Budget Allocation for PNAA Officers

PURPOSE:

This policy is issued to set forth official guidelines regarding budget allocations of designated officers of PNAA.

POLICY:

The PNAA treasurer will disbursed funds guided by this policy. The designated officers that have been voted and approved by the Executive Board entitled to a budget during their  term of office  are the following officers : President, Executive Director, Regional Vice Presidents.

Definitions:

Budget year for an officer starts during the cycle June/July six months into the year.  i.e. January to December to synchronize with taxation cycle  ( 12 months and prorated at 6 months during the endorsement year to the next administration)

                       

RESPONSIBILITIES AND PROCEDURES:

  1. Officers are responsible for submitting to the PNAA treasurer their original receipts within 30 days of official      travel. Travel form ( attached)

  1. Travel reimbursement is for airfare, train fare, gasoline receipt if driving, and hotel stay only. There is no per   diem allowance for meals and incidentals based on the premise that meals are an everyday personal expense

  1. Travel allocation for Regional Vice President (RVP) is justified for regional networking. If the RVP goes beyond their geographic regional area, expenditure becomes the RVP’s personal responsibility. RVP will not be reimbursed for the annual convention.

  1. The budget allocation of the aforementioned officers will be reviewed every two years at the start of a term for appropriateness based on historical expenditures.

  1. If questions arise regarding use of budget allocations and expenditures, the Treasurer through the Budget and Finance Committee can bring the issue to an Executive Board vote based on documentation of the issues and concerns.  

  1. The International Conference if it occurs is an activity of the president and is an ad hoc event not covered by the budgeted allocation. At the discretion of the President and based on revenue generation, attendance by the ED, Regional Vice Presidents at the international conference expenses can be reimbursed.
