Circulation Policies
In order to check out materials, Motlow students, faculty, staff, and community/academic borrowers must have a Motlow ID card obtained at any Motlow library branch.
Loan intervals (per patron group & item type)
Students
- Books, (excluding Textbooks and other reserve items): 3 weeks or 21 days, may be renewed once for a total of 6 weeks or 42 days.
- Audio/ Visual (AV):
- DVDs: 2 weeks or 14 days. May be renewed once for a total of 4 weeks or 28 days.
- CDs and audiobooks: 3 weeks or 21 days, may be renewed once for a total of 6 weeks or 42 days.
- Textbooks and Course Reserves: 4 hours, 2 days, or 7 days. Students must keep all textbooks and course reserves in the library. May not be renewed.
- Tech devices
- Laptops, iPads- 2 weeks or 14 days. After return, students may check out another after a 24-hour waiting period.
- Hotspots- 2 weeks or 14 days, may be renewed once for a total of 4 weeks or 28 days.
- Calculators- 1 week or 7 days. may be renewed once for a total of 2 weeks or 14 days.
- Headphones- 4 hours. Students must keep all headphones in the library.
- Oculus Quest VR Headsets- 2weeks or 14 days after mandatory first time VR training. After return, students may check out another after a 24-hour waiting period. Please note these devices may not be used in the library common areas.
- Alienware computer stations with Oculus Rift S headsets- 2hours after mandatory first time VR training. After return, students may check out another after a 2-hour waiting period. However, Alienware computers must remain in the library.
Employees
- Books, (excluding Textbooks and other reserve items): end of semester
- Audio/ Visual (AV):
- DVDs: 2 weeks or 14 days. May be renewed once for a total of 4 weeks or 28 days
- CDs and audiobooks: 3 weeks or 21 days, may be renewed once for a total of 6 weeks or 42 days.
- Reserves: Loaned per the discretion of the Librarian at the location.
- Laptops- Faculty and staff may not check out laptops (TAF rules apply).
- iPads- Faculty may reserve an entire iPad cart for classroom use with a minimum of 48 hours notice or may reserve smaller group of iPads, if entire cart is unnecessary. Faculty and staff may not check out iPads for personal use.
- Hotspots, Calculators, and Headphones- Faculty and staff may check out Hotspots, Calculators, and Headphones at the Librarian’s discretion.
- Oculus Quest VR Headsets- Faculty and staff may reserve VR headsets for research and curriculum development in consultation with library staff.
- Alienware computer stations with Oculus Rift S headsets- Faculty and staff may reserve VR headsets at Alienware stations for research and curriculum development in consultation with library staff. However, Alienware computers must remain in the library.
Community & Academic Borrowers (Patrons from other colleges)
- Books (excluding Textbooks and other reserve items): 3 weeks or 21 days, with a three-book maximum. May be renewed for a total of 6 weeks or 42 days.
- Audio/ Visual (AV):
- DVDs: 1 week or 7 days, with a three-DVD maximum. May be renewed once for a total of 2 weeks or 14 days.
- CDs and audiobooks: 3 weeks or 21 days, may be renewed once for a total of 6 weeks or 42 days.
- Community Borrowers may not check out Reserves.
- Community Borrowers may not check out Tech Devices.
Procedures
If an item is lost, there is a fee of $50.00, or replacement cost of the item, whichever is higher. An academic hold will be placed on the student's account until the fee is paid.
Interlibrary Loan (ILL)
Interlibrary Loan requests may be made by faculty, students, staff, and community/academic borrowers. Patrons may complete an Online Interlibrary Loan Request Form.
- Motlow Library will fund up to $10.00 of lending fees for each ILL request. Outstanding lending fees are the responsibility of the patron and must be prepaid. Patrons are also responsible for any late fines, damage, or loss. Patrons may be charged up to $10.00 per item for failure to pick up their interlibrary loan(s).
- Patrons are limited to requesting three (3) items at one time. Once the original three books have been returned, three additional books may be requested. Additional periodical articles may be requested once the originally requested articles arrive.
- An Interlibrary Loan Request Form must be completed for each request. If filling out the request at a campus location, the borrower may ask for the assistance of a librarian. Failure to fill out the Online Interlibrary Loan Request Form accurately and completely may result in delays and/or cancellation of the request.
- Patrons who have lost more than three (3) items may have their ILL privileges revoked permanently at the discretion of the Director of Libraries.
