Dear Community Organization,
This application is to for community not-for-profit organizations to request holding an event on public property.
For private or public events in town-owned buildings or parks, please go to Forms and Applications to submit a Recreation and Parks Facility Use Application and review the schedule of fees. Please use this form for events on the Bedford Village Green but please note the fee/deposit policy.
Please fill out this application at least 45 days prior to your event. By filling out the application below:
- You may request the use of public property for your event, including any use of public streets, sidewalks, parking lots, or the Bedford Village Green, which require Bedford Town Board approval at a public Town Board Meeting.
- Please provide any and all details that will help the town understand the scope of your event and determine the impact on the neighbors and nearby businesses as well as any resources that may be needed from the police, highway, or parks departments to support the event.
In case of a very large or complicated event, we advise that you meet with the police, highway, or recreation departments in advance of submitting an application.
- Town services may be necessary for road closures, traffic and pedestrian safety, or other support, for which your organization will be notified of the amount and responsible for covering the cost of these services.
- At the bottom of this form you may request that the Town co-sponsor the event by paying for all or a portion of the cost of town resources per the town Co-Sponsorship Policy. This also requires Town Board approval at a public Town Board meeting.
Please submit this application at least 45 days in advance (or earlier for more complex events), so that the event can be placed on a Town Board agenda for consideration and logistics, approvals, and employee overtime schedules can be worked out in time for your event. You will be notified of town board approval, costs, or co-sponsorship, if applicable, after the Town Board meeting.
