IMPORTANT ARRIVAL/LOAD-IN POLICIES
A successful load-in at the Hynes Convention Center requires the cooperation of all exhibitors and is dependent upon their understanding of these important load-in policies. Please help make load-in as smooth as possible by reading through this following guidelines.
Exhibitors are approved to move in, set up, and dismantle on their own provided that they meet the following criteria:
1. Exhibitors must off-load from a personally owned vehicle, company owned vehicle, rental vehicle, or vehicle owned by company personnel. All trucks, including co-owned or rental vehicles, over 24' in length will be off-loaded or loaded by the official material handling contractor.
2. Exhibitors are allowed to set-up and/or dismantle their own booths providing that they use their own employees. Do not bring outside labor of any kind. If you employ a display house or exhibit manufacturers to erect or dismantle your booth, they may only supervise and the exhibitor must hire labor from Freeman, and will incur additional charges.
3. Non-motorized, two-wheeled hand trucks & four-wheeled flat trucks are permitted on the show floor. Onsite rolling carts are owned by Freeman and may not be borrowed by exhibitors, unless willing to pay labor and/or equipment fees.
If you require a forklift, pallet jack, lift gate or any other mechanical equipment you must order the service and labor from Freeman. Charges will apply for equipment and labor.
Exhibitors will be allowed to hand-carry one item, one time, in or out of the main entrance of the facility without having access to the loading dock. Hand carried freight is defined as one item that can be easily carried by an individual without the need for dollied or mechanical equipment. Hynes employees oversee the front door to ensure we follow this policy.
Exhibitors who are using a commercial carrier and can abide by the hand-carry policy above do not need a load-in time. If this applies to you, select the second option in the question below.
Exhibitors who are NOT using a commercial carrier, and who can abide by the hand-carry policy above do not need a load in time. This will not apply to most exhibitors. However, if you are not using a commercial carrier and can abide by the hand-carry policy select the third option in the question below.
All exhibitors will be assigned a specific 30-minute time block to unload their vehicle.
Because the Hynes Convention Center restricts access to the loading dock by personally owned vehicles, it's very important to follow procedures as they make an exception only for CraftBoston exhibitors. As a thanks for their accommodation, we work hard to organize a well-run load-in process and assign exhibitors with a specific 30-minute time block to unload their vehicle. Exhibitors must arrive during their assigned load in time, which will be received via email by November 15. In an effort to make load-in as smooth and successful as possible, please be on time and efficient to prevent a back-up into the street. Please understand that load-in times are difficult to adjust after assignments are determined. Therefore, it would be wise to finalize your travel arrangements before filling out this form.
Please select one of the options from the drop-down menu below:
I will be unloading a vehicle & need access to the loading dock.
Some/all of my work/booth is arriving via a commercial carrier.
I AM NOT using a commercial carrier & DO NOT need access to the loading dock, therefore I have read the Hand-Carry Policy above.
