We have been using nutshell for 2? 3? years now and it is infuriating and I think is costing us more time and double-effort than it is saving or accelerating us. We use it to manage our sponsors.
Are you a non-profit event with a CRM you can recommend?
I will list below what we want and place a green check mark next to the things nutshell does, sometimes with notes, and red X where it does not.
Feature | Included in our cheap plan | Notes |
Allow external (not billed) reporting/view | 🚫 | Need to allow other teams to see statuses, what companies we have, which are contacted, which are not (report) without paying for them. |
Many users access | ✅ | We pay a fee per user today, a hefty fee for the value we get (not much more than the spreadsheet and YAMM we were using prior) per user per month. Would love better non profit discounting. |
We need to store a list of companies. | ✅
Companies should have attributes such as website, etc. | ✅
Companies should be able to be children of other companies. Hierarchy. | 🚫 | They added this but only for people who pay more. Useful when companies are acquired. |
We should be able to archive but not delete companies and people. | 🚫 | Sometimes a company goes out of business. Would be handy to have them still there but disabled so when we wonder what happened to X, we search, it’s there, and we know. Today's choices are delete, or keep. And if we need to notice we marked it “went out of business” before sending a bunch of bounce back emails. |
We should be able to save people with names, titles, emails, phone numbers. | ✅
We should be able to associate people to the companies. | ✅
I should be able to denote if one, or many or all contacts on an account get emailed for communications, and for what kind of communications. | 🚫 | I.e. sometimes i want to only contact the billing contacts. Sometimes i want to only contact the event contacts. Today the system only lets you set one primary contact. I want to be able to configure a large mail merge targeting all current year sponsors, event contacts, and let them know about how to ship swag to the facility for example or what time they can setup their sponsor tables. Today i have to filter, export, YAMM. Where as for annual sponsorships available I want to email every contact for a company. |
Track Progress: each lead is associated with a person not a company, i don’t care at the people level, I need to track sales by company. | 🚫 | So i gave up on using their workflow/leads and we just use tags. |
We should be able to set a current state and past state for them. (2020 donor, 2021 donor, 2024 donor, etc). I should be able to filter on this state. | ✅ | Using Tags for now, inelegant. This is so I can target emails - who has not yet sponsored this year? Should I offer them a discount for being a prior sponsor? I.E. filter and then send email based on criteria. I think we are supposed to use leads for this but hard to filter on leads and also leads are people not companies. |
If they are a current donor/sponsor I should be able to set specific fields information. | ✅ | Yes I can set custom fields and enter their value. |
I should be able to include custom field information in emails. | 🚫 | I can’t find a way to include this custom field data in a targeted mail merge so I have to export, then use YAMM to do it, frustrating extra steps. |
I want to be able to check the state of each company for the year (contacted, not interested, in discussions, sponsor) and email them based on this. | ✅ | Using tags, but have to filter then export then YAMM. For example all people not yet sponsoring AND not not interested. I have to hand curate the people/contacts to remove any which are only contact for billing or whatever, would like to be able to filter contact AND person. |
A bonus would be to be able to store a list of sponsor packages and attributes - such as gold sponsors get a sponsor table. I could then use these in the email templates. If not possible should be able to set these as variables on the company each year. | 🚫 | I use custom fields today but have to hand edit one by one, no bulk edit option and no referential option. I.e. i should be able to say they bought gold and know gold gets them a table and place that as a variable in an email to them. |
Did I explain this clearly?
Have you used a tool that works well?
