Vendor Registration Information & Requirements

Thank you for your interest in participating in Raleigh’s International Food Festival. This registration form collects the information we need to review your application. Our office will contact you as soon as possible.

GENERAL INFORMATION
  1. This application is free. Please complete all fields accurately and read all requirements before submitting.

  2. Email is our primary method of communication.
    Please check your email regularly for updates, confirmations, and invoices.

  3. Utilities & Equipment Requirements:

    • Water and electricity on Fayetteville Street are extremely limited.

    • All vendors must bring their own silent generator.

    • Bring your own tent, tables, chairs, and tent weights.

    • Food vendors and food trucks must bring fire extinguishers.

  4. Food Truck Criteria:
    To maintain the Festival’s international focus, we will not accept “fair food” vendors (e.g., funnel cakes, fried Oreos, typical carnival food).
    No exceptions.

  5. Acceptance & Payment:

    • After submitting your application, please wait for a formal acceptance email.

    • Once accepted, payment must be submitted immediately to secure your spot.

    • Spaces are assigned on a first-paid, first-served basis.

    • Payment is the only way to secure your space.

  6. Deadlines (No Exceptions):

    • Registration Deadline: May 25

    • TFE Submission & Payment Deadline: May 25

  7. Refund Policy:
    Once accepted and paid, no refunds are issued. Space is limited and committed to you; we decline other vendors based on your acceptance.

  8. Flag Requirement:
    Vendors must display the flag of the country represented and the United States flag. (Only UN-recognized flags permitted.)

  9. Payment Details:
    Applications are free. If approved, you will receive an email with payment instructions.
    We do NOT accept credit cards. Payments must be made by check, cash, or money order.

  10. Vendor Pricing:
    Prices remain the same as 2025 (except bazaar booths, which have been reduced).
    Food trucks larger than 10×20 will incur an additional fee.
    You must provide accurate truck/trailer measurements. Incorrect measurements causing layout issues will result in additional fees.

  11. Menu Approval:
    List all menu items in your application.
    Any changes must be pre-approved.
    Selling unapproved items may result in fines or removal from the event.
    NC Vibes reserves the right to approve or deny food items at its discretion.

  12. Operating Hours:

  • Vendors must be fully operational by 11:00 AM.

  • Vendors must remain open until 8:45 PM and may not leave before 9:00 PM.

  1. Beverage Rules:
    Vendors may sell non-alcoholic drinks only. Alcohol sales are not permitted.

  2. Performance Groups:
    Performances are free to participate. Please use the Performers Registration Form.

  3. Behavior Policy:
    This is a family-friendly community event. 

  4. Confrontations, aggressive behavior, or public disputes are strictly prohibited.

  • NC Vibes reserves the right to remove any vendor engaging in inappropriate behavior.

  • Vendors may be escorted out by Raleigh Police Department if necessary.

  • No refunds will be issued in such cases.

  1. Booth Placement:
    NC Vibes assigns all vendor locations. Vendors may not change locations without permission. Unauthorized relocation will result in removal from the festival.

  2. Insurance Requirement:
    Food vendors must provide a Certificate of Insurance naming both NC Vibes, LLC and the City of Raleigh as additional insureds. We will send you details once you are confirmed. 
    COIs are due no later than May 25.

  3. Generators:
    Outdoor electrical access is extremely limited; therefore, all food trucks must bring their own silent generator.

  4. Fraud Prevention (Payments):
    Due to past incidents involving fraudulent credit card activity, vendor fees will only be accepted by check, cash, or money order. Vendors may use any payment method they wish for their customers—this restriction applies only to vendor fees.

  5. Rain or Shine Event:
    This event will proceed regardless of weather conditions.

  6. Accurate Contact Information Required:

PLEASE NOTE:  IT'S IMPORTANT YOU GIVE US EXACT MEASUREMENT TO AVOID ANY COMPLICATIONS DURING SET-UP. 

We will have staff remeasuring your food truck and trailer so make sure you report the right dimensions. This has caused complications in parking before.

E GENERAL RELEASE, WAIVER, AND INDEMNIFICATION AGREEMENT

Raleigh’s International Food Festival / NC Vibes, LLC / City of Raleigh

General Release:
The undersigned (“Participant”) hereby releases, forever discharges, and agrees to hold harmless NC Vibes, LLC, Raleigh’s International Food Festival, the City of Raleigh, and all of their respective officers, officials, employees, agents, volunteers, sponsors, representatives, and contractors (collectively, the “Released Parties”) from any and all actions, suits, claims, damages, losses, liabilities, or demands of any kind, whether in law or in equity, arising from or related to any loss, theft, or damage to property of the Participant, or any injury to the Participant, occurring while participating in or being present at the Festival, or while under the supervision of Festival staff, agents, or representatives.

The Participant agrees to comply with all Festival rules, regulations, and instructions. Festival management reserves the right to interpret all rules and to disqualify, remove, or expel any exhibitor or participant who fails to comply or whose conduct causes disruption or risk to other exhibitors, attendees, patrons, or Festival management. All payments are final and non-refundable should the Participant cancel.

Photography & Promotional Use:
The Participant grants permission for photographs, video, or other depictions of their person, booth, products, or work taken during the Festival to be used for marketing, promotional, or public relations purposes by NC Vibes, LLC or the Festival without compensation.

INSURANCE & INDEMNIFICATION REQUIREMENTS

I have read and understand the Insurance Requirements and agree to the following:

Indemnification Clause:
To the fullest extent permitted by North Carolina law, the Participant (including vendors, exhibitors, performers, subcontractors, and any representatives) shall indemnify, defend, and hold harmless the Released Parties—NC Vibes, LLC, Raleigh’s International Food Festival, the City of Raleigh, their officers, officials, employees, volunteers, agents, contractors, independent contractors, and affiliated organizations—from and against any and all losses, damages, costs, expenses (including reasonable attorneys’ fees), liabilities, penalties, fines, claims, demands, lawsuits, actions, or proceedings of any kind whatsoever arising out of or related to:

The Participant’s participation in the Festival;

Acts, omissions, negligence, or misconduct of the Participant or their employees, volunteers, subcontractors, or representatives;

Any accident or occurrence causing bodily injury, sickness, death, or disease to any person, or damage to property (real, personal, tangible, or intangible);

Claims involving workers’ compensation, failure to withhold taxes, or employment-related disputes;

Claims arising from or related to other vendors, performers, attendees, or subcontractors interacting with the Participant;

Any allegation of violation, misappropriation, or infringement of copyrights, trademarks, patents, trade secrets, or similar proprietary rights relating to Participant’s goods, services, materials, or displays;

The Participant’s violation of any federal, state, or local law, regulation, ordinance, or permitting requirement.

If any of the Released Parties incur expenses or legal fees as a result of claims arising from the Participant’s actions or participation, the Participant agrees to fully reimburse such expenses.

VOLUNTARY PARTICIPATION & ASSUMPTION OF RISK

I acknowledge that I am voluntarily participating in the International Food Festival and that participation involves inherent risks, including but not limited to injury, illness, property damage, and other unforeseen hazards. I hereby assume all such risks, both known and unknown.

I agree that neither I nor anyone acting on my behalf will pursue any claim against the Released Parties for any injury, loss, or damages arising from my participation. If any claim is brought on my behalf, I agree to indemnify and hold the Released Parties harmless from all resulting damages, costs, and attorneys’ fees.

COMMUNICATION & PAYMENT TERMS

I acknowledge that email is the primary method of communication and agree to respond to all Festival emails promptly.

I agree not to submit any payment until I receive written confirmation of acceptance into the Festival.

ACKNOWLEDGEMENT & CONFIRMATION

BY SIGNING BELOW, I ACKNOWLEDGE AND AGREE THAT:

I have carefully read this General Release, Waiver, and Indemnification Agreement.

I fully understand its terms and that I am waiving substantial legal rights.

I agree to be bound by all Festival rules, policies, and instructions.

I voluntarily enter into this Agreement and sign it of my own free will.

I agree that this release is intended to be as broad and inclusive as permitted by North Carolina law.
