
Virtual Event of the Year
The "Virtual Event of the Year" award recognizes outstanding achievement in the overall event planning and production of a virtual event by members of the event industry, including but not limited to event planners, facility venue managers, entertainment companies, catering companies, floral design companies, and/or production companies such as those involved in audio and video production.
Section 1: Elements Statement - Maximum of 30 points
300 - 1,000 words
- Provide a summary of the event, including theme, goals and objectives of the client, and number of attendees.
- Entry will be judged on how well the event met the purpose, theme, goals and objectives of the client, and the different, unique or creative qualities which elevated the event to this level.
Section 2: Event Planning - Maximum of 30 points
- Provide overall event planning timeline - Detailed 'day of' timeline need not be included, see next question. 5 points
- Provide detailed 'day of' timeline for the event - 10 points
- Explanation of Budget: Discuss actual revenue and expense - 5 points; 1,000 words maximum
- What was the total budget for the event?
- What was the per person cost for this event?
- What did the client actually spend with your company on the part of the event for which you were contracted?
- What did the client pay other vendors for - rentals, and ancillary services that contributed to the production of the event?
- Include the retail value of any donated in-kind goods or services.
- Describe the technology used to produce the event virtually, including why that technology was chosen - 5 points, 200 words maximum
- Describe venue/event site used for the production of the virtual event and corresponding technology: Include location, description of venue, and unusual/unique challenges presented by the site and technology - 5 points, 1,000 words maximum
Section 3: Event Details, Execution & Obstacles - Maximum of 20 points
- Describe the virtual and supporting elements of the event, including any decor, props, printed materials, entertainment elements, etc. 10 points - 1,000 word maximum
- Describe whether or not there were challenges during the planning, execution, or post-production of the event. If so, what strategies and resolutions were used to resolve the issue(s). 5 points - 1,000 word maximum
- Describe any unique support elements or aspects that made this event stand out and award-winning. 5 points; 1,000 words maximum
Section 4: Collateral Material - 20 points
- Attach up to 15 photos and/or files to show your work
- Suggestions include behind-the-scenes images, print materials, invitations, marketing materials, client-authored thank you letters, etc.
- One 8.5” x 11" collage is accepted, but NOT multiple page collages.
- Links to videos are permissible.
You are encouraged, but not required, to credit all members of the team that contributed to this entry.
There is no charge for MEMBER submissions. Non-Member submission fee is $50.00.
You will receive one award for each submission, additional awards may be obtained for 50.00 each. Whoever submits the award will receive the one award.
