This section sets out the Terms and Conditions by which Port-a-Lab agrees to provide services to you and your child. We reserve the right to modify, cancel or append to these Terms and Conditions and upon doing so shall provide you with notification that there has been a change.

1. Payments, Refund and Cancellations
a. Payments are done at once as a block payment prior to the sessions.
b. No refunds are available for missed sessions.
c. After you sign the registration form and make the payment, no refunds will be available if you decide to cancel the booking.
d. We reserve the right to cancel any session at any time up to and including the date the activity starts. Should this occur we will endeavour to give you at least seven days’ notice and will attempt to offer you a viable alternative or will offer you a refund of any fee paid.
e. If a club is cancelled for example due to weather conditions, instructor sickness etc. Port-a-Lab will arrange an alternative date and in case of not being able to do this, will offer you a refund for that specific session.

2. Health & Safety
a. It is your responsibility to inform us about any medical complaint or history suffered by your child. Otherwise, we accept the children with the assumption that they are healthy.
b. We do not accept responsibility for loss or damage arising from errors or omissions on the Registration Form whether completed by you or by another person in charge of your child at the time of completion.
c. After each Science Club session, children can bring home the experimental projects they have worked on. This will give them the opportunity to extend the learning/testing/observing time and as a result deepen their scientific understanding. However, some substances/materials used in experiments have hazards and it is crucial for your children’s safety that you supervise them while they are spending time on their Port-a-Lab projects at home. All necessary information will be written on each packed work container. By ticking the relevant box and signing the registration form, you accept responsibility for closely supervising your child/children for the entire time he/she/they are working with experimental apparatus they bring home from Science Club and agree to follow the safety instructions given and to take appropriate emergency actions if circumstances require them.
d. Port-a-Lab is not responsible for any unwanted/unexpected result caused by the experimental apparatus brought home by the child/children.

3. Personal Property
a. We do not accept responsibility for any loss of, or damage to, personal property belonging to your child/children irrespective of whether such possessions might be used by the child/children for the purposes of any Port-a-Lab activity if such loss or damage were not caused by the negligence of our staff.

4. Photography and filming consent
a. Port-a-Lab will not take photographs, video or other images of young people without the consent of the parent, and will take reasonable steps to ensure that third parties do not do so without consent.
b. Port-a-Lab will take reasonable steps to ensure images taken by Port-a-Lab with consent are used solely for the purposes they are intended. If you become aware that these images are being used inappropriately you should inform Port-a-Lab immediately.
c. Where photographs, video or other images are taken with consent and used for the consented purposes, reasonable steps will be taken to ensure they are not linked with any identifying personal information.

5. GDPR
a. Port-a-Lab will securely process your data in accordance with GDPR requirements, and store and process your data solely as needed for the purposes of the provision of an out-of-school learning club.
b. Your data will not be shared with third parties without consent except as required by law or as necessary for the purpose of providing the club’s activities.
