Events

Closing Ceremonies – Area Head

We are looking for 1 person for this position.

Direct the final official event of the convention.  A stage presentation, speeches, entertainments.  Control the timeline, work with tech and talent.

TIME COMMITMENT: Working towards the event from day one.  Constant Coordination with the sub areas, Toastmasters, Tech, Talent, Facilities, etc. Available for at least monthly meetings, which will increase as the convention grows closer.  Attending at least one ONSITE meeting in the months leading up to the convention.

Hugo Award Ceremony – Area Head

We are looking for one person for this position.

Enjoy being a Theater Director?  Always wanted to lead the Tonys or The Oscars?  Here's your chance.  One, or perhaps a Two person team to design and execute one of the Premiere events of the World Con.

TASKS:

SKILLS:

TIME COMMITMENT: This is a long term commitment, taking the reins from day one of signing on.  Requires a single focus commitment to the event. The need to attend at least monthly online meetings, which will increase as the convention draws closer. Constant communication with the Events Director, Tech Director, Facilities Director, WSFA Director, and the Hugo Ceremony Teams. Attending at least one ONSITE meeting in the months leading up to the convention.  

NOTE: The purpose of this role is to stage the Hugo Awards Ceremony. The job does not involve any role in the Hugo Award Voting, Award Creation, Management of the Nominees, or any other task that falls to the WSFA Team.

Con Suite Area Head

We are looking for 1 person to fill this position.

The Con Suite is the social hub of the convention and we want it to be a fun relaxing place for attendees to stop by and get a snack. Unlike in previous years, this year we will be focusing on individual serve packaging. As well as fun stuff, we would like to offer some healthy options as well.

TIME COMMITMENT: Until April about 1 hour a week. From April to August, several hours a week. At con, requires a significant time commitment. While Con Suite is open,  you or a deputy will be on call.

Con Suite Deputy Area Head

We are looking for 1 or 2 people to fill this position.

The Con Suite is the social hub of the convention and we want it to be a fun relaxing place for attendees to stop by and get a snack. Unlike in previous years, this year we will be focusing on individual serve packaging. As well as fun stuff, we would like to offer some healthy options as well.

Con Suite Area Staff

Looking for several people to help with this position.Great opportunity for a new volunteer.

The Con Suite is the social hub of the convention and we want it to be a fun relaxing place for attendees to stop by and get a snack. Unlike in previous years, this year we will be focusing on individual serve packaging. As well as fun stuff, we would like to offer some healthy options as well.

TIME COMMITMENT: In July and August, an hour a week. At con, a minimum of 12 hours. We prefer staff to work no more than 4 hours a day.

Staff Den/Green Room Area Head

We are looking for 1 person to fill this position.

The Staff Den/Green room is where staff and presenters get something to eat. There will be a food service area where food will be served to both groups. There will then be a staff den area for staff to eat and a green room area for presenters to eat.

We are looking for 1 or 2 people to fill this position

The Staff Den/Green room is where staff and presenters get something to eat. There will be a food service area where food will be served to both groups. There will then be a staff den area for staff to eat and a green room area for presenters to eat.

Minimum Skill Requirements for the Member Services Division

Member Services Deputy Division Head

We are looking for 1 person to fill this position.

TIME COMMITMENT: Significant. Must be available pre-con and at-con to fill in as needed.

Childcare Area Head

We are looking for 1 person to fill this position.

TASKS:

SKILLS:

TIME COMMITMENT: Must be able to spend a few months pre-con to research and hire childcare provider and set-up payment and form for members. At-con, you will need to spend about an hour each day checking-in with the provider.

Costume Repair Space Area Head

We are looking for 1-2 people to fill this position.

TIME COMMITMENT: Will likely need to spend a few hours a month prior to con designing the space, soliciting donations, etc. Will likely need to spend a few hours per day in the space.

Operations Area Head

We are looking for 1-2 people to fill this position.

TIME COMMITMENT: Will need to spend time prior to con recruiting and planning. Will need to spend significant time at con running Operations as it is 24/7.

Code of Conduct Area Head

We are looking for 1 person to fill this position.

TIME COMMITMENT: Will need to design processes, develop schedule, and engage in training for team prior to con. At-con, this role will be significant.

Sales to Members Area Head

We are looking for 1 person to fill this position.

Program Division

Brainstorm Team

We are looking for as many volunteers as possible for this opportunity.

TASKS:

Brainstorm Team members are people participating in/subscribed to the Brainstorm email list, including staff from other Chicon 8 Divisions outside Program who have applied to be assigned this role, and Subject Matter Experts who do not intend to be convention staff. The goal of the Brainstorm email list is the generation of, collaboration on, and expansion of ideas for Program items.

Front End Developer

Do you know (or want to know) Vue.js? Are you a self-motivated learner? You can help us make a convention happen!

TASKS:

You would be joining a software team consisting of front and back end engineers, designers and DevOps staff. We are looking to bring on additional staff, with the top priority being an additional front end software engineer. Our small, dynamic team actively collaborates in all aspects of the design and development process.

Staff Services Division

5-2-1 Care Team

We are looking for 5-10 people for this team.

TASKS:

TIME COMMITMENT: daily hours at-con to be scheduled

Con Office Garage Sale

We are looking for 3 people (local to Chicago preferred) to fill this position.

TASKS:

SKILLS: Some experience with running a garage sale would be helpful but not required.

TIME COMMITMENT: 8-12 hours between the last day of the convention and Move-Out Day, plan for a full day the day of the sale and final move-out, and some post-con days.

Con Office Procurement

We are looking for 1 person to fill this position.

TASKS:

SKILLS:

TIME COMMITMENT: 2-4 hours per week in the months prior to the convention, increasing to 4-6 hours per week during the ordering/receiving timeframe.

Con Office Staff

We are looking for 2-6 people to fill this position.

TASKS:

TIME COMMITMENT: 6 hours during move-in, scheduled time of 4 or more hours daily during the convention, and/or 6 hours during move-out. Time commitment is dependent on your availability during move-in/convention/move-out and should be scheduled with the Con Office Area Head.

Google & Slack Technical Support Staff

We are looking for 2 volunteers for this opportunity.

IT At-Con Tech Staff

We are looking for 5 people to fill this position.

TASKS:

TIME COMMITMENT: 2-4 hours per week in the month prior to the convention, 4+ hours during move in/move out and daily during the convention

Logistics Drivers

We are looking for 2-4 people with valid driver’s license (possibly CDL drivers license), depending on how many trucks we rent.

TIME COMMITMENT: 6-8 hours on Move-in and Move-out days, with possible short runs on the first and last day of the convention.

Logistics Storage Master

We are looking for 1-2 people local to Chicago

TIME COMMITMENT: 2-4 hours per week increasing to 4-8 hours in the 6 weeks leading up to the convention, likely 6-8 hours during Move In and Move Out. Very little responsibilities during the convention.

Logistics Team Members

We are looking for 15+ people to fill these roles

TIME COMMITMENT: minimum of 4-6 hours per day from the beginning of move-in through the end of move-out, on a time-slot schedule

Meeting Planning Facilitator

We are looking for 5 volunteers for this opportunity. If you are interested in learning more about how conventions run, this role is for you. This gives you a chance to hear decisions made and conversations around the planning aspects of Chicon 8 while contributing yourself.

TIME COMMITMENT: 3-4 hours per meeting, this includes planning time in the 1-2 weeks prior to the meeting as well as attending the meeting. Scheduling which meetings you will attend is flexible depending on your personal schedule.

Meeting Planning Scribe

We are looking for 7 volunteers for this opportunity.If you are interested in learning more about how conventions run, this role is for you. This gives you a chance to hear decisions made and conversations around the planning aspects of Chicon 8 while contributing yourself.

TIME COMMITMENT: 2-3 hours per meeting, this includes attending the meeting and the time afterwards to complete and post the meeting notes. Scheduling which meetings you will attend is flexible depending on your personal schedule.

Staff Site Curation

We are looking for 1-2 people for this position.

TASKS:

SKILLS: Experience with Google Sites is a plus, otherwise, the ability to learn a new tool at the admin level quickly is needed.

TIME COMMITMENT: 2-5 hours per week plus responding to emails for tech support as needed.

Volunteer Coordinators 

We are looking for 10-15 people to fill this position.

TASKS:

TIME COMMITMENT: a few pre-con emails in the two weeks prior to the convention move-in to establish the at-con schedules, 4+ hours per day as available, in 2 hour shifts, during move in/move out and the convention. More people in this role means less shifts each person needs to cover.
