Evolution QB Export (aka EvoQ) – Summary of Steps

If you have previously installed the EvoQ software, please download the current version of EvoQ (4.0.0.123).

The download and install steps are summarized as:

  1. Goto http://www.paydayinc.com
  2. Click the Clients button at the top of the page
  3. Click the Download Files link
  4. On the Client Downloads page, click the EvoQ bullet point
  5. Click the EvoQ-4-0-0-123.msi.zip link
  6. Save compressed folder to your pc/network
  7. Unzip the contents of the compressed folder (for help, see http://windows.microsoft.com/en-US/windows7/Compress-and-uncompress-files-zip-files#)
  8. Double-click each of the setup files to install programs
  1. Start with the EvoQ_4.0.0.123.msi installer (contact your IT person, if necessary)
  2. Install/double-click qbsdk130.exe
  1. or, for versions prior to QuickBooks 2013:  install the QBFC7_0Installer.exe
  1. for QuickBooks 2004-2005: also install the QBXMLRP2Installer.exe (additional SDK files)

The one-time setup on the Connection settings: tab once the program Evolution QB Export is installed is:

The steps to interface the G/L data:

  1. Review the G/L (S183) report for each payroll
  2. Open QB (first time grant permission in QB to allow EvoQ access to update QB when it is open – requires admin access to QB; with each interface, QB should be in Single User mode)
  3. Open Evolution QB Export
  4. On GL Export tab and Direct Connection sub-tab, click Get Evolution Payroll List button
  5. Click current payroll in Payrolls list
  6. Account Numbers = selected; Don't parse = selected; Clear = unchecked
  7. Click Run button

The steps to interface the Check data (not applicable if Trust account with Payday, checks clear on Payday bank account – please review the posting of Employee Net Payroll subtotal, aka ‘live’ checks, and of Agency Checks on the S183 G/L report).  NOTE: Manual checks – these are included in the interface; so, the imported instance from Evolution QB Export will have to be deleted or reversed after the import IF the manual check was produced from QuickBooks, originally.  Recommendation: only the net amount should be entered when producing a manual check out of QuickBooks (offset net amount of check to ‘payroll liability account’) – applies for Trust account, too.

  1. Review the Ck Recon (S214) report for each payroll
  2. Evolution QB Export open for G/L Export, on Checks Export tab and Direct Connection sub-tab, click the current payroll in Payrolls list
  3. All Checks = selected
  4. Cash Account = bank account in QuickBooks that employee and agency checks are clearing against
  5. Liability Account = payroll liability account in QuickBooks to offset summary amount for net checks and garnishments (reference the G/L S183 report for the "Net Payroll" credit amount which matches the Ck Recon S214 report's Regular Check subtotal)
  6. Create Direct Deposit Checks, Include Payee Names and Clear = not selected (the individual amounts for the direct deposit payments are available in the Payroll Register and Direct Deposit report; to include payee names, the exact name has to be setup in QuickBooks as is setup in Evolution for each employee - reference the Ck Recon S214 report for employee names, if necessary; clear each transaction and check number when reconciling to your bank statement)
  7. Click Run button
