My wonderful current assistant, Sarah, is embarking on a new adventure, and I'm looking for someone to fill her role and help me behind the scenes with my work.

This is a remote contract-based (1099) role: $25/hour, 2-5 hours/week.  

You also receive free access to all of my live + self-paced programs and workshops, across all my businesses.

If you want to be paid in part or in full in private coaching, energy work, fermentation lessons, or other services, we can discuss that as well (otherwise, I will pay you in money).

This is a role that I hope will grow with me! I primarily need someone to help behind the scenes with operations, systems, tech, and admin.

I do not currently need social media content creation, community management, or copywriting.

About you:

Curious, a quick learner, growth oriented, talented, strategic, and with the skill and patience to navigate tech + admin.

I'm looking for someone with experience as an Executive Assistant, or as a successful entrepreneur or other professional with experience in tech, admin, and business. I want someone who is able to quickly and efficiently do the kinds of things that take me forever (like admin), who I get along with (obviously), and who finds the work I do exciting and wants to see it succeed.

I want my work and impact to continue expanding exponentially in the next 5 years. And I want to bring on an Executive Assistant who has the skills, interest, and the excitement to go on that journey with me.

See specific skills/interest areas in the sections below, but broadly what I need is:

Tech help: Most immediately, we'll be migrating my Squarespace site to Wordpress. And making my Wordpress sites more functional, particularly the Memberpress shop, which is currently not very user-friendly, and setting up funnels and generally improving site architecture.

I also want to move my enterprise email/cloud off Google and to Proton. You don't need to be an expert in every tech tool (knowing Wordpress would be helpful) BUT you do need to be willing to learn and comfortable using and quickly learning new tech tools.

Admin help: Inputting my monthly financials in a spreadsheet? Helping clients with lost course passwords? Sending course reminder emails? Downloading and emailing me insurance statements every month? Filling out forms? Contacting customer service for me on the rare occasions that's needed?

This and more is possible: An entire world of exciting administrative activities eagerly await you!

I welcome your feedback and am open to suggestions, but some possible focus areas include determining when our social media followers are most active (so we're scheduling posts correctly), setting up SEO keywords, making sure Cloudflare is running properly on all my sites and suggesting other plugins we might need, and building customer journeys and/or suggested related products into the 'shop' pages of my sites (this last one is most critical).

I am looking for someone who is passionate about the specific areas I work in (food, creativity coaching, history, research, etc.), or at least is passionate about helping people who are curious and multi-passionate to run successful businesses and grow and expand their work.

Someone intelligent, thoughtful, and curious, who can turn things around quickly and is willing to learn.

I want to work with someone who is comfortable telling me 'yes' and 'no', and who wants to grow alongside me and the business. I want you to feel like you're a part of my work and invested in its success, but I also want you to have your own work/life balance and interests.

I'm at a moment of BIG expansion in my own work, which means we'll both be navigating lots of change, learning new tools and skills, and I'll also be leaning into new and increased visibility and elements of my identity that push me against my comfort edges but ultimately will make the work 100x better.

That means I want to work with someone who thrives in a changing (read: changing, not "fast-paced" or burnout-inducing) environment, and to be part of a growing body of work.

What this means for you is that work tasks themselves are varied, and this role may shift or expand (as we both agree on it) to encompass new elements as my work continues to evolve.

If you just want to plug in and do the same 5 admin tasks each week for the next 5 years, I'm probably not a great fit for you.

About me + my work:

I am a multi-award-winning author (currently on book tour!), primarily writing about food, fermentation, history, and libraries, as well as the founder and owner of Root, the Culinary Curiosity School, and Roots + Branches holistic creativity coaching.

I am also a fermentation enthusiast and educator, and lead classes and events centered around food and creativity, in addition to my work as a writer and entrepreneur.

I have a PhD in Library and Information Science, believe reciprocity with the Earth is central to our well-being, have built community support into my businesses and personal life (and hope to continue funding community care and mutual aid work as my own success and abundance grows), and currently am steward to a 13 acre conservation area in addition to turning my gardens into registered wildlife and pollinator habitats.

I have built my body of work and businesses to reflect my values, and I want an Executive Assistant who is both scientific and logical AND believes in the magic and mystery of the world, like I do. A commitment to reciprocity with nature, and community care, are also helpful.

I also am a Reiki master, intuitive, and witch, as well as a Queer person, and a fervent believer in the power of community care in ways that are reciprocal rather than extractive.

I live most of the year in Cork, Ireland, but my businesses are registered in the US (I may expand them to also incorporate in Ireland, but I'm still navigating how/if/when that is possible), and when I'm stateside I live in Atlanta, GA.

I am a Queer woman and an animist and energy worker, as well as a PhD and business owner. We'll cover everything from food history to casting spells to entrepreneurial admin and beyond together.

This role is 100% remote. Because you'll receive a US-based 1099 tax form, this role is best for someone who already files (or plans to file) taxes in the US.

You can be based anywhere in the world, but you’ll be receiving USD and a 1099.

This position requires you to use your own computer equipment and software (e.g. word processing). You'll have access to my Canva and some other cloud-based programs specifically for business use.

This is a side gig, and your hours will vary week to week. Many weeks you'll have closer to 2 hours of work, some weeks closer to 5. In other words, this is a bit of extra cash and the chance to do work you (hopefully) like, but should not be your main source of income.

If you don't have every skill listed but feel you're a good fit, please still apply. I'd rather work with someone who I mesh well with and is passionate about their work, but who needs a bit more training, than work with someone who has the skills but doesn't really care about me or what I do.

Required + desired skills:

Required skills and experience:

  • Website maintenance/general tech support, specifically with Wordpress.
  • Experience providing admin or executive assistant support to creative professionals or related (or experience doing this for your own business, etc.)
  • Systems, automations, and integrations: Migrating sites and enterprise email between platforms, building out systems to automate follow up emails, etc., and building sales funnels. Anything we can do to make the sites more user friendly and to make the shop pages easier to sell from and most importantly, deepen relationships with clients and readers.
  • Experience with various office and productivity tools including MS Word and Excel, cloud-based storage (like Drive) and meeting software (like Zoom). And email.
  • Experience using Canva.
  • Interest in food, fermentation, writing, creativity and creative living, and/or energy work.
  • Self-motivated and organized: You set your own hours, and I operate on the assumption you'll turn around work quickly and to the best of your abilities. If you need reminders, follow-ups, etc., this isn't the role for you.
  • Can turn around simple tasks quickly: e.g. if I send you an email to send out to a class list, or ask you to change a setting in the backend of a website.
  • Communicative: If you'll have delays from travel, or anything else that impacts your availability, have an idea or concern, etc., be able to communicate that with me.
  • Willingness to learn and a general sense of curiosity about the world.
  • Someone who gets genuinely excited about things, and who wants to share that excitement. Not saying every admin task you do will be an endorphin rush, but I love working with people who find pleasure living on this glorious planet, and want to cultivate working relationships with people who feel that joy as deeply as I do.

Desired skills and experience:

  • An eye for design and/or the ability to make a website look really good: you don't need to be a web designer who builds the code from scratch (though if you are, great), but if you can even just use existing Wordpress templates to make things look snappy that would be good.
  • Research experience: Occasionally I receive research requests and need extra help going through archives, etc. This happens rarely, but if you do have research skills we can put them to use when it comes up!
  • Experience building online courses: We use Memberpress, but any experience with the architecture of online courses is welcome.
  • Experience running online and IRL events: For now, this would be online-only but may expand to in-person retreats in the future. Including things like: Making event schedules, logistics, following up with presenters, etc.

Here's how the job breaks down (roughly):

Behind the scenes website/tech support and related (~40% of your time):

Streamlining and improving systems, implementing new tools OR improving how we work with the ones we have. As well as keeping existing things running. Once we have the systems built, this may take up less of your time outside of launches.

Functionally, this means:

  • Experience with Wordpress (including Jetpack, Memberpress, and WooCommerce). Ability to keep websites running and updated, address issues if/when they arise, reset student passwords, etc.
  • Experience with Squarespace (in our case, to migrate a site and domain name from here to Wordpress).
  • Ability to build out things like sales funnels/recommended products, follow up emails, and other systems that help the business run more smoothly on its own (or a desire to learn).
  • Comfort with other tools most of us use at this point (like Drive, Zoom, etc.) for my classes.

My goal this year is to get the websites in better order and to implement systems and workflows that ultimately make life easier on both of us, and you'll be instrumental to that work.

Admin stuff (~40% of your time):

Admin makes me want to curl up into a ball in the corner and cry. Which is where you come in.

It takes me about 10 hours to get up the gumption to do something that a skilled assistant can get done in 10 minutes.

This means: If we have an issue with Stripe, or have to fill out a trademark renewal form, or need to organize financial documents into a spreadsheet, or send out reminder emails for a class, or any other admin-y activities, these are things that I'd hand off to you.

This also means: Automatically performing regular admin tasks (we have a spreadsheet of these) that happen weekly/monthly/quarterly.

Other stuff (~20% of your time):

Other TBD tasks as they come up, like doing research support or inputting course materials into a Canva template or scheduling social posts (I do all the captions and images, you just drop them in the platforms).

I am not 100% sure where our work will grow together over time, which is where conversations with you come in (as in, what kinds of things you do and don't want to do or opportunities you see). We can discuss other possible ways you can be involved during your interview, if you wish!

Lower priority (things I do not need currently):

  • Marketing and PR (if this is an established skill set, we can discuss maybe bringing it in though!)
  • Social media graphics and copy (I handle this myself)
  • Website copy and ad copy (likewise, though I'm always open to feedback)
  • Event/calendar management (I handle this myself)
  • General inbox management (you'll send the occasional email on my behalf, but largely I do this)
  • In-person support for events, etc. (again, we can consider this in the future)
