Basic Settings

The basic settings of the user portal are located on the Profile page. These settings allow you change your name, mobile number, and out of office status.

A full description of the user portal’s basic settings are below. If you change any settings, be sure to click the orange Save button at the bottom of the page.

Email Address

Your email address. This address is used for logging into the Jazinga Cloud user portal, and is also where voicemail messages left for you are sent to. It is important that you enter a correct email address in this field. You will not be able to reset your password or receive voicemail messages if an invalid email email address is entered in this textbox. An email address must be entered; You cannot save your settings without entering a valid email address.

First Name

Your first name. This is used to assist callers in locating your extension when they use the dial-by-name directory service. Entering a first name is not required, but is recommended.

Last Name

Your last name. This is used to assist callers in locating your extension when they use the dial-by-name directory service. Entering a last name is not required, but is recommended.

Advanced Settings

The advanced settings of the user portal are located on the Profile page. These settings allow you change mobile ring options and your ring duration. To access advanced settings, click the Advanced Settings link on the Profile page.

A full description of the user portal’s advanced settings are below. If you change any settings, be sure to click the orange Save button at the bottom of the page.

Alternate Number

An alternate number that can be used to reach you. The Alternate Number is typically a mobile phone, but could be any phone number that will reach you directly. This is used to forward calls to you. Depending on your ring options, calls may be directed to your alternate number before, after, or at the same time as your other phones ring. Entering an alternate number is not required.

Out of office, only ring Alternate

An on/off toggle switch to determine if you are in or out of the office. Turning this option to On will ring only your alternate number when someone dials your extension (any other phones associated with your extension will not be rung).

Ring My Alternate Phone

On/off toggles to determine when your alternate number will be rung if someone dials your extension. Only one of the four available toggles can be selected at any time. Note that these toggles only have an effect if you have entered a telephone number into the Alternate Number textbox.

Each of the available toggles is described below.

Simultaneously

Your alternate number will be rung at the same time as all other phones associated with your extension. Note that ringing your alternate number places an outbound call from your phone system, and this can take a few seconds to set up. You may notice that your alternate number begins to ring a few seconds after your other phones.

After other phones

When someone dials your extension, all phones associated with your extension will be rung except for your alternate number. If none of your phones are answered, your alternate number will then be rung.

Before other phones

When someone dials your extension, only your alternate number will be rung. If your alternate number is not answered, all other phones associated with your extension will be rung.

Never

Your alternate number will never be rung, but all other phones associated with your extension will be.

Ring Duration

Determines how long each ring cycle of a call will be when someone calls your extension. Depending on the selection you have chosen for the Ring My Alternate Number option, a call to your extension may have multiple ring cycles. For example, if you have selected the After Other Phones option, all of your phones (except your alternate number) will ring for the number of seconds you have specified in the Ring Duration text box. If none of your phones are answered, your mobile phone will then ring for that same number of seconds.

Keep in mind that if an alternate number has a voicemail system enabled on it, the alternate number’s voicemail system answering a call means that the call is considered “answered”, and the call will not be directed to your voice mailbox on your Jazinga phone system. If you are forwarding calls to your cell phone, you may wish to set the Ring Duration value to something lower than the amount of time it takes your mobile voicemail system to pick up an unanswered call. This will avoid having unanswered calls go to your mobile voicemail, and will direct them to your Jazinga phone system’s voice mailbox instead.

Recording Voicemail Greetings

Voicemail greetings can be recorded using buttons Profile page, beneath the Advanced Settings sections. These buttons allow you to record the greetings that will be played when someone reaches your voicemail, or when they search for you in the dial-by-name directory.

A full description each recording type is below. To record one of your greetings, click the red circle icon next to the recording’s name. All phones associated with your extension will ring, and you will be played a series of audio instructions directing you to push buttons on your phone to record your message, listen to your message, or cancel. Follow the audio prompts to record your message, and hang up when done.

Unavailable Greeting

This message is played to a caller who reaches your voicemail (either because you are on the phone, you declined the call, or you are away from the phone).

Recorded Name

Your name is played when someone uses the dial-by-name directory to search for you. Your name is played, and the caller is then asked to verify that you are the person they are searching for. If no name is recorded, your name will be spelled out letter by letter when someone searches for you in the directory.

Your Phones

The Your Phones list is present on the Profile page of the user portal. This list shows you all phones that are associated with your account (including a mobile number, if you have entered one). There are no options available for the Your Phones list. If you need to add or remote a phone from your extension, please contact the person responsible for your Jazinga Cloud system.
