Check-In:
- All participants must check in each visit. One can do so online using this LINK and or on the iPad kiosks in the lobby. Completion of the waiver form is required before participating.
Staffing:
- A team member will be present on-site 30 minutes prior to the rental, during the rental period, and 30 minutes following. For any inquiries, concerns, or emergencies, please contact the staff immediately. Staff will be accessible in the office located in the main lobby.
Playing Surface Rules:
- Plastic cleats, turf shoes, or sneakers are allowed. NO METAL cleats.
- No food or drinks on the field, including gum, seeds, alcohol, or tobacco products.
- Climbing on walls or hanging from nets is prohibited.
- No profanity, fighting, or inappropriate music allowed.
- Participants must wear appropriate clothing at all times, including shirts, pants, and footwear.
Equipment:
- Goals/nets available for rental include
- Full-size soccer, small-sided soccer, field lacrosse, box lacrosse, and field hockey goals.
- Additional equipment or marking of the field (e.g., tape, chalk, paint) is prohibited without prior approval from management.
- The renter is responsible for any damages to the facility during their scheduled time.
- Please notify us of any needed accommodations at least 48 hours in advance.
Facilities:
- Locker rooms will be available for use by customers.
- Restrooms are located both upstairs and downstairs, with a water fountain on the turf level.
- Vending machines are accessible in the upper-level seating area.
Health & Safety:
- We adhere to the health and safety guidelines set by St. Luke’s University Health Network.
- Protocols will be updated to remain compliant with evolving guidelines.
First Aid:
- AED, emergency kit, and ice packs are located in the office of each building.
- In case of a medical emergency, call 911 and alert the staff member on duty.
We aim to streamline the payment process for our facility procedures to ensure a hassle-free experience for our customers. Please review the following payment guidelines:
Payment Due Date:
- A 50% deposit minimum is required to hold your requested date/time.
- Full payment is required 24 hours before your rental.
- Failure to submit payment within the timeframe, will result in the cancellation of the booking.
Accepted Payment Methods:
- Online Submission: Customers can make payments conveniently through our secure online platform powered by UpperHand Software. Upon booking confirmation, customers will receive an email with instructions on how to submit payment online.
- Phone Payment: Customers can also make payments over the phone by contacting our administrative staff at 610-351-0352. Please have your payment details ready when calling.
- Cash: For in-person payments, we accept cash. However, please note that we can only accept exact amounts in cash. Change may not be provided on-site.
- Checks: Checks must be made payable to "Whitehall Sports Rink, LLC" and can be mailed to 3323 7th St. Whitehall PA 18052. Please ensure that checks are received and processed before the scheduled booking date.
Payment Confirmation:
- Upon successful payment submission, customers will receive a confirmation email or receipt indicating that the payment has been processed.
Late Payments:
- Any late payments may result in the cancellation of the booking or additional fees, at the discretion of Whitehall Sports Turf, LLC.
We strive to provide excellent service and accommodate our customers to the best of our ability. However, we understand that situations may arise where cancellations or refunds are necessary. Please review our refund policy for rentals outlined below:
Cancellation Eligibility:
- Cancellations made at least 30 days in advance of the scheduled rental time will be eligible for a full refund.
- Cancellations made within 30 days of the scheduled rental time may be subject to a partial (50%) refund or credit towards a future rental; to be redeems within 6 months of the cancellation date.
- No refunds or credits will be provided for cancellations made less than 7 days before the scheduled rental time, except in a situation of a facility closure situation.
Refund Process:
- To request a refund for a rental booking, customers must formally contact a staff member and provide their booking details.
- Refunds will be processed using the original method of payment whenever possible.
- Please allow 7-10 business days for the refund to reflect in your account, depending on the payment provider's processing time.
Rescheduling:
- In lieu of a refund, customers may opt to reschedule their rental booking for another available date and time, subject to availability and approval by the facility manager.
- Requests for rescheduling must be made within 30 days of the scheduled rental time.
Inclement Weather and Facility Closure:
- In the event of inclement weather or unforeseen circumstances that lead to a closure made by the facility, customers will be entitled to a full refund or the option to reschedule their booking at no additional cost.
Exceptions:
- The St. Luke's Sports Center reserves the right to make exceptions to this policy on a case-by-case basis, particularly in circumstances involving extenuating circumstances, emergencies, or unforeseen events.
Policy Updates:
- The St. Luke's Sports Center reserves the right to amend or update this refund policy at any time.
- Any changes will be communicated to customers via email or posted on our website.
- At the time of booking your rental , customers agree to abide by the terms and conditions outlined in this refund policy.
