Creating ‘Processed’ Events in ArchivesSpace

Background

For ArchivesSpace to generate accurate ‘Unprocessed Accession’ reports, it’s necessary to create event records and link them to related to accessions once processing is complete.

Procedure

Open ArchivesSpace and confirm you are working in the desired repository (UNDA, RBSC)

From the menu on the upper left, navigate to Create > Event 

A workform will open. Complete with the following values:

Basic Information

        Type = Processed

Outcome = Pass (i.e. =  ‘successful’)

        Outcome note = optional, as needed (For RBSC single manuscripts cataloged outside of ArchivesSpace, add OCLC# of MARC record here)

Event Date/Time

        Date specifier = UTC timestamp

        UTC Timestamp = enter YYYY-MM-DD (of completion)

Agent Links

        Role = Implementer

Agents = Name of processor (Names of users with ASpace permissions will autocomplete)

Record Links

        Role = Source        

        Record = Choose ASpace accession record, should autocomplete

                When appropriate, also add:

        Role = Outcome

        Record = Resource record

When form is complete, click blue “Save Event +1” button

**Events can be browsed, searched, and filtered from Browse > Events**
