1. Pilot Program Overview
Welcome to the Robyn Robot pilot program. We're excited to work with your school to test and improve our AI teaching assistant technology. This Agreement governs your school’s participation in the Robyn Robot pilot program and is intended as a temporary evaluation license for the Robyn Robot system.
What we provide:
- Robyn Robot hardware (teacher and student tablets, preloaded with our software)
- Headsets for the student devices
- Stand to hold the teacher device
- Charging station
- Access to the teacher web portal (to review student questions and answers)
- 4G router for internet connectivity - if required (see note under Wifi below)
- Technical support during the pilot period
- All hardware is provided on a temporary loan basis for the duration of the pilot.
What we ask in return:
- Regular use of the system in actual classroom settings
- Feedback on your experience, challenges, and suggestions
- Help us understand how teachers and students interact with the technology
2. Usage Requirements
2.1 Minimum Usage Expectation
- We'd like to see each robot used for at least five lessons per week, more if possible
- This helps us gather meaningful data and experience across different subjects and teaching styles
- If the robot isn't being used regularly, please let us know so we can provide additional training or support
2.2 Feedback and Collaboration
- Participate in brief feedback sessions (roughly once a month)
- Report any technical issues or bugs promptly - we can come in and help
- Share examples of how the system is (or isn't) working in your classroom
- Provide suggestions for improvements and new features
2.3 Legal Compliance
- Be sure to read our Data Processing Agreement and satisfy yourself that your use of Robyn Robot complies with your own data protection obligations, and with any existing policies you might have.
- Always tell students, and other adults in the room, when Robyn Robot is recording, so that no-one is unknowingly recorded.
- Only use Robyn Robot for educational purposes in ordinary classroom settings, or in staff meetings if using the “Meetings” feature.
- Avoid using Robyn Robot in sensitive lessons where highly sensitive personal information might be shared (such as PSHE or RSE lessons). If any inappropriate content is captured inadvertently, handle it according to your existing school procedures.
3. Pilot Duration and Costs
3.1 Free Trial Period
- Minimum commitment: Half a term of regular use, can be longer subject to mutual agreement
- No cost: All hardware, software, and support provided free during pilot
- No obligation: There is no obligation to purchase after the trial
- Equipment return: We'll arrange collection of all hardware at the end of the pilot if you decide not to continue.
4. Technical Requirements
4.1 Internet Connection
4G Router (Backup)
- We can provide a 4G router if wifi restrictions prevent Robyn Robot working.
- This ensures you can start using Robyn Robot right away
- 4G data costs covered by us during the pilot
WiFi Connection (Preferred)
- Please connect Robyn Robot to your school WiFi as soon as possible
- This provides better performance and reduces reliance on 4G data
- Your IT team will need to allow access to the following services:

4.2 Updates
- Ensure devices are on and connected to power overnight, so that remote updates can be applied when required.
5. Equipment Care
- Handle all equipment with reasonable care (normal classroom use expected)
- Report any damage, loss, or theft immediately. This is very important, so we can promptly deactivate lost devices remotely.
- Keep devices secure when not in use
- Don't let students use devices unsupervised
- No unauthorized people should have access to the equipment
- Please don't:
- Take apart or modify the hardware
- Install other software on the tablets
- Let anyone tamper with the devices
7. Ownership
7.1 Intellectual Property
- Robots For Schools Ltd retains all rights to Robyn Robot technology
- Your feedback and suggestions help us improve but don't transfer any ownership rights
7.2 Ownership of equipment
- All the equipment belongs to Robots For Schools Ltd
8. Limitation of Liability
This is a pilot program using developing technology. While we strive for reliability:
- Service interruptions may occur during development
- We're not liable for any indirect losses or educational disruption
- We disclaim liability for any sensitive data inadvertently captured due to the School’s use of the system contrary to our guidance
9. Amendments
We may amend these terms from time to time. We will notify you of any amendments, and your continued participation in the trial indicates your agreement to the amended terms.
