
EduAssess Setup Guide
Welcome to EduAssess — your all-in-one tool for referrals, support applications, and Special Assessment Conditions (SAC) tracking.
Follow these steps to get started:
1. Install EduAssess
- Go to the Google Workspace Marketplace and install EduAssess.
- Once installed, you’ll find EduAssess available inside Google Sheets under the Extensions → EduAssess menu.
2. Open EduAssess Workbook
- Open a new or existing Google Sheet.
- From the menu bar, click: Extensions → EduAssess → Start.
- EduAssess will automatically create the required tabs:
- Referrels
- Support Applications
- Year 11
- Year 12
- Year 13
- Options
- SAC Output
3. Licensing
- On first open, EduAssess checks your school’s domain/email against the Licenses database.
- If licensed ✅ → all features unlock automatically.
- If not licensed ❌ → the workbook locks, and you’ll see a popup with a link to purchase a licence.
4. Initial Setup
Add Your Logo
- Go to EduAssess → Set/Change Referrals Logo.
- Paste in a public logo image URL → it will appear in cell A1 of the Referrals sheet.
Set Assessment Year
- Go to EduAssess → Set Assessment Year.
- Enter the current year (e.g., 2025).
- The title row in Referrals will update automatically.
Set Year Labels (optional)
- By default, the tabs are called Year 11, Year 12, and Year 13.
- To rename (e.g., Grade 9, Grade 10, Grade 11), go to EduAssess → Set Year Labels.
5. Using the Tabs
Referrals
- Use row 2 to add new referrals.
- Dropdowns are provided for assessment types, caregiver contact, consent, SAC required, learning register, and notified parties.
Support Applications
- Record support requests for SAC.
- Date Application Submitted column includes a calendar picker.
- Dropdowns for evidence type, approval status, and SAC applied/approved.
Year Tabs (11/12/13 or your custom labels)
- Enter SAC support for each student.
- Columns: SAC Support, Derived Grade assessments, End of Year Exams.
- All dropdowns pull from the Options tab.
Options
- Edit the master lists for SAC options, assessment types, and notified parties.
- Any changes flow through the entire workbook.
6. SAC Output
- The SAC Output tab is built automatically from Year 11, Year 12, and Year 13.
- Layout:
- Row 1: logo (A1) + merged title with year (B1:E1).
- Row 2: column headers.
- Rows 3+: students listed in order (Year 11 → Year 12 → Year 13).
- Updates automatically whenever Year tabs are edited.
7. Share-Only SAC Output File (Staff View)
⚠️ Staff should only ever see this file, not the full workbook.
- EduAssess automatically creates a new file in your Drive called:
EduAssess — SAC Output (Share Only)
- To access it:
- Go to EduAssess → Open Share-Only SAC Output.
- Share this file with staff as Viewer.
- It will stay live-updated — no need to re-share.
8. Menu Overview
From Extensions → EduAssess you’ll find:
- Re-check license now
- Set/Change Referrals Logo
- Set Assessment Year
- Set Year Labels
- Rebuild SAC Output
- Set SAC Output Logo
- Open/Sync Share-Only SAC Output
- Show license status / Refresh license cache
- Prettify all tabs (optional styling)
9. Tips
- Tab colours: you can right-click and colour tabs (e.g., make SAC Output red) and it will stay.
- Data safety: only licensed users can unlock the workbook; staff see the share-only mirror file.
- Deleting the mirror: if someone deletes the “EduAssess — SAC Output (Share Only)” file, the add-on will automatically recreate it the next time you rebuild SAC Output.
