Dear Housing Students and Parents,

I am very happy to welcome you to Joffrey Ballet School this summer, or as we like to call it - your home away from home. Each year our Joffrey family grows as familiar faces from previous summers return and students join us for the new season.

Many of you have made the decision to join us in our residence halls. We know that this was a big decision, but in doing so you have chosen to enhance your summer experience by increasing your opportunities to grow and make life-changing connections and memories. Joffrey Ballet School is dedicated to keep our promise to provide all students with a safe and comfortable living environment. Our housing staff is ready to provide mentorship to our students while promoting an inclusive community catering to students who will be joining us from around the world.

Personally I am excited to celebrate my seventh summer with the Joffrey Ballet School and I feel very honored to have the opportunity to lead our housing and administrative teams. Me and our staff members look forward to taking advantage of every opportunity to facilitate the best summer for our students.

Joffrey Staff & RA on Duty

The Residence Life Department team consists of one Director of Residence Life (DRL) and a staff of live-in Resident Advisors (RAs) who rotate duty shifts. The RA on duty facilitates daily operations and handles crises or emergencies should they arise. RAs are also available to take students (17 and younger) to the doctor, PT, ER, etc.

The RA on duty can be reached 24/7 at joffreysf@joffreyballetschool.com. Aside from escorting students to and from classes and events, RAs conduct weekly apartment inspections as well as daily rounds to ensure health and safety. The staff also meets with students to conduct wellness checks, mediations, conflict resolution meetings, friendship introductions and any other situation that students need assistance with.

Security

There is an RA on duty at the dorm 24/7. Only residents have access to the building. Students must always lock their apartment door and carry their keys with them. For the safety of all roommates, students are not allowed to leave their apartment door unlocked, even if they are doing laundry or running errands close to the dorm.

Garbage & Recycling Guidelines

Students are responsible for maintaining a reasonable level of cleanliness in their room and in the entire residence hall. Joffrey Ballet School does not provide the cleaning of student rooms or room trash bags. Each student is expected to place their garbage in sturdy plastic bags, which are securely tied shut to prevent spill and leakage. Each student is expected to deposit their trash in the location designated by the housing staff. No trash is to be left in any hallway, public area, stairwell or near the exterior of the building except in the designated trash location.

Residents should be attentive while doing laundry and be prompt in moving clothes between machines. JBS is not responsible for lost or misplaced clothing.

Deliveries

When a resident receives a delivery of any kind, they must meet the delivery person or service at the front door. To ensure safety, residents are not allowed to buzz anyone into the building.

Packages may be picked up at the front desk at the residence hall. If possible, include notes about calling your personal phone, in the delivery instruction section. Residents will not receive their apartment number until their check-in day and will not be able to schedule deliveries until after their arrival.

The Residence Life Department will not be managing any mail or packages and recommends that residents not have mail delivered, due to short boarding periods. Joffrey Ballet School is not responsible for any lost or damaged packages or mail and will not forward any mail received after resident departures.

Maintenance Procedures

Residents can submit maintenance requests to the RA on duty via email. Housing Maintenance staff will respond to the request asap. General maintenance and routine repairs are performed without charge. Residents will be held responsible for any deterioration of the room or its contents beyond normal wear and tear. JBS cannot service or repair student property. Non-emergency requests that occur from Friday-Sunday will not be resolved until Monday.

Emergency Maintenance

Emergency repairs include major leaks and flooding, inoperative door locks, and any problem that endangers property or safety. In case of an emergency, contact the RA on duty immediately. Do not attempt to repair any damages made during the year.

Storage

There is no designated storage area other than student rooms. Please consider this when packing.

Fitness Center and Pools

Students are not allowed in the fitness room or pools. Students will not have access to these locations. These amenities are camera monitored.

PUBLIC TRANSPORT AND NAVIGATING THE CITY

Students are always encouraged to travel with their friends if they feel comfortable.

General Information

Uber/Lyft/Gett

Uber, Lyft, and Gett are car services that let you request a car from your smartphone. You create an account and enter your credit card information, which is stored securely within the app so you do not need to worry about payment. To call a car, simply launch the app, enter your destination and request a car.

         

WHAT TO BRING

Students should consider limiting the amount of belongings that they bring to the dorm to ease with moving in/out.

WHAT NOT TO BRING

The following items are prohibited and will result in confiscation and/or infractions/fines.

Students are not allowed to paint the walls and may only use painters tape to hang items on walls. Nails, screws, thumbtacks, push pins, command strips and wall putty are not allowed.

Keys

At check in, students will be issued a room key. Students will carry these keys at all times. Students may not give or lend keys to any person. Lending and loss of keys will result in infractions/fines.

 

Health Forms

In order for JBS staff to take your students to the doctor, we require a health waiver. Students who did not complete their Health Form waiver online will not be allowed to check into the dorm.

Room Condition Report

Students will receive a link to fill out a Room Condition Report (RCR) online when they check in. It is important to note the condition of the room and all of the items inside. Any damages found after the student checks out that is not noted on the report will result in fines and/or deductions from the student security deposit.

CHECK OUT PROCEDURES

CHECK OUT

Students must check out of the dorm before they leave for classes on the Friday of their last week. Students participating in the performance on Saturday August 5 will be allowed to check out on Saturday morning before 12:00 pm. Students not participating in the performance must check out on Friday morning before class.

Joffrey will provide storage for students who would like to pick up their belongings after classes. All belongings must be picked up on Friday. Housing students are required to schedule a check out time and will be required to move out during that time. Dancers staying at the dorm for multiple weeks do not have to check out during the weekends.

Before Departure

Students are expected to clean their room and apartment before the check out.

Guests

Parents and guests are allowed to assist the student with check-out.

Departure

To check out, please text the RA on duty when you are ready to leave. Students must be completely packed and the room and apartment must be cleaned. The RA will inspect the apartment, before the student leaves. Any damages will be noted on the RCR. The student will not be allowed to leave if the apartment was not properly cleaned.

Keys

Residents must turn in their keys with the RA on duty before checking out. Students who did not leave their keys will be expected to mail it to the DRL or pay the lost key fine.

ROOM ASSIGNMENTS

Housing fees guarantee a bed in JBS housing - they do not guarantee a specific room, room size, or location. JBS reserves the right to move residents at any time. Residents will be assigned to apartments based on groups, intensive, age and arrival dates.

Roommate Requests

Students may request roommates under the following conditions: Roommates must reside in housing for the same period of time and must attend the same intensive and be assigned to the same group. Please note that although we will make every effort to accommodate requests, it might not always be possible. Roommate Requests are $100 per dancer. If we are unable to honor a request, the resident will receive a credit towards their tuition.

Roommate Agreement

Learning to live with roommates successfully can be an adjustment. The housing staff is here to help in this process and we have created a Roommate Agreement form should one be needed. Within the first few days, start a conversation with your roommate to establish expectations about how you’ll use the room and common areas. Talk about cleanliness, sleeping preferences, temperature control, guests, and most importantly, how you’ll address conflict if it arises. We recommend making a “chore chart” for taking out the trash, cleaning dishes, cleaning the sink, vacuuming the floor, wiping down appliances, etc.

Protocol for apartment changes

It is very important that students talk to housing staff about roommate conflicts. If students do not take the initiative to speak with an RA about any issues, the staff cannot aid the conflict.

For students to be considered for a roommate change, students must do the following:

  1. When there is a conflict with a roommate, students contact the RA on duty and seek help.
  2. Students have a mediated conversation with their roommate(s) and an RA to reach a compromise.
  3. A Roommate agreement/contract is created and signed by all roommates involved.
  4. Students must try their best to live up to their end of the compromise for ten days.
  5. At the end of the ten-day period, the RA will check in with each student, and then host a discussion with all roommates to see how things are going.
  6. If a roommate change is needed, the RA will work with the DRL to see if there is any bed availability to move students.

If the conflict is unable to be resolved, the student(s) may be eligible for an apartment switch if possible. We will not relocate students if there are minor issues that can be resolved amongst the students or the issue is not severe.

STAFF ESCORT INFORMATION

Escorted trips to and from the studios are on a sign up only basis. Housing staff depart the dorm once a morning for the studios at a scheduled time to provide an escorted trip for students ages 14 and up who sign up. There is also one scheduled return trip at the end of the day from each studio for students who sign up. Students in this age group are not required to travel with the escorted trip, but they are required to travel in groups of 2 or more students when leaving the building.

It is the student’s responsibility to be on time for the scheduled departure. If the student misses the escorted trip and wants a staff member to escort them to the studios or back again then they must wait until a staff member leaves for the studios or the dorm on school business – a special trip will not be made for students who missed the escorted trip. If students do not show up for the scheduled departure, the trip will be canceled. In order to accommodate all class start and end times, students may have to travel to class 1.5-2 hours early in the morning or wait 15-45 minutes before departing the studios for the dorm.

Students (ages 12-13) are never allowed to travel without a staff member. Students 13 and younger will automatically be assigned to escort groups every day.

STUDENT CODE OF CONDUCT

Curfew

Curfew is the time at which students under 21 must sign-in and remain in the building until 6:00 am the next morning. Students will sign in with the RA on duty in a designated common area.

To request an extension for curfew, the legal guardian must send an email to the Duty email at least 24 hours in advance. Students are required to be with another person who is 18 and older and who has been approved by the guardian. The guardian must confirm the student’s location, who they are with (as well as that person’s contact information) and what time they will be returning to the dorm.

Sign In/Out of the dorm

Residents (regardless of age) are required to text the RA on duty every time they leave and come back to the dorm.

Room curfew

Residents from the same cohort are allowed to be in each other's apartments, but are not allowed to go into bedrooms. All residents regardless of age must be in their own apartment by 10:00 pm each day.

Guest Policy

Guests are not permitted at the dorm.

Quiet Hours

To accommodate a variety of sleeping schedules, quiet hours are in effect from 10:00 pm to 7:00 am everyday. This means voices should be kept at a low volume, headphones should be worn to listen to music, etc. Courtesy hours exist 24 hours a day. Volume from any individual room should not extend beyond the walls of that room.

Room Inspections

RAs will perform weekly apartment inspections. We expect residents to keep their apartment and room livable and clean. Inspections will be scheduled at a time when students are attending onsite classes. Staff members conducting inspections will wear a mask and gloves and will provide updates via text. Staff will not touch anything, unless they are confiscating contraband.

Common areas & Corridors Etiquette

Socializing, rehearsing, running, and/or playing sports, eating and drinking are not allowed in common areas, hallways or stairwells, unless approved and scheduled with the housing staff. Residents are not allowed to place their feet on the walls or suspend themselves in the hallways using their hands or legs.

Access

Staff will enter any room as necessary for routine health and safety inspections and in the case of an emergency or when tending to a maintenance request. Staff will randomly inspect apartments without advance notice to ensure the resident’s adherence to the rules and regulations. Staff will always knock and announce themselves before entering a room. Staff will also wear masks and gloves when entering a room and will not touch anything unless confiscating contraband.

Fire Escapes, Rooftops, Balconies and Ledges

Residents are strictly forbidden to be on the roof, fire escapes, balconies or building ledges at any time for any reason, except by the request of a Fire Official or in case of a true emergency.

Signage

Affixing any signs, flags or banners anywhere but inside the student rooms is prohibited. Students are not allowed to decorate their doors on the outside (facing the hallway) or to hang anything on the walls in common areas and corridors.

Vandalism & Theft

Theft, willful destruction or damage/misuse of any property owned by any member of the community is prohibited.

Reported Missing Items

If a student reports a missing item in their room the following procedures will be followed:

  1. The student should retrace steps and exhaust all possibilities before reporting the missing item.
  2. If missing items are still not found, the student can contact the RA on duty.
  3. The RA on duty will create a report for the missing item.
  4. If the student has roommates, the RA will watch all roommates search through their belongings.
  5. If the item is still not found, the RA will help students (17 and younger) to file a police report, if they wish.

JBS is not responsible for lost or stolen personal items. Staff will attempt to help students find reported missing items, but are ultimately not responsible for missing items.

Bullying & Harassment

Students at JBS are expected to treat each other with kindness, respect, and sensitivity. Harassment and bullying are not tolerated at JBS. Harassment is defined as aggressive pressure and/or continued unwanted comments that have a psychologically damaging effect and create an intimidating, humiliating, hostile or offensive environment. Bullying is defined as a person who uses strength or power, either verbal or physical, to intimidate others. Bullying is any word(s) (verbal or written), gesture, or action that makes people feel vulnerable, upset, humiliated, undermined, or threatened. If you find yourself being harassed or bullied at JBS, the first step is to communicate clearly to the individual that you find it offensive and that you expect the behavior/words to cease immediately. If the individual does not stop, report the matter to a staff member.

Sexual Conduct

JBS prohibits all forms of sexual misconduct, including sexual harassment, sexual assault, sexual exploitation, indecent exposure, intimate-partner violence, dating violence and domestic violence, retaliation, stalking, and other misconduct that is sex or gender based, or in the context of an intimate partner relationship including: bullying and intimidation, physical assault and stalking, discrimination.

Weapons Policy

Firearms and other weapons are prohibited in JBS housing. Any device that has the appearance and/or function of a serviceable weapon is prohibited.

Tobacco/Cigarettes/e Cigarettes/Juuls

Purchase, possession, transfer or use of tobacco (all forms) is strictly prohibited. This includes the use of electronic cigarettes, Juuls, vapes, or similar devices.

Alcohol

Possession of empty alcohol bottles and cans are not allowed. Smelling of alcohol or associating with others while they are using alcohol will be considered an alcohol violation.

Illegal Drugs or substances

Purchase, possession, use, evidence of use, transfer or sale of drugs, or any drug related paraphernalia, including but not limited to marijuana, cocaine, narcotics, LSD, amphetamines or other illegal, un-prescribed drugs or controlled substances is not allowed. Associating with others while they are involved with illegal drugs or substances will be considered a violation. Drugs that are not listed will fall under this policy.

Prescription Drugs

Students must keep their prescribed medication in their rooms and are responsible for administering their own medication. Prescription medications should be consumed solely by the individual for whom the prescription was written, and the individual should follow the provider’s instructions. Abuse of prescription drugs (letting friends take them, etc) is a violation of the drug policy.

Reporting code of conduct violations

If students would like to report an incident (rule violation, roommate conflict, maintenance, etc.), they should contact the RA on duty and describe the incident. For a reported violation of the rules, the RA will open an investigation, which will result in an Incident Report. Unless the student(s) is directly involved in the incident, they will not be informed of details or outcomes of the investigation. For a roommate conflict, an RA will meet with the student to determine if roommate mediation is needed. COVID-19 policies and procedures are considered part of student code of conduct, and violations will include punitive measures.

Compliance with Joffrey Personnel

Students are expected to fully comply with requests and directives given by JBS personnel, including directors, coordinators, instructors and all Residence Life staff. This includes requests for attendance at meetings, preferred behavior, and other community living etiquette. Failure to comply with JBS personnel is considered a display of disobedience or disrespect and may result in disciplinary action. Students are expected to be cooperative and truthful during interactions with staff, particularly during an investigation of an incident. Dishonest or uncooperative student behavior during an investigation will result in consequences.

INFRACTIONS, CHARGES & FINES

If a student violates any code of conduct or housing policies, sanctions could include but are not limited to: Disciplinary Fines, Educational Projects, Community Service, written warning, referral for Substance Abuse Evaluation, Education and/or Treatment, Referral for Professional Counseling, Restitution for damages, disciplinary probation, room or building reassignment, loss of privileges, adjusted curfew, suspension from residence life, expulsion from housing without a refund, parental notification.

JBS reserves the right to move residents and/or expel any students. Behavior that could result in dismissal from housing includes, but is not limited to not adhering to COVID-19 procedures, damaging the premises, having unauthorized persons in rooms, lending/giving keys to any person, consistent disregard for quiet hours/disrespecting those living around you, use of drugs or alcohol, and breaking the terms of the housing agreement.

Students who are dismissed from housing will have 48 hours to move out of the residence and are not allowed back into the building, for any reason. Students dismissed from housing may not loiter on the same block as the dorm. If they do any of the above after being dismissed from the dorm, there will be consequences to their participation in the program. Students dismissed or expelled from the program will also be dismissed from housing without a refund. Students dismissed from housing who wish to return the next school year are at the discretion of the Executive staff. Students dismissed or expelled from housing and the program have 24 hours to leave the dorm. Students dismissed from housing due to any breach of residence life rules or program conduct will not receive a housing refund.

All infractions, charges and fines are subject to change at the discretion of the DRL or DOO. The DRL may suspend or amend the rules for any reason. Infractions are not limited to the charges and fines noted below. Any additional consequences may be assigned by the Executive staff.

Apartment Inspections

If students “fail” a room inspection, they will receive a warning and will have 24 hours to clean or fix the issue. If resolved in 24 hours, the student will only receive a warning. If not resolved in 24 hours, $25 will be charged to the responsible student(s). Every time a student fails a room inspection, they will receive a warning, regardless if they tended to the issue or not. $25 will be charged for the third warning.

If students “fail” an apartment inspection, everyone in the apartment will receive a warning and will have 24 hours to clean or fix the issue. If resolved in 24 hours, the student will only receive a warning. If not resolved in 24 hours, $25 will be charged to the responsible student(s). The staff member who issued the notice will organize a meeting with the students for the next day to determine who was responsible. Only the responsible students will receive a warning or fine. Every time a student fails an apartment  inspection, they will receive a warning, regardless if they tended to the issue or not. $25 will be charged for the third warning.

DAMAGES

FIRE PREVENTION AND PREPAREDNESS

EVACUATION INSTRUCTIONS

In the event of a fire, follow the directions of fire department personnel. There may be situations in which you have to decide on a course of action. Below are the general fire emergency guidelines. Please note that it is impossible to account for all factors and changing conditions.

General Instructions

  1. Try to remain calm. Notify the Fire Department as soon as possible.
  2. A fire on a floor below the room that you are in, could be a greater threat to your safety than a fire on a floor above due to the fact that flame, heat and smoke generally rise.
  3. Do not overestimate your ability to put out a fire as most fires cannot be easily or safely extinguished alone.
  4. When evacuating the building during a fire, try to close all doors behind you.
  5. Heat, smoke and gasses can choke you. Stay low or crawl if you are caught in an area with heavy smoke. Remember to take short breaths and to breathe through your nose.
  6. If your clothes catch fire, STOP, drop to the ground, cover your face with your hands and roll over to smother the flames.

Lice Procedures

If a student is found with lice, they are not permitted to attend class until they have been checked and cleared by a professional. This is to help contain the lice and prevent the spread of lice. Students will have to bag their items and wash all clothing and fabric on high heat. Bedding must be washed daily until the students have been cleared. Students do not need to pay the professional for treatment, but they must be cleared by a lice professional in order to continue in person training.

EVENTS

Joffrey Ballet School will host extra activities for housing students. These activities will take place in the evenings and during the weekends. Information for activities will be posted on the student Band groups.

All JBS events are escorted and chaperoned by staff members. Students (17 and younger) attending activities will automatically have a curfew extension. Legal Guardians do not need to submit a request for a curfew extension. All Housing Students (20 and younger) must check in for curfew after returning from the activity.

Most of the activities will be free to housing students. JBS will notify students if any ticketed activities become available. Students should budget for activities if they want to purchase food, treats, clothes or souvenirs.
