
| Speaker Agreement Terms and Conditions |
Sharing your professional experience with CMG provides quality exposure for you and your company while creating an unprecedented learning opportunity for attendees. All speakers who submit to speak and accept a speaking role with CMG are bound to these terms and conditions.
CMG receives a large variety of submissions that are outstanding and are willing to be placed on a waiting list. Failure to comply in these terms and conditions could result in the loss of your program slot and revocation of your conference ticket.
Deadlines and Deliverables
Response Time
- To facilitate planning, you agree to a timely response of 72 hours or less on communications regarding your speaking role at IMPACT.
Submission Deadlines
Tuesday, September 19, 2023: Call for Speakers Opens
Friday, November 10, 2023: Submission Deadline
Wednesday, November 8, 2023: Notification to All Submitters
Friday, December 13, 2023: Deadline for Speaker Confirmation and Conference Registration
Friday, January 26, 2024: Final Deadline for Session Recordings, papers, and proceedings
Failure to participate in the aforementioned events or submit presentations, according to the dates outlined in your confirmation, may result in your removal from the program/agenda.
Promotion and Distribution
- Speaker agrees to allow CMG to distribute their name, voice, biographic material, and likeness in connection with my presentation.
- Speakers agree to CMG’s use of their employer’s company name and logo.
- Speaker agrees to photography, filming, or recording of their presentation for distribution by CMG.
- While CMG may own and distribute recordings and collateral related to sessions, CMG does not own the speaker’s likeness or intellectual property.
- Speaker agrees to help promote the conference and their session. Speakers will be supplied with marketing content and are additionally encouraged to follow CMG on social media for conference related tweets, including announcements, deadlines, event information, and other news leading up to the Summit.
- If desired, Speakers will be provided with a custom discount code to share with their network for discount and tracking purposes.
- All presenters are asked to supply a recording of their presentation, the presentation deck, and any accompanying articles or papers.
- Speakers will receive social media and email promotion of their session. We kindly ask that you like, comment, and share any social media posts related to your involvement in the conference. At your request, we will supply a tracked code for you to track engagement in the conference from your social media.
Compensation
- Speaker understands that neither them nor their organization will receive compensation for speaking at the conference or granting these permissions.
- Speakers will receive a conference discount. Speaker Ticket Rate is $299 for the conference.
Presentation
- Speaker agrees to present an educational, vendor-neutral presentation unless otherwise discussed.
- You agree that your presentation will not disparage any other methodologies or bodies of work and will conduct yourself in a professional, ethical fashion. You additionally agree to comply with the Event Registration Terms and Conditions and the Code of Conduct
- Non-Discriminatory Presentation Guidelines: Instructors must refrain from overt statements or offensive humor, which would disparage the dignity of any individual or group. Following are some non-discriminatory presentation guidelines:
- Use non-discriminatory words in verbal and written communications.
- Review your material and substitute asexual words such as sales representative or sales person instead of salesman. Refrain from using labels (e.g., referring to women as “girls”). Eliminate sexist language in your handouts (i.e. replace masculine pronouns with he or she, or reword sentences or phrases).
- If you encourage audience participation, acknowledge and give equal opportunity for contribution.
- Avoid discriminatory jokes (e.g., belittling a person’s sex, race, or age, or perpetuating a stereotype).
- Introduce panel members in a non-sexist manner. Ask panelists how they wish to be presented. Avoid references to personal/physical attributes. Acknowledge professional positions, skills and contributions to the industry. Be consistent in the use of names and titles, giving the same type of information and level of formality for each. As an example: “Ms. Mary Jones, Vice President of ABC presentations, and Mr. John Smith, Sales Manager of Smith & Associates, will join us today.”
- Avoid visual aids that show people in stereotypical roles. Regardless of sex, race, age groups, etc., present individuals without bias.
- You agree to ensure that your education session is a vendor neutral presentation. Unless specifically designated as a promotional or sponsored session, IMPACT sessions are non-commercial forums and should not be used as a place for direct promotion of a speaker’s product, service or monetary self-interest. Selling from the podium is defined as:
- Making a sales transaction
- Using your session to develop a mailing list
- Distributing price lists
- Encouraging participants to contact the speaker by telling session attendees how the speaker can be reached and/or discussing engagements/fees
- Discounting others’ views, models, or products in the session
- Including company literature in speaker handouts and/or distributing company materials or products during an IMPACT session
Technology
- IMPACT 2024 will be offered as an in-person event.
- Speaker agrees to attend IMPACT in Atlanta in Person.
- Speaker agrees to supply their own equipment for their in-person presentation including a compatible computer.
- You may present from your own device during your session or utilize one of our PCs for your presentation. If you are planning to take calls or meetings while in Atlanta, please plan to be on-site and available at least one hour prior to your scheduled session for check-in.
- Speaker will inform CMG of any potential issues prior to their acceptance on the agenda.
- Speakers agree to participate in live Q&A and other conference activities related to their presentation.
Copyright & Agreement
Speaker grants to CMG a royalty-free license to record and distribute my presentations (including audio, handouts, and PowerPoint presentations) as part of CMG’s archived presentation library, with appropriate attribution to me. Speaker retains copyright ownership of the content and may use the presentation in any other way as desired.
Speaker grants CMG the right to include presentation content in the Conference proceedings in other electronic formats. A copy of your slide presentation (or other presentation program) must be made available for download by registered Conference participants both prior to and after the Conference. CMG may also allow its members to access your presentation.
Acceptance
Speaker agrees to the following: I represent and warrant that my presentations do not violate any proprietary or personal rights of others (including any copyright, trademark and privacy rights), are factually accurate, and contain nothing defamatory or otherwise unlawful. I have the full authority to enter into this agreement and have obtained all necessary permissions or licenses from any individuals or organizations whose material is included or used in my presentation.
I agree to abide by the Summit Code of Conduct. During my presentation(s), I will not engage in any type of promotional marketing or selling of any product or service. I will not disparage CMG in any way, whether online or in person.
I agree to notify CMG immediately in the event that an emergency should prevent me from meeting my obligation as a session speaker.
I hereby indemnify and hold CMG harmless from and against any and all claims, expenses (including reasonable attorney’s fees), arising directly out of my negligent actions and/or the breach of any of my covenants, obligations, representations or warranties set forth in this agreement.
