your contact details are correct. If you have any special requests (e.g., dietary restrictions, accessibility needs), please let us know ahead of time so we can accommodate you.
9. Emergency Contact All volunteers must provide an emergency contact name and phone number during registration in case of an emergency.
10. Liability and Waiver Volunteers will be required to sign a waiver of liability upon check-in at the event. The waiver acknowledges that the Puerto Rican Parade of Fairfield County, Inc. is not liable for any injuries or accidents that may occur during volunteer participation.
11. Alcohol and Drug Policy The consumption of alcohol or drugs is strictly prohibited while volunteering. Volunteers must remain sober during their shifts.
12. Photography and Media Consent By volunteering, you consent to being photographed or recorded during the event. These images may be used in promotional materials, social media, and event documentation.
