Vehicle Services: Fleet Vehicle Request Form
Please use this form to reserve a University fleet vehicle. These are the rules and regulations for vehicle use:
Vehicles are available for use by University employees for University-related activities for a period of one week or less.
Non-employee students may not drive University-owned vehicles.
(See vehicle use rates below).
Requesters must have a valid drivers license AND current personal vehicle insurance or a current non-owner policy in order to use fleet vehicles.
Requests to use fleet vehicles are made on a first-come, first-served basis. Vehicle Services reserves the right to assign fleet vehicles based on the best interest of the University. If a fleet vehicle is not available, a rental vehicle may be used. The cost of all rental vehicles and gasoline will be charged to the requester's department budget.
Once a request is approved, requesters will receive a confirmation email with information about where and when to pick up the vehicle.
Vehicles are to be picked up from and returned after use to the main campus. Vehicles may not be parked at a personal residence.
Vehicles are to be returned in clean condition, ready for immediate use by another party. Any vehicle returned in non-ready condition will be assessed a $25 cleaning fee. The University reserves the right to determine the condition of returned vehicles. Repeated violations will result in suspension of vehicle use privileges.
All drivers and passengers must wear seat belts at all times.
No smoking of any kind is allowed in University vehicles.
I-Pass transponders shall not be removed from vehicles.
Usage work day rates for sedans are $15 for a half day (4 hours) and $30 for a whole day (8 hours), and $37.50 for a half day and $75 for a whole day for SUVs. Vehicle rentals that span Saturdays, Sundays, and/or state/federal holidays will be charged the full-day rate per vehicle, per day.
All reservations shall be made at least 5 business days in advance of proposed travel. Failure to cancel reservations 72-hours (3 days) in advance will result in a $25 cancellation fee.
SUVs have a maximum capacity of 7 passengers and sedans have a maximum capacity of 5 passengers.
