Bronson Athletic Boosters
Bylaws 

A non-profit organization

 organized April 2018

Article I – Name

The name of the organization shall be known as the Bronson Athletic Boosters        .

Article II – Purpose

1. To provide financial support on the basis of need for Bronson Community Schools’ athletics.
2. To encourage and help maintain existing athletic programs.
3. To aid in the development of new athletic programming when appropriate.
4. To support sportsmanship in the Big Eight Conference and the athletic Codes of Conduct of the Bronson Community Schools.  

Article III – Membership and Attendance

1. Attendance of meetings shall be open to parents, legal guardians, and coaches of students participating in Bronson Community Schools’ athletic programs.
2. Attendance is open to any other interested adult.
3. A member is defined as an attendee who has been present at a minimum of two previous meetings in the prior twelve-month period.  
4. All coaches are considered honorary members and are entitled to a voice at meetings but shall not have voting rights.  The Athletic Director has voting rights.  

Article IV – Meetings

1. Regular business meetings shall be held every other month beginning in January (January, March, May, July, September, and November) on the first Sunday at 6 p.m. unless otherwise designated by the membership at a previous meeting.  
2. Regular business meetings shall be held in the Bronson Jr/Sr High School Library. Alternate sites may be utilized if necessary or appropriate.  
3. Executive Committee meetings shall be held as needed.  The Secretary shall report Executive Committee meeting business at the next regular business meeting.  
4. Officers and members present at the Bronson Athletic Booster meetings shall be entitled to vote on Boosters matters.  

5. Order of business – the order of business at all meetings of the members shall be as follows:

1. Introduction of all attendees
2. Review of minutes of previous meeting(s)
3. Reports of officers
4. Reports of standing or special committees
5. New business
6. Election or appointment of officers (when appropriate)
7. Adjournment

Article V – Officers

1. Officers: The officers will be elected by the membership and shall include a President, Vice President, Secretary, and Treasurer.  Only members are eligible to serve as officers.  The officers of the Boosters will comprise the Executive Committee.  
2. Vacancies: If an officer cannot perform or chooses not to perform their duties for their entire term, the remaining officers may appoint a replacement.  The person appointed shall hold office until the end of the originally elected term.  
3. Duties of Officers:

1. President – The President shall perform the following duties:

1. Preside at all meetings
2. Call special meetings as needed
3. Prepare the agenda for meetings
4. Perform other duties that pertain to the office

2. Vice President – The Vice President, in the absence of the President, shall perform the duties of that office and shall discharge other duties as may be required.  
3. Secretary – The Secretary shall perform the following duties:

1. Keep attendance records
2. Handle correspondence as necessary
3. Publish meeting notices
4. Take minutes at meetings
5. Complete and submit forms as required by the Athletic Department or school district.  
6. Upon turnover of duties to a newly elected secretary, all previous records/documentation for this position will be passed on to the next elected individual of this position within 30 days.  

4. Treasurer – The Treasurer shall perform the following duties:

1. Collect and record funds
2. Issue receipts and checks for necessary payments as voted on and approved by the membership
3. Give a report of accounts at each meeting
4. Maintain insurance, if necessary
5. Handle appropriate licensing and tax filings
6. Upon turnover of duties to a newly elected treasurer, all previous records/documentation for this position will be passed on to the next elected individual of this position within 30 days.

4. Term: The term of office for all officers will be for one year, from June 1 to May 31.  
5. Election: Officers shall be nominated and elected at the May meeting each year.  New officers shall assume their duties at the following meeting.  

Article VI – Committees

1. Committees can be formed as determined necessary by the membership or Officers.

Article VII – Funds and Expenditures

1. Fundraising – All fundraisers for the Boosters must be approved at a regular business meeting.  
2. Capital campaign – Any capital campaign will be approved at a regular business meeting and will only commence after approval by the Board of Education of Bronson Community Schools.  
3. All requests for funding will be presented in person at a regular meeting.  The request must include the following:

1. A completed fund request form.  This form must be submitted to the Athletic Director for signature and then to the Boosters at least one week prior to the next regularly scheduled business meeting.  
2. Each form should contain a minimum of 2 estimates of the cost.
3. Presenters should be prepared to list the rationale and need for funding.
4. Further discussion and voting can take place at the meeting in which the request is presented or may be tabled to the next regular business meeting, as determined by the membership.  

4. Regular expenditures of the Boosters (concession supplies, accounting services, etc.) can be approved by a majority of the Officers.  

Article VII – Bylaws, Rights of Members, Custody of Books

1. Power to Amend: A motion to amend these bylaws may be brought by any member of the Boosters at a regular business meeting.  
2. Vote: voting on a motion to amend the bylaws will be held at the next regularly scheduled meeting after the amendment was brought before the Boosters.  The amendment shall be adopted by a two-thirds vote of the members present.  
3. Keeping of Books: The minutes, correspondence and bylaws shall be kept in the custody of the Secretary.  The Treasurer will have custody of the financial records.  
4. Examination of Books: The accounts and records shall at all reasonable time be open to inspection by any member of the organization.  

Article IX – Policies

1. Conflict: The Boosters will not conflict with the policies of Bronson Community Schools.  

Article X – Perpetuity and Dissolution

1. Perpetuity: This organization shall operate as a non-profit organization in perpetuity.  
2. Dissolution: In the event of dissolution of the Bronson Athletic Boosters whether voluntary or otherwise, the assets of the Boosters shall be applied as follows:

1. Payment or provision for all debts and liabilities of the Bronson Athletic Boosters and all other obligations respecting its property will be satisfied.  
2. Any remaining assets shall be donated to the Athletic Department according to and under the jurisdiction of the Bronson Board of Education.
