Meeting called to order by PTA President Melissa Toledo at 7:08pm
Principal’s Report
- Principal Wadkins reported that she is working on the staffing and budget for the 2022-23 school year. Students will be invited to participate in interview panels for new staff and she hopes to have all hiring completed by the end of May.
- IB testing is underway this month and we have a record number of students taking IB exams this year, with more full diploma candidates than ever. Volunteers are needed to help proctor the IB exams - please reach out to IB Coordinator Jennifer Wiandt Owensor or sign up here if you are able to help.
- Principal Wadkins is talking to the District about increased support for the IB program as the current consolidated budget was set in 2007 and the program has doubled in size since then.
- She also mentioned that there is a plan in place to incorporate the CTE strands into the IB framework by adding a career related program.
- A Site Council is being established for the first time in several years that will include parents, teachers and students. The group will meet in May to draft a School Continuous Improvement Plan to set goals for the next 2-3 years.
Board Business
- The minutes from the March Minutes were distributed electronically as linked before the meeting, and were approved as written.
- Dan Mason presented the PTA Treasurer’s Report through the end of March 2022. He pointed out that we started the fiscal year with $48,433 in our accounts and if we spend and fundraise according to our approved budget, we will end the year with approximately $20,000.
- We are currently approximately $8,500 short of our annual fundraising target total, so are really counting on the online Spring Fundraiser on April 21 to make up much of that difference. The PTA Board is 90% of the way towards our goal of $2,000 for the Fundraiser.
- On the spending side, we have an unspent $3,000 line item earmarked for IB program support as well as $2,500 budgeted towards the Weekend Warriors and $1,500 for staff/volunteer appreciation. Amy Lewin said that she would reach out to Jennifer Wiandt Owens to see if there were any specific IB program needs at this time.
- Amy Lewin submitted an invoice for $702.44 for the Class of 2022 pennants to be paid out of the PTA discretionary fund, which will leave approximately $1,400 in that budget line.
- It was noted that no action had yet been taken on ordering the Class of 2022 yard signs, though Yancey had completed the design. The quote from a local printer was considerably more than the one provided by Jostens.
- Membership is currently up to 165 members.
- CHS PTA Board Recruitment
- Currently every executive board position is open for the 2022-23 school year. Our recruiting efforts thus far have not resulted in much interest despite our email and social media pushes to publicize the PTA Meet & Greets.
- We need the Cleveland community to step up to fill the following positions: President, Vice President, Secretary, Treasurer, eNews Editor, and Fundraising Chair. Additional positions such as Social Media/Communications Chair, and several Board Members At Large are also open.
- An in-person panel discussion meeting will be held on Monday May 16 in hopes of getting more of the community in the building and interested in taking part in the PTA.
- The reality is if the CHS PTA doesn’t have a President, Treasurer & Secretary, it will become “INACTIVE”. That means NO MONEY, NO FUNDING, NO PROGRAMS, NO VOLUNTEERS, NO NOTHING.
- If no one comes forward, the “Unit In Good Standing” requirement will fail in November 2022. The CHS PTA will then have to empty our Bank Account and hand over the cash to the Oregon PTA for holding.
- Elections are being held Wed, May 18th. Please spread the word.
- There is a team of 8 volunteers in place for Teacher Appreciation week to provide breakfast, lunch and goodies through out the week, as well as a pizza lunch on May 6.
- Two volunteers are on board as “cheerleaders” during the online Spring Fundraiser tomorrow night, April 21.
- Lucretia Lyons has an email in to Laura Fisher in the front office about ways to promote the upcoming Meet & Greets to incoming 9th grade families. She will coordinate with Amy Lewin to make sure that all the dates and info is up to date.
- Laura has provided some input on how to improve and expand involvement of the Campus Greeters next year.
- Lucretia researched some local printing options for the Class of 2022 yard signs but found they exceed the amount we have paid in the past. Additionally we still do not have a funding source for the signs in our current budget. Robin Springer suggested that we take $2,500 from the Weekend Warriors line item and using it towards the signs. A motion was made, voted on and approved to reallocate the funds.
- There are still several cleanup events scheduled for May 14, May 21 and June 4. It takes a lot of hands to help keep Cleveland High School clean and safe for our students and the community. Sign up here to volunteer!
Old Business
- The party will be held June 7, 2022. 8 pm–Midnight. Tickets are for sale at SchoolPay.com and will be sold in-person on May 17-18. Donations to help the Class of 2022 party be even more epic can be made via Givelively. An email with all the details will be going out to senior parents this month.
- Spring Fundraiser with CHS Foundation
- The event will be held online on tomorrow night, April 21, 2022. 6:30-8:00pm.
New Business
- Someone needs to talk to Jan Watt and the administration to determine whether it’s necessary to host this event this year.
Motions
- Kristin Sherwood made a motion that $2,500 from the Weekend Warriors budget line item be reallocated to pay for the Class of 2022 yard signs. The motion was seconded by Robin Springer. A vote was held and approved unanimously.
