Payment Terms and Conditions – Diploma and Post-Registration Courses

  1. Enrolment

For admission to any NEBDN course, you must submit an application form. The application should include supporting documents, learner ID, proof of the right to live, work, and study in the UK, and payment of the relevant fee.

  1. Learner Identification

Should a learner enrol in a course and not hold this right, a full refund will be issued, and enrollment will be cancelled.

  1. Employment

To enrol in the diploma course, you must have a role as a Trainee Dental Nurse. Although we can assist you in finding a placement, it is essential that you actively apply for positions to increase your chances of securing a role.

Occasionally, we may be aware of placement opportunities. You can contact us directly or refer to our job board on our website if it is available.

Regarding the post-registration courses, you must be employed, qualified, registered, indemnified, and able to meet the NEBDN record of competence requirements.

  1. Length of Support

Learning support is available for 12 to 18 months for the National Diploma and 6-12 months for the Post-registration, depending on the length of the program. The course provider may charge additional fees if a learner takes more than this time to complete. The maximum length of learning support is three years, after which the learner will be withdrawn from the course. If a learner is unsuccessful on their first exam attempt, reasonable additional support will be provided for a second attempt. However, the learner must pay for extra learning support beyond the second attempt.

*Please note that learners entered into the April/June 2025 Exam. The learning support for this course is 24 months. This time frame allows for 2 resits, one in November/January 2025 and another in April/June 2026. After this period, learners are advised to transfer to another course if they still require learner support, as we will close our business.

  1. Payment

We provide multiple payment options for learners, and the payment fees are subject to change. The payment options are as follows:

1. Pay in full

2. Pay the exam fee upfront and the tuition fee on a 0% payment plan

3. Pay in full on a payment plan, including both exam fees and tuition fee

Direct Debits are set through GoCardless. We collect payments as soon as possible after the payment has been set up; by doing so, you are confirming you agree to our payment terms and conditions.

If you wish to customise your payment plan, please use the link provided to set up your Direct Debit, and we will contact you to discuss your plan setup and confirm when payments will be taken.

  1. Exam Entry

The course requires a minimum of 12 months to complete, and you can apply to sit your exams based on the payment option you've chosen in accordance with the NEBDN schedule.

If you take the exam before completing your payment plan, you will still be responsible for meeting your monthly payment obligations. If you fail to pass the exam, miss the deadline for RoE submission, or submit the necessary paperwork on time, you will be held accountable for any fees due to NEBDN. You will also be required to pay additional learning support fees.

  1. Deferring an Exam

If a learner or a course provider decides to delay the course, the learner will be required to pay deferral fees. These fees are subject to change, and you can find the latest rates on the NEBDN website. The course provider may also charge extra fees for learning support outside the agreed timeframe.

  1. Resiting an Exam

The learner will be free to resit if they wish as long as the person paying the resit fee agrees. The NEBDN will charge a resit fee payable by the learner/employer, and additional learning support fees will be decided upon depending on the required support.

  1. Withdrawal

Learners can withdraw from the course anytime. The entire balance of the course will be due, and withdrawal fees may apply. The course provider has the right to withdraw a learner from the course if a learner fails to attend or complete work to an acceptable level* or fails to make course payments. It is also impermissible to record lessons (in any format) or 1:1 meetings without obtaining consent from the course provider.

*Acceptable conduct encompasses, but is not restricted to, failure to complete work within the designated timeframe, receiving notification from the practice that your clinical performance does not meet the required standards, and discrepancies between academic and clinical performance and the RoE/RoC.

  1. Refunds

We offer a 28-day cooling-off period for learners who enrol but decides not to continue the course. If this occurs, a refund will be issued.

If the cooling-off period has passed, the course's balance will be due per the agreed payment plan.

You are responsible for fulfilling your payment plan obligations on a monthly basis, even if you:

a) Have left the course

b) Have deferred to a later course

c) Have been removed from the course.

  1. Debt Recovery,

When the fee payer chooses to pay through a payment plan, the payment will be automatically processed seven days later. The learner will be responsible for any bank charges.

The learner's course will be paused unless payment is collected on the second attempt. During this time, the learner is not eligible to work in practice. The employer is notified of missed payment as a Trainee Dental Nurse as they will only be considered registered to a course once resolved.

If the learner’s payment remains overdue for 21 days from its due date without contact or reasonable explanation, the learner's payment plan will be invalidated, and the full course fee will be due with immediate effect.

Until the full course fee has been received, the learner’s course will be suspended.

If the learner fails to make payment after the 21st day, does not settle their balance, or cancels their payment before completing their payment plan, the matter will be referred to debt collection agents. Additional fees may become due because of this.
