Caregiver Authorization

For the following, let “my camper” refer to the child being registered for Camp Stomping Ground.

This agreement includes:

  1. Medical Treatment and Disclosure Authorization
  2. Assumption of Risk Acknowledgment
  3. Liability release
  4. Publicity release
  5. Authorization for Information Release via Camp Roster
  6. Refund Policy
  7. Behavior Policy (following page)

Medical Treatment & Disclosure Authorization

Through the registration of my camper to camp, I hereby authorize the Camp Directors of Camp Stomping Ground, or such designee(s) as the Camp Directors may appoint, to provide for the giving of emergency medical care or treatment, including medicines, immunizations, x-rays, tests, dental and minor surgical treatment, hospitalization, general anesthesia, or other medical treatment as may be appropriate while the child is in the care of Camp Stomping Ground. Notification of the parent or guardian will always be attempted. I authorize any physician, nurse or other health care provider, to communicate with the medical staff and director of Camp Stomping Ground, or their designee, about my child’s medical condition, treatment, and/or prognosis. I further authorize the camp medical staff to discuss any medical conditions with the director, their designee, or the child's counselor when the medical staff, in its sole discretion, believes such communication to be in the best interest of the child. These authorizations are limited to the dates of camp for which my camper is registered.

Assumption of Risk Acknowledgement

I hereby agree for my camper to attend the functions provided by Camp Stomping Ground during the dates for which my child is registered.

Liability Release

To the fullest extent allowed under law, I hereby release Camp Stomping Ground and its personnel from any and all liabilities to my child as a result of mode of travel to and from the aforementioned camp; engagement of activities during camp; use of materials, buildings and/or environment; loss or destruction of personal property; and specifically, give permission for my/our child to attend this function.

I understand that part of the camping experience involves activities and group interactions that may be new to my child, and that they come with uncertainties beyond what my child may be used to dealing with at home. Such risks include uneven terrain, standing and moving water, wildlife encounters including mammals, reptiles and insects. I am also aware that my child may participate in off-campus activities such as overnight hikes that involve additional risks. In addition, there are certain unavoidable risks associated with various game and play activities such as collisions, wayward objects such as balls and other equipment and other risks. I am aware of these risks, and I am assuming them on behalf of my child. I realize that no environment is risk-free, and so I have instructed my child on the importance of abiding by the camp’s rules, and my child and I both agree that he or she is familiar with these rules and will obey them.

Publicity Release

I give my consent and permission for Camp Stomping Ground to use or authorize the use of any photos, video, interviews, or other publicity-related items involving my child. Stomping Ground posts curated, limited photos and videos to our websites and social media accounts (including but not limited to Meta Platforms, YouTube, and tiktok).

If, for any reason, you do not want photos or videos of your child used in publicity-related items, please contact Camp Stomping Ground in writing (mk@campstompingground.org).

Authorization for Information Release via Camp Roster

I give my consent and permission for Camp Stomping Ground to distribute my contact information via a camp roster to other campers and families that attended Camp Stomping Ground.

If, for any reason, you do not want your contact information to be distributed via a camp roster to other campers and families, please contact Camp Stomping Ground in writing (mk@campstompingground.org).

Refund Policy

Well before camp begins, Camp Stomping Ground has already sunk costs into facilities, staff, and other requirements in preparation for your camper. For this reason, Camp Stomping Ground has a firm withdrawal deadline of May 1st, 2026. All deposits are nonrefundable.

Families who withdraw before the posted withdrawal deadline will receive a refund of tuition, minus the deposit. After the withdrawal deadline, no refunds are available.

If a camper is unable to complete the session due to a medical issue, the Camp Nurse and Camp Director will review the situation together. In these cases, families may receive a prorated refund based on the portion of the session missed. Campers who leave early due to homesickness or dismissal from camp, including dismissal for breaking our Three Agreements or for unsafe behavior, are not eligible for refunds.

We recognize that unexpected circumstances can arise and will always approach individual situations with care, fairness, and a commitment to the needs of the larger camp community.

Talk About Conflict when it Arises

Campers agree to participate in circles and restorative processes to resolve disagreements rather than escalating, retaliating, or refusing to engage. You can see more about our restorative justice conflict resolution process here; at camp we call it the Circle System.  This system allows all voices involved in conflicts and decisions to be heard, reflecting the type of world we want to live in. We aim to combat the punitive systems often held out as ‘justice’ and instead restore relationships among one another. We hold each other accountable through structured and honest dialogue both before and when conflict arises.

Campers are supported in following these agreements through guidance, circles, and restorative interventions. If a camper repeatedly violates the Three Agreements or engages in behavior that causes harm to the community or themselves that cannot be repaired, they may be asked to leave for the remainder of a session. Families will be contacted promptly and collaborated with on appropriate actions and next steps as we work with your campers. Staff, including the Village Director and Camp Director, will document all incidents.

Campers sent home for serious or irreparable violations of the Three Agreements are not eligible for a refund. Before returning in future summers, campers are invited to participate in a reentry circle with the Executive Council to ensure alignment with our community values.
