LONG LAKE AREA ASSOCIATION EXECUTIVE BOARD MEETING

Saturday, September 20, 2008 10AM to Noon at John McKinney’s home

Attendees: John McKinney, Sharon Natzel, Larry Roberts, Lou Schultz

Call to Order:

The meeting was called to order by Larry Roberts, President.

Minutes:

High Speed Internet:

With goal of the improvements for LLAA, Larry Roberts followed up with ACS on high speed internet capabilities for northeast side.  The ACS engineer called and went through their analysis of running cable for the size of the neighborhood.  Likely not feasible.  Currently high speed ends at north end of Dakota Drive at the end of the pavement.

Flotilla:

Marlene Stock to form an ad hoc committee seeking input on the Flotilla.  Linda Horsager has provided ideas to Marlene.  Various concepts were discussed by the Executive Board to be provided to Marlene too.  Sharon Natzel and Lois Madsen will work with Marlene.

Walleye Fund:

Walleye fund has $785.  Discussed placing donation containers at the Resorts, allowing the Resort to care for the money until it was collected at the end of the year by LLAA.  Also can use the web site for donation.  We can get set up for Spring.

COLA:

Larry Roberts delivered the COLA invasive species packet to Cedar Shores.  They are willing to host a meeting for other Resorts on Long Lake.  Larry and Bill Anderson to attend.  Many of the Resorts are already doing something on educating guests on invasive species, but are open to suggestions.

Ken  Grob, Hubbard COLA President, was pleased with our last Board Meeting and was glad we communicated the needs and ideas of LLAA.  Bill Anderson is the current LLAA Representative for COLA.  Harry Stock attended the recent COLA meeting.  Additional Alternate LLAA Representatives to COLA considered; representatives from the neighborhoods potentially.  Seek commitment for the few winter (daytime) meetings and more frequent summer (evening) COLA meetings.

Newsletter:

Larry Roberts will ask if Nancy Baer is again willing to organize the information and communicate deadlines so the newsletters can be mailed 11-15 and 4-15, keeping to 4 pages to contain printing and postage expenses.  Receiving via email saves money.

Budget:

COLA was paid.

LongLakeLiving.org Website is $200/month.

Strategy Map for LLAA:

Lou stressed keeping the pressure on achieving goals which were reported for the annual meeting.  Goal is to get 300 active members. Discussion followed on:

-Survey members ideas on strengths and for expanding membership

-Use the member / non-member lists

-Currently nothing to trigger paying dues unless read Newsletters or Website

-Unclear when the dues year starts; calendar year or July through June, etc.

-We need identity and incentives to encourage becoming a member; maybe a decal with Long Lake logo

-Neighborhood parties and activities draw people and show positive benefits

-Use Flotilla to get membership

-Incentive to go to the website daily

-Sharon will research other lake organization’s websites for vision statements

-Do we have clear information on 2nd and 3rd tier memberships

Website:

Sharon is willing to help.

Safety and Security:

Discussion on promoting safety and security, ways to deter theft with neighborhood watch signs.  Could be a reason to join LLAA neighborhood.   Larry Roberts will check with the sheriff and others regarding grants for a pilot program and signs as a strategy for next year.

Meetings:

June 27 is the Annual Meeting with registration from 9 to 10AM.  9:30 AM is the social and 10AM to Noon is the meeting and then lunch.  Ideas discussed included:

-Email addresses would allow reminders of meetings

-Photos at the meetings / neighborhood gatherings for website

-Sharon to research if PR Enterprise events are read on the local radio station

-Network of Neighborhood Call Volunteers who telephone 5 to 10 people

-Get Alternates more involved

-Document responsibilities of representative and alternates for consistency

-Every neighborhood could have a Communications Chair

Larry Roberts will organize the Zorbaz Get Togethers starting in October for the entire LLAA.  He’ll place the info on the website and in Park Rapids Enterprise.
