This Privacy Notice explains how ExamWritePad Limited (“we” or “us”) collects, uses, and shares your personal data when you use ExamWritePad (the “Software”).
Data Controller
The data controller responsible for the processing of your personal data is ExamWritePad Limited, with a registered postal address available in the footer of this website.
Data Collected and Purpose
When you use the Software (trial version only), we collect your IP address(es) solely for the purpose of licensing the Software to you. Your IP address(es) is necessary to validate the license key and prevent unauthorized use of the Software.
When you purchase a subscription package we collect your school name, school address and a point of contact by name and email address. The data collection is done during the checkout process or via manual purchase orders submitted to us via email. All these details are supplied by you and nothing is automatically captured.
Lawful Basis
The processing of your personal data is necessary to perform a contract to which you are a party (i.e. the license agreement).
Data Sharing
We do not share your personal data with any third parties unless required by law.
Data Retention
We will retain your collected data for as long as necessary to ensure compliance with the license agreement and required by law for accounting purposes.
Your Rights
You have the right to access, rectify, erase, and restrict the processing of your personal data. You also have the right to object to the processing of your personal data and the right to data portability. ExamWritePad does not collect and store any data (telemetry or any other) from the computer it resides on. The device/computer holds the candidate’s work for backup/restoration purposes in the event of a system malfunction or power failure. Anything that ExamWritePad saves/exports may contain the candidate’s name, candidate number, centre name and number. This information is used for the sole purpose to be displayed on a printed version of the candidate’s exam answers and coversheet.
If a candidate saves their work to a location on the computer, it is their responsibility to delete it and empty the recycle bin, ExamWritePad accepts no responsibility for issues that arise from this situation.
It is the responsibility of a member of the IT team to remove all backup files that may reside on the computer, as access to these backup locations may not be visible for the candidate to remove themselves. This ultimately depends on any policies used on the computer for restrictive purposes.
If you decide to encrypt (using ExamWritePad’s KeyGenerator app) your ExamText files for transportation to another computer for any reason, you can send your encryption key to the developers of ExamWritePad for safekeeping in case you lose it. ExamWritePad, for security reasons, also asks for the following information:
Institution Name, Centre Number, Exam Officer Name, Exam Officer Email Address and Exam Officer Telephone Number
The purpose of holding this information is so that the encryption key only goes to the Exam Officer who requests it via email or telephone and can verify the above information. This information is stored in an area where the password to the account is a minimum of 16 characters long, using a combination of the following:
Lowercase letters, uppercase letters, numbers, and special symbols.
The account also has a second line of defence in that 2FA (Two-factor authentication) is required to access the account. Of which the code is sent to a phone number only known to the developers of ExamWritePad. Using the Encryption key option and sending your details to the developers is entirely optional.
