Your use of this application is carried out at your own risk. The Phenotate team (“we” hereinafter) is not responsible for consequences caused by your use of this application. This application is provided as-is, without any warranty with regards to the quality of service, including accuracy of information posted and accessibility of the application.

This application links to other websites. We have no control over the content available on these sites.

The Phenotate team values academic integrity. You are required to properly cite all third-party sources that you use. Please abide by your local copyright laws when entering content into this website.

We reserve the right to terminate your account at any time. Expert account users should follow these guidelines for keeping your account active.

Privacy Policy

UPDATE: Users under the age of 16 must have their parent or guardian read this document before the user may proceed to use Phenotate. Use of Phenotate implies that consent has been given by the user (age 16+) or his/her parent/guardian (for users under the age of 16) for us to collect data in accordance with this Policy.

UPDATE: Phenotate sends notification and newsletter emails in accordance with Canadian anti-spam law. By using Phenotate, you consent to receiving such emails.

UPDATE: The data you enter may be used for data processing and analytical tasks as part of the Phenotate project. These tasks include generating composite/summary annotations based on a large number of submitted annotations. Please email support (at) phenotate (dot) org for more details, to inquire whether your data has been or is being processed thusly, or if you would like your data excluded from current and future tasks.

The Privacy Policy describes how we collect, process, store, and protect user data. It sets out the information we request from users, and what users can expect from us with regards to how we handle that information. If you are using Phenotate as part of a course, please note that your instructor may treat exercise annotations you submit with a different standard of privacy practices than what is described in this document. Furthermore, we are not responsible for the privacy policies of websites, external to “phenotate.org” or “phenotate.com” domains, that we may link to.

To create an account, you must provide your full name and email address. For security reasons, you are advised to use a password different from that of your other web accounts, such as social media. Users who are not comfortable with providing their names and email addresses are free to enter a pseudonym and an invalid email address (in the format of user@domain.tld). Students using Phenotate as part of a course should notify their instructor that they are registered under a different name.

Full name and email addresses are collected to (a) personalize your experience and (b) send email updates. Users are automatically enrolled for email updates. Users can opt out of email updates in the account options and by contacting us. As a non-commercial service, we are not obligated to comply with Canada’s Anti-Spam Legislation, which prohibits businesses from enrolling clients for promotional emails by default.

 

There is a small chance that unauthorized users (e.g. hackers) may view the data you enter. Nevertheless, we take reasonable measures to secure your data.

 

All individual annotations are made public to other registered expert users (e.g. professors and researchers). Although you can optionally enter personal medical information in individual annotations, please be aware that the medical information you enter will, in effect, be made public.

 

Exercise annotations are not made publicly available in an identifiable manner. However, users should not enter personal medical information in exercise annotations.

 

Annotations entered are typically accessible to only registered users. However, expert users have the ability to open up access to individual annotations to users without existing accounts. In all cases, we do not promote (e.g. via search engine optimization) any annotation for indexing by third-party search engines and other automated web bots, although there is no guarantee that annotations will not be scraped in this manner.

 

Your data is stored on servers operated by Linode, LLC. Phenotate has basic security measures in place to protect the loss, misuse and alteration of the information under our control, including but not limited to password hashing/salting and database injection prevention. Our hosting provider also implements security measures described at https://www.linode.com/privacy.

 

Phenotate uses cookies and other browser local storage methods for keeping track of certain application states, including login status. They are required for the proper operation of this application, and are stored until the user logs out of Phenotate (analytics cookies may remain but can be cleared in the browser options at any time). Upon registration or logging, the user consents to the use of cookies and other browser local storage methods. Cookies and other browser local storage data do not contain personally-identifiable information and are not used for advertising or marketing purposes.

 

Phenotate uses third-party APIs for information lookup, including PhenoTips and PubMed. No personally-identifiable information is shared using such APIs. Please refer to their respective privacy policies for information regarding how they handle data.

 

Phenotate uses analytics software, including Google Analytics, to better understand user behavior on our website.  We use software to keep track of traffic to our site and acquire such information as the location from which the traffic originates and which particular pages within the site are being viewed and for how long. IP addresses may be collected only for this purpose. Users are advised that emails sent by Phenotate may include analytics code. To correct any information you have entered, or if you would like to have a copy of all the data we have collected from you, please contact us at support (at) phenotate (dot) com. Please describe clearly the data you are correcting or seeking. Users are advised that the Phenotate team has access to all data you enter.

 

To suspend or delete your account, please email support (at) phenotate (dot) org. We can also destroy all the data we have collected from you upon your request.
