Community members are defined as those that hold a valid 2025-2026 Athlone, Calder, Kensington, Wellington, Rosslyn, or Lauderdale Community League Membership. 

Payment Information: Fees should be paid via e-transfer to Athlone.ET@Athlone.ca or in cash (by appointment only).

To encourage shopping, each vendor will be provided with tickets. Any time someone makes a purchase at your booth, you will be asked to provide them with a single ticket to enter our raffle. Do you agree? *

Vendor Information and Agreement:

• Our event will be held at the Athlone Community Hall (13010-129 Street) on Saturday, November 8 from 11AM-4PM. 

• All standard vendors must be set up and ready to accept customers no later than 10:45AM. All food vendors (except low risk foods) must be set up in the event of AHS inspection no later than 10AM.

• All booths must be staffed at all times by at least one (1) representative from 11AM - 4PM. 

• No vendor is to pack up early and must stay until the end of the event. Please do your best to ensure that you have enough product to make it through the entire day. 

• A vendor’s booth may not exceed their allotted space (8'). 

• We cannot guarantee access to an electrical outlet for every vendor. If power is necessary, please let us know as soon as possible so we can confirm that we have a suitable spot available for you.

• The use of tape or other adhesives (except sticky tack, painters tape, command strips, or anything that will not damage the paint or walls) is strictly prohibited on the walls and floors of the building. 

• No animals are allowed in the building with the exception of qualified service animals. (You may be asked for appropriate ID)

• To encourage people to support as many vendors as possible, we will be providing each vendor with tickets. For every purchase made at your booth, you are asked to supply the customer with a ticket that they can enter to win a raffle prize consisting of donations from each vendor and Athlone Community League. (Customers can also purchase additional entries for $2 from Athlone Community League Volunteers.)

• In the event that we do not have enough vendor interest, the event will be cancelled and full refunds will be given.

• Refunds will not be given to vendors who cancel on or prior to the event. 

• You must return this form completed in its entirety. 

• Vendors must have e-transferred your payment to Athlone.ET@Athlone.ca. If another form of payment is required, please let us know as they may require a scheduled appointment. 

• If you are an accepted vendor, you will be contacted via e-mail with further information. 


Rules Governing Exhibitors – Eligibility to Exhibit   

Stock: We request that you do your best to adequately prepare for the anticipated number of market goers. While we hope you do sell out, ideally, we would like this to happen closer to the end of the day, so that all market attendees have the same chance to purchase your product no matter what time they attend.  

Staffing: We encourage you to have adequate staff to quickly serve any volume of attendees. We would ask that you please staff accordingly.  

Publicity: All exhibitors are encouraged to promote Athlone Spring Craft Market through their websites, newsletters, emailings, calendars, physical locations and other opportunities as available. 

Photo release: All exhibitors grant Athlone Spring Craft Market permission to use and/or replicate photographs and video taken during the event for the purpose of publishing in newsletters, the organization’s website, for fundraising, outreach, and educational materials.  

Security: Exhibitors are responsible for the security of their own property and equipment at all times. While limited volunteers will be patrolling the event, no licensed security personnel will be assigned specifically to exhibitors and vendors. It is also suggested that you purchase vendor insurance with Athlone Community League listed as additional insured. By signing this agreement, the exhibitor acknowledges and agrees that Athlone Spring Craft Market and the Athlone Community League is not responsible for any loss, theft or damage to any property left on the event grounds at any time.  

Licensing Fees/ Taxes/ Levies: The exhibitor acknowledges that said exhibitor is and agrees to be solely responsible and to hold Athlone Spring Craft Market, event sponsors, officers, directors, and volunteers thereof harmless and indemnified with respect to any locally or nationally required licensing fees or taxes whether government-imposed or otherwise. Said fees may include, but are not limited to, local merchant’s certificates, local transient merchant’s certificates, province licensing requirements for sales tax or merchant’s certificates, music licensing fees, taxes and corporate trademark licensing fees or other like fees. Athlone Spring Craft Market and participating sponsors assume no responsibility for any levies imposed on any vendor.   

Local Regulations: Exhibitors must conform to all rules and regulations in effect at the show facilities as set forth by the city, the fire departments, police departments and/or the building and safety departments.  

Liability: Neither Athlone Spring Craft Market; their sponsors or agents; the facilities; host cities, counties nor provinces are responsible for injury, loss or damage from any cause whatsoever that may be suffered by a vendor, employee of the exhibitor or property belonging to the exhibitor or vendor’s employee. The vendor, upon signing this contract, expressly releases the foregoing named individuals and employees from all claims for such loss, cancellation, damage, or injury. Athlone Spring Craft Market assumes no responsibility or liability for goods delivered to the grounds, or for materials left on the grounds after closing hours.  

Rules: Athlone Spring Craft Market reserves the right to make changes, amendments, and additions to these rules as considered advisable for proper conduct of the event, with the provision that all exhibitors will be advised of any such change. Any matters not specifically covered are subject to decision by Athlone Spring Craft Market and Athlone Community League. 


Food Exhibitors 

Allergens/Ingredients: Exhibitors distributing food and food samples must display and/or have available a complete list of ingredients in each item. Common allergens are: nuts, gluten/ wheat, and soy.  

Samples: Samples must be dispensed individually in disposable containers or with disposable utensils. Samples must be protected from potential contamination by consumers and the immediate environment. Plastic wrap, dome lids, or portable sneeze guards offer acceptable protection. Hand contact with open foods must be minimized by using disposable gloves and/or utensils.  

Food Handler: Food vendors will be required to have at least one food handler, who is in charge at the event. This individual should have successfully completed a safe food handling course provided by or to the satisfaction of AHS.   

AHS Compliance: It is your responsibility as the vendor to ensure you have all the correct permits and certifications for this event.  All vendors may be subject to an inspection by AHS on the day of the event. 

Fire Inspection: All vendors may be subject to an inspection by the fire marshal on the day of the event. Food trucks must have their valid 2025 fire inspection sticker on display.


After we have reviewed and approved this application an email will be sent out to you requesting payment. Should that payment not be received within 7 calendar days of notice of acceptance, your spot will be considered forfeited and you will need to re-apply if space is available.     

A follow-up email prior to the event with all necessary information for day-of details and other information will follow.  Thank you so much for being part of Athlone Spring Craft Market!
