Course Technology Requirements for Live Courses
Live Virtual Courses
The TU hosts live virtual courses using the Adobe Connect platform. Participants must meet the following Participant Technology Requirements to attend and fully engage in live virtual courses. If participants are experiencing technology issues or their agency cannot supply the required technology, email cdphe.dchivinfo@state.co.us before attending trainings for support.
Participant Technology Requirements:
- Use a working laptop or desktop computer with a stable internet connection.
- Do not use a mobile phone or tablet, as these devices are not designed to allow you to interact and participate in the classroom fully.
- Ensure your computer has a working webcam and microphone. Be prepared to be on webcam and microphone intermittently throughout the training.
- Ensure your computer meets the system requirements.
- Run the Adobe Connect Diagnostic Test on your computer before the training to ensure your setup is compatible.
- While you can use a web browser to access the virtual classroom, the TU recommends that participants download, install, and use the Adobe Connect desktop application for the best virtual experience.
Live In-person Courses
Generally, live in-person courses do not require participants to use a computer. If a computer or other technology is needed, the TU will communicate with participants before the training. The TU will provide printed Participant Manuals and other necessary materials for participants during the training. To reduce paper waste, the TU encourages participants to use a personal smartphone or computer to complete course evaluations. The TU will provide alternatives for participants without access to smartphones or computers.
Arrivals to Courses without Registration
Sometimes, unregistered individuals arrive at a course, which may negatively impact course size and logistics. Additionally, allowing unregistered individuals to attend courses may unfairly disadvantage individuals on the course waitlist.
- Only participants who are registered for a TU course will be guaranteed admission into the course.
- Being on the course waitlist is not considered being registered.
- Course registration is non-transferable. Another individual may not register using their account to hold a spot for you.
- The first time an individual arrives at a course without being registered, the course trainer(s) and/or producer(s) will decide whether or not to allow the individual to remain in the course based on the degree to which it would disrupt the course flow or other logistics.
- If the same individual attempts to join future courses without being registered, they will not be permitted to join or remain in the course.
- The TU may make exceptions on a case-by-case basis depending on course logistics.
Late Arrivals to Courses
When participants arrive late to trainings, it can be disruptive to the course environment and make it more challenging to manage time.
- Participants will not be admitted into the course 20 minutes or later past the scheduled start time (e.g., for a course scheduled to start at 9:00 am, participants will not be admitted if it is 9:20 am or later).
- The TU may make exceptions on a case-by-case basis, considering:
- Whether or not the participant has given advance notice (i.e., before the scheduled course start time) and how much advance notice.
- The degree of disruption the late arrival would cause to other participants and the course environment.
- The late arrival’s impact on the participant’s ability to meet course learning objectives.
- Please note that the TU opens the virtual classroom 15 minutes before the scheduled course start time. The TU encourages participants to join early to practice using their technology and troubleshoot any issues.
No Shows or Late Cancellations
No shows or late cancellations negatively affect course participation numbers, the efficient use of State resources, and individuals on the course waitlist who may have attended if given the opportunity.
- A “no show” is defined as a registered participant not showing up for the entire training or the first day of a multi-day training without notifying the TU before the scheduled start time.
- A “late cancellation” is defined as a registered participant notifying the TU that they will not attend the entire training or the first day of a multi-day training less than 24 hours before the scheduled start time.
- The TU will manage no shows and late cancellations as follows:
- 1st instance: Email registered course participant and their supervisor about the No Show and Late Cancellation policy.
- 2nd instance: Email registered course participant and their supervisor about the No Show and Late Cancellation policy. The individual will then be required to get written supervisor approval for the TU to confirm any future course registrations for the remainder of the calendar year.
Course Attendance and Engagement
TU courses are not webinars; they are trainings that require engagement, interaction, and application of knowledge and skills. Full attendance and participation benefit individuals’ learning and the classroom experience for all.
Participants are expected to participate actively in all training activities (e.g., group discussions, role plays, quizzes). During live virtual trainings, participants are also expected to turn on their webcams and microphones when prompted by the trainer(s).
Participants and their supervisors should make arrangements to refrain from conducting business during trainings.
The TU reserves the right to remove a participant from trainings, deny entry to subsequent sessions, and/or deny certificates of completion in circumstances including, but not limited to:
- The participant did not complete required pre-course work.
- The participant does not meet the technology requirements.
- The participant experiences repeated technology issues that prevent them from fully attending and engaging.
- The participant misses significant portions of the training.
- The participant does not participate in interactive activities.
- The participant is repeatedly unavailable or unresponsive to questions and/or private messages.
- The participant is conducting business, traveling, or otherwise distracted throughout the training.
Course Cancellation Due to Inclement Weather, Illness, or Emergency
The TU will make reasonable efforts to avoid canceling courses whenever possible. However, occasionally the TU may need to cancel a course due to circumstances, including, but not limited to:
- Low registration one week before the scheduled course date.
- For efficient use of State resources, the minimum number of registered participants must be six for virtual courses and eight for in-person courses. The TU may make exceptions at its discretion.
- Illness, injury, or emergency experienced by TU employees.
- Inclement weather.
- The TU will cancel in-person courses if the State or CDPHE announces a closure that authorizes employees to forgo in-person work.
- The TU will cancel virtual courses if the State or CDPHE announces a closure that authorizes employees to forgo teleworking.
- In-person and virtual courses can also be canceled at the discretion of the TU based on factors such as road conditions, school delays/closures, technology, and venue issues.
- Other emergencies or situations affecting the State or relevant regions/communities within the State.
As soon as possible after deciding to cancel a course, the TU will notify registered participants via email from cdphe.dchivinfo@state.co.us. If the TU is able to reschedule the course, registered participants will be offered priority registration for the rescheduled date/time.
