General Volunteer
Description: General Volunteers are needed throughout the school year to pitch in when opportunities arise and there is more help needed than the Board and Committees can provide. As an example, the need may be passing out snacks to students to celebrate good conduct or helping make copies of flyers for fundraising events. 

Time Commitment: Volunteer sign-ups ahead of time with clear dates/times needed.

Location of Activities: Some volunteer activities can be done from home but most are at the school.

President - Executive Board Position
Description: Coordinate the work of the entire Vogel Intermediate PTO (Executive Board Officers, General Board Members, Chairpersons and Committees). Confirm that a quorum is present before conducting any business at any meeting of the Vogel Intermediate PTO. Preside over all Vogel Intermediate PTO Meetings. Arrange programs or activities of General Meetings. Call a meeting of the Executive Board for the purpose of selecting Standing and Special Committee Chairpersons. The President and Treasurer reserve the right to review and approve all correspondence and documents provided to school personnel, the membership or the public with regard to Vogel Intermediate PTO activities. Be a member of ex-officio of all committees. Perform all other duties as may be prescribed in these Bylaws or in the Constitution or assigned by Vogel Intermediate PTO. Manages Vogel PTO email, including responding to email inquiries. May be authorized to sign on bank accounts.

Expectations: Keep in constant contact with Vogel Administration and update board as needed. Follow up with all board members as needed. Attend monthly board meeting.

Time Commitment: 2-6+ hours per week with possible more depending on events going on.

Location of activities: Frequently location is at the school, outside of school and both at home and outside of home.

Vice President - Executive Board Position

Description: Act as an aide to the President. Preside at the meetings in the absence of the President. Perform other duties as may be prescribed by these Bylaws or the Constitution or assigned by the President. Manage logistics of fundraisers, including communicating with fundraising companies. Act as Chairperson for the Fundraising Committee. Will be one of the authorized to sign on bank accounts.

Expectations: Timely responses to all communication inquiries (Executive Officers, PTO, fundraising companies). Provide updates to Executive Officers as needed regarding fundraising. Lead the planning and execution of all fundraising. Attend monthly PTO meetings and provide a report out. Send meeting report to President at least 3 days prior to meetings.

Time Commitment: 2-6+ hours per week with spikes around fundraisers. Availability on day(s) of all fundraisers.

Location of activities: Some of the main fundraiser activities can be completed from home with day-of fundraiser activities being located at the school.

Treasurer - Executive Board Position

Description: Receive all Vogel Intermediate PTO monies and/or approve and verify all deposits. Record and maintain books of account and records including but not limited to bank statements, receipts, budget, invoices, reimbursement requests and canceled checks for a period of seven (7) years; records are to be maintained at the school. Present a tentative budget to the Executive Board at the first board meeting; work with the President on preparation; to be voted on at the first General Meeting of the school year. Make disbursements as authorized by the Executive Board in accordance with the adopted budget. NEVER be a signer of ANY Vogel PTO bank or financial account. Present a financial statement or budget report at each monthly meeting and at other times when requested by any PTO Member. File a 990 tax form yearly. Submit books to the auditing committee before June 20th and present audit findings at the first General Meeting of the following school year. 

ExpectationsTimely responses to inquiries regarding the PTO budget and finances. Attend monthly PTO meetings and provide a Treasurer report out. Write reimbursement checks in a timely manner and help coordinate the annual audit.

Time Commitment2-5 hours per month, with additional hours around key activities.

Location of activitiesMost tasks can be completed remotely, with some activities conducted at the school or off-site venues for special events.

Secretary - Executive Board Position

Description: Record the minutes of all General Meetings in the permanent record book. To be submitted within one week to the President for approval. See the meeting place for the General Meeting is in readiness. Make the minutes available to all Vogel Intermediate PTO Members at the next appropriate meeting. Prepare ballots and related election materials. Prepare normal correspondence such as thank you notes, sympathy, get well wishes, etc. Hold a current copy of the Constitution and Bylaws in the permanent record book. Hold the current copy of PTO Member Roster in the permanent record book. Perform other duties as may be prescribed by these Bylaws or the Constitution or assigned by the President. May be authorized to sign on bank accounts.

Expectations: Attend all meetings and take detailed notes. Sending draft meeting minutes to Vogel PTO email and Principal within a few days of the meeting is important. The draft of minutes should be to the Board of directors prior to the next PTO meeting. Being able to type of notes during the meeting is preferred, but not required.

Time Commitment: 2 hours a month, with additional hours around key activities.

Location of activities: PTO meeting are at the school, typing of the minutes and keeping the membership lists may be done from home.

Parliamentarian - Executive Board Position
Description: Advice on matters of parliamentary procedure when requested. Maintain a current set of the Constitution and Bylaws and render an opinion on all questions concerning them in meetings. Keep order during Executive and General Meetings. Assist the Treasurer as needed. May be authorized to sign on bank accounts.

Expectations: Attend all meetings and maintain order. General knowledge of parliamentary procedure is preferred.

Time Commitment: 2 hours a month, with additional hours around key activities.

Location of Activities: Some volunteer activities can be done from home but most are at the school.

Appreciation Coordinator

Description: Plan, organize and purchase items as needed for staff appreciation days and luncheons. There are two main luncheons for the school year (December and May).  Plan and purchase items for student appreciation days. Act as chairperson for the Appreciation Committee.

Expectations: Timely responses to communications from the Board, other coordinators, and volunteers is vital for this role. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting. Must follow the approved budget for appreciation events as approved by the PTO for that fiscal year.

Time Commitment: 2-6+ hours per month. 2-3 hours the day-of the appreciation event. 6 hours on the day of each luncheon.

Location of activities: Planning and purchasing activities can take place from home. Day-of activities are on site at the school.

Appreciation Assistant

Description: Work closely with the Appreciation Coordinator and assist as needed. Organize staff birthdays. Ensures volunteers needed to execute appreciation activities are secured. Act as chairperson for the Appreciation Committee.

Expectations: Timely responses to communications from the Board, other coordinators, and volunteers is vital for this role. Must follow the approved budget for appreciation events as approved by the PTO for that fiscal year.

Time Commitment:  2-6+ hours per month. 2-3 hours the day-of the appreciation event. 6 hours on the day of each luncheon.

Location of activities: Planning and purchasing activities can take place from home. Day-of activities are on site at the school.

Appreciation Committee

Description: Work with the Committee Chairs: Appreciation Coordinator and Appreciation Assistant, to pull together needed items for appreciation events for both students and school staff.

Time Commitment: 1+ hours per month.

Location of activities: Could be from home or at school, depending on the activity.

Communication Coordinator

Description: Manage social media accounts, including making posts and responding to messages. Manage PTO website and make necessary updates as new information arises. Create flyers and forms (including digital) as needed. Provide PTO information monthly to the principal to be included in the school newsletter.

Expectations: Weekly posts to Facebook page, monthly coordination of newsletter items for Principal, ad hoc form creation and website updates. Experience with Canva or other online tools for post creation is a plus. Prior experience managing Facebook pages for a non-profit or business is preferred but not required. Timely responses to communications from the Board and other coordinators is vital for this role. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting.

Time Commitment: 1-3 hours a week.

Location of activities: Majority of duties can be completed from home.

Events Coordinator

Description: Assist in the planning and execution of non-fundraising events and programs. (example being end of the year Fiesta or school Title nights).

Expectations: Timely responses to communications from the Board, other coordinators, and volunteers is vital for this role. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting.

Time Commitment: 1-2+ hours per month, with additional hours around events.

Location of activities: Could be from home or at school, depending on the task.

Fundraising Assistant

Description: Work closely with the Vice President and help coordinate all fundraisers. Act as chairperson for the Fundraising Committee.

Expectations: Be willing to make phone calls, make copies, or other fundraising activities. Timely responses to communications from the Vice President or other board members. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting (this may be coordinated with Vice President).

Time Commitment: 2-4+ hours month with spikes around planning and executing fundraisers. Should be available to help on the day(s) of fundraisers.

Location of activities: Could be from home or at school, depending on the task.

Fundraising Committee

Description: Work with the Committee Chairs: Vice President and Fundraising Assistant, to pull together needed items for fundraising activities.

Time Commitment: 1+ hours per month.

Location of activities: Could be from home or at school, depending on the activity.

Marquee Coordinator

Description: Coordinate updates to marquee at least twice a month but as frequently as weekly.

Expectations: Reach out to coordinators for marquee message needs weekly and work with school admin to access marquee lettering for changing out the marquee. Timely responses to communications from the Board and other coordinators is vital for this role. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting.

Time Commitment: Marquee change-out takes about 1 hour.

Location of activities: The school.

Spirit Night Coordinator

Description: Set up all Spirit Events with local venues. Motivate families to attend by distributing flyers and coordinating email and/or text blasts. Market events by utilizing yard signs, social media posts, marquee messages, website, school newsletter, etc. Coordinates staff lunch orders and deliveries.

Expectations: Timely communications regarding Spirit Events to school, families, and PTO board. Timely responses to communications from the Board, other coordinators, and volunteers is vital for this role. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting.

Time Commitment: 2-3+ hours per month, availability on-site required for some events

Location of activities: Could be from home or at school, depending on the activity. 

Volunteer Coordinator

Description: Recruit volunteers for various PTO related activities. Create and maintain a list of contact information for each volunteer that includes specific areas or activities of interest. Provide this list to the principal and PTO Boards. Communicate with parents about volunteer needs for PTO. This includes emailing, flyers, setting up and monitoring of Sign-Up Genius online.

Expectations: Clear and timely communications for volunteer needs when needed. General knowledge of Sign-Up Genius is helpful, but not required. Timely responses to communications from the Board, other coordinators, and volunteers is vital for this role. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting.

Time Commitment: 1-3 hours per month, with additional hours around events.

Location of activities: Majority of effort can be completed from home.

Yearbook Coordinator

Description: Ensure the yearbook is created to contract specifications. Ensure pictures are taken at school events and activities. Manages marketing, sales, and distribution of yearbooks. Act as chairperson for the Yearbook Committee.

Expectations: Serve as leader of committee, working with Yearbook Assistant. Staying on top of communications with the Yearbook printing company and getting key deadlines to families, school, and PTO. Timely responses to communications from the Board, other coordinators, and volunteers is vital for this role. Attend monthly PTO meetings to provide a report out or send email report out to President ahead of the meeting.

Time Commitment: 1-2 hours a week for most weeks, with additional hours around events.

Location of activities: Could be from home or at school, depending on the activity.

Yearbook Assistant

Description: Work closely with the Yearbook Coordinator and assist as needed. Ensures volunteers needed to execute yearbook activities are secured. Act as chairperson for the Yearbook Committee.

Expectations: Serve as co-leader of committee, working with Yearbook Coordinator. Timely responses to communications from the Board, other coordinators, and volunteers is vital for this role. Attending monthly PTO meetings is preferred, but not required.

Time Commitment: 1-2 hours a week for most weeks, with additional hours around events.

Location of activities: Could be from home or at school, depending on the activity.

Yearbook Committee

Description: Work with the Committee Chairs: Yearbook Coordinator and Yearbook Assistant, to take photos for the yearbook.

Time Commitment: 1+ hours per month.

Location of activities: Majority of effort will be completed at school.
