Macedon Public Library Board Meeting

March 28, 2022, at 6:30 PM

 

In Attendance: Tara Smith (President), Debbi Napolitano (Vice President), Gary Foley (Finance Officer), Steve Hanrahan, Christine Hefley (Secretary), Christopher Harris (CPA/Treasurer),  Stacey Wicksall (Director), Joan Handfield (Friends Representative)

 

Meeting called to order: 6:33 PM by Zoom.

 

Old Business:

·  Minutes from February 28, 2022:  Gary Foley made a motion to approve, seconded by Tara Smith.  All in favor.

      

Financial Report:

·         Gary Foley motioned to pay the bills, voucher numbers 26-46, for a total of $28,021.84.  Seconded by Christine Hefley.  The motion passed unanimously.

·         Christopher Harris reviewed the Board Budget Summary report for February 2022.  Revenues total $296,478, under budget by $21,104.  Farmington funds have not yet been received.  Expenses total $48,196, under budget by $8,176. Unrestricted reserves are $593,017. Food pantry portion of cash is $4,272.  Operating results are under budget by $12,928.  NYS Library contract not yet received paid.

·         Gary Foley asked how we would show the payment of the intern(s) once hired from the American Rescue Plan grant.  Christopher Harris explained that the salary would be offset by the grant income.   Stacey reported that she has interviewed two strong, local candidates and is considering splitting the internship hours between the two.  The purpose of the grant is to reach women in poverty.  Steve Hanrahan asked how continuity would be retained.  Stacey Wicksall stated that the candidates are in it for the experience, and would work together.  Decision to be made by Wednesday.

 

Director’s Report:                                                 

·         Employee Handbook Project.  Stacey Wicksall reported that she is working on updating the template to match our needs.

·         Tara Smith congratulated Stacey Wicksall on the number of people coming in to the library.

·         Discussion of cutting library hours from May to October, Monday through Thursday 10-7, Friday and Saturday 10-1.  Debbi Napolitano made a motion to cut the hours, seconded by Tara Smith.  This was not passed.  There are groups that meet until 8 pm during the week, and leaving the hours as they currently are will give better continuity.  Motion was made by Steve Hanrahan to keep the current hours of Monday through Thursday 10-8, Friday and Saturday 10-2.  Seconded by Gary Foley, all in favor.  Stacey Wicksall noted that the salaries may run over budget.  

·         Gary Foley wanted clarification on the Grab ‘n Go for hold items.  Items get checked out when placed in the Grab ‘n Go whether you pick it up or not.  Convenience is good, but these pick-ups are not part of the people counter.  He questioned if people can be given the option of not putting an item in the Grab ‘n Go.  Stacey Wicksall will check out options, but stated that it is a motivation for people to pick up their hold items in a timely fashion.

·         MPL was approved for the Assistive Technology grant, which allowed the library to purchase four C-Pens.  These pens are plug and play.  You highlight a line, and the pen will read it back to you.  The C-Pens are for those with vision challenges or dyslexia.  They will be checked out like a book, and you must come in person to check it out.  Gary Foley suggested that we get information if people want to buy one for themselves.

·         Three new computers have been ordered, and should be coming the end of April or early May.

·         MPL was chosen to pilot a digital equity privacy booth.  Rochester Regional Library ordered the booth, and the library just needs to have the electrical ready for a May installation.  The booth is provided free of charge and will be used for Tele-law as well as digital health access, mental health, interviews, etc.  The booth is a free-standing, sound proof room.  The library will need to install outlets, and data cable.  Tara Smith will ask electricians for help with installing as well as asking Town Liaison Bruce Babcock for suggestions.  Stacey Wicksall has been getting quotes.  She also has a plan for moving the computers to accommodate the privacy booth.

·         Stacey Wicksall was contacted by the Mother Cabrini Foundation to answer some questions, and has been invited to apply for a grant.                                      

New Business:

                    Friends Liaison Update:

·         Joan Handfield reported that the Speaker and Concert Series will run on Saturdays from April 16 – June 25, held in the Community Room at 1 PM.  This will include a performance by the Crossmolina band, and a virtual lecture on “Why do people do very bad things”.

·         There is a pulled pork/chicken dinner in the plans for May 14, 2022, after the book sale. This will be provided by Black Hart BBQ, and will run from 12 noon until 4 PM. Tickets will go on sale in April. The book sale runs May 11-May 14.  The boys’ baseball team will help take down the sale, but help is needed to set up the books.

 

Other New Business:

·         The next Library board meeting will be April 25, 2022, at 6:30 PM.

 

Steve Hanrahan made the motion to adjourn the meeting, seconded by Debbi Napolitano.  All in favor.
