Using MailFile for Emailing Large Files

If you are sending larger (more than 200 KB) files to someone at NMS, you can use the mailfile system. This includes sending in photos, videos, audio files, large PDF or document files, and any other large files. Please follow these instructions carefully.

 

Sending Files

To send a file or files to anyone at the NSD district, do the following:

  1. Start with this address in your browser: https://mailfile.nsd.orgOpens a New Window. (this link will open in a new tab)
  2. Enter in the email address of the recipient of the file or files you will be sending in the To field.
  3. Add the Subject to the form
  4. Add a Message which will be of help to the recipient
  5. Either Add Files... or drag and drop the file(s) to Drop Files Here that you want sent from your computer
  6. Wait while the file(s) are being loaded up into the MailFile system
  7. When the file(s) have been Processed, which will show at the bottom of the page under Attached files, Send the message. The recipient will receive an email with instructions on how to access the files you have sent to the MailFile system.

Using Mailfile to Send Large Files from a Personal Account

Mailfile can be used to send photos, video files and other large files such as PDF files to any district employee from your computer or mobile device.

If you are not on the the district network and need to send a large file to a NSD staff member, enter in the NSD staff email address in the MailFile URL as follows (make sure to remove the spaces which are the underscores and to have the right email address):

You will need to know the email address of the person you are sending the mailfile to. For example, if you are sending a file to J. Smith, the address you will enter into your browser address will be as follows: https://mailfile.nsd.org/filedrop/jsmith@nsd.org.

Use the same steps as outlined above:

  1. In the To field, type out the full email address(es) of the people you would like to send to. If you are sending to multiple recipients, separate their email addresses with commas. Use the add cc and/or add bcc buttons to copy the message (or blind copy) to other recipients.
  2. Type a Subject for your email. Many systems will reject messages that do not have a Subject line.
  3. Type a Message to your recipients.
  4. Click on the Add Files... button to add attachments to the message.
  5. Navigate to the file(s) that you would like to attach. If you are sending a file from your smartphone or other mobile device, you may need to search for the file in your documents or gallery. Click Open. You will see a progress bar uploading the file to the server. When upload is complete, you will see your attachment name under Attached files. You can continue while the attachments are uploading.
  6. When ready to send, click on the Send button at the bottom of the page. If your attachments are very large and taking a long time to upload, there is a checkbox you can check to have the message send as soon as they are done uploading. It is important to leave the page open while they upload.

Your recipient(s) will be sent an email message along with a link to the file(s) to download. The link uses a secure connection for the upload and download so the files are protected while they are transmitted over the Internet (meeting Federal requirements for protecting sensitive information and student data). You can also see who has downloaded the files so you can tell whether they were received or not.
