Data Management and Governance Policy

Sulpetro Inc. data shall be considered proprietary in a way that complies with the data management and governance policy below:

Secure & Encrypted

All data made available to our paid subscribers is subject to the data license agreement to ensure privacy, security, and limited distribution. Our proprietary database is stored in a SQL database in a secure, encrypted AWS cloud-based server only accessible by a private web-based application. This ensures quality and protects our paid subscribers’ data purchase investment.

Primary Source

Data is collected at the primary source whenever possible, with the highest possible level of granularity, not in aggregate or modified forms. It is cleaned and normalized in a standard and consistent methodology, used by Sulpetro Inc. for over twenty years.

Timely

Data is made available as quickly as necessary to preserve the value of the data using our revision service. Our paid subscribers are notified when the new data is available. The annual production volumes are loaded using batch processing over the year as it becomes available, up to our data year-end (September 30). Until that time, all volumes are considered preliminary.

Accessible

Data is available to all paid subscribers and users of Sulpetro Inc. data services for the most comprehensive range of purposes.

AI and Machine Learning

Data is structured according to the data dictionary to allow automated processing. It is easily imported into our clients’ statistical software packages using REST API or .csv import functionality.

Qualified Buyers

Data is available to qualified buyers only and used respecting Sulpetro Inc.’s data sharing & licensing agreement.

Proprietary

Data is available to paid subscribers only in a format over which Sulpetro Inc. has exclusive distribution control. The data can be downloaded and used by our paid subscribers for their internal data uses and to support their business activities.

Data License

Data is subject to copyright, patent, trademark, or trade secret regulation. Reasonable privacy, security, and privilege restrictions apply.

Materiality

Sulpetro Inc. endeavours to report production volumes on every facility handling natural-gas-liquids in North America however, there are some rare cases where the number of NGL derivative barrels produced is not material (less than 1,000 total NGL barrels) and/or where the facility is managed by a private company not following Sarbanes-Oxley (SOX) compliance requirements leading to a business decision to discontinue or not collect data on this facility.  If asked by our clients to report production volumes at any facility without regard to our materiality policy then Sulpetro Inc. is pleased to conduct this research on their behalf at an additional fee.

Quality Control and Assurance

Data is audited and reviewed on an ongoing basis. Sulpetro Inc. is working toward ISO standard certification. If a user or subscriber finds an omission or error, please report at your earliest convenience to information@sulpetro.com, and Sulpetro Inc. will endeavour to rectify the omission or error immediately.

Definitions

1.

“proprietary” means:

The data governance and management policy does not address what data is proprietary. Privacy, security, and other concerns may legally (and rightly) prevent data sets from being shared without the explicit acknowledgement by Sulpetro Inc. In conjunction with the data license agreement, this policy specifies the conditions data should be considered proprietary.

2.

“data” means:

Electronically stored information. Examples include; tariff rate documents, databases, geospatial geometries, map-layers, facility annual production volumes. It is always encouraged to protect the data provided to our clients in a reasonable manner to whatever extent possible, given its sensitive nature.

3.

“reviewable” means:

Sulpetro Inc. will designate an analyst to respond to our clients’ data inquiries.

Our Chief Data Officer is designated to respond to complaints about data management and governance policy violations.
