Acceptable Use Policy

Sound Training for Reading Limited (trading as Lexonic)

This Acceptable Use Policy ("AUP") applies to all Customer organisations, Authorised Users, and anyone accessing any product, online service, application, software, or service provided by Sound Training for Reading Limited trading as Lexonic ("Lexonic") — including but not limited to Wordology, My Lexonic and Lexonic Learn (each a "Lexonic Online Service" and together the "Lexonic Online Services").

This AUP forms part of the agreement between Lexonic and the Customer and is incorporated by reference into the terms of service, terms and conditions, or other agreement governing each Lexonic Online Service. By accessing any Lexonic Online Service, each individual user agrees to be bound by this policy.

The Customer is responsible for ensuring that all Authorised Users within its organisation are made aware of and comply with this policy.

1. Permitted Use

The Lexonic Online Services may be used only for lawful educational purposes within the Customer organisation. Specifically:

• Online Service access is for use by Authorised Users only, up to the number of seats licensed in the Order Form
• All use must be in connection with the educational purposes for which the licence was granted
• Access is personal to each Authorised User and may not be shared or transferred
• Maintain active use of accounts. Dormant accounts or unredeemed invitations are subject to administrative deactivation (see  Inactivity Policy) to preserve system integrity, without prejudice to the Customer's underlying license rights.

2. Prohibited Use

Authorised Users must not:

• Share login credentials or account access with any other individual, whether inside or outside the Customer organisation
• Copy, reproduce, modify, extract, adapt, or create derivative works from any Lexonic Online Service content, materials, or software, whether in physical or digital form
• Use any artificial intelligence tool, large language model, automated script, or scraping technology to extract, reproduce, summarise, or otherwise process any Lexonic Online Service content or data without Lexonic's prior written consent
• Record any Lexonic training session, webinar, live event, or online session by any means, including screen recording software, AI transcription tools, or meeting recording applications, without Lexonic's prior written consent
• Distribute, resell, sublicence, or otherwise make access to any Lexonic Online Service available to any third party
• Use any Lexonic Online Service in any way that infringes the intellectual property rights of Lexonic or any third party
• Upload, transmit, or store any unlawful, offensive, harmful, or inappropriate content via any Lexonic Online Service
• Attempt to reverse engineer, decompile, or otherwise access the source code or underlying systems of any Lexonic Online Service
• Attempt to circumvent any access control, security measure, or licence restriction within any Lexonic Online Service
• Use any Lexonic Online Service in any way that could damage, impair, or disrupt the online service or interfere with other users

3. Student Data

Staff accessing student data must:

• Access student data only for the purposes of delivering the licensed programme to their own students
• Not share student data with any third party without the explicit consent of the Customer organisation and, where required, the relevant data subjects
• Not use student data for any purpose beyond delivering the licensed programme, and never for marketing, research, or AI training
• Comply with the Customer organisation's own data protection policies and UK GDPR obligations when handling student data via any Lexonic Online Service
• Report any suspected data breach or unauthorised access to student data to their organisation's Data Protection Officer and to Lexonic at privacy@lexonic.org immediately upon becoming aware

4. Academy Trust Use

Where the Customer is an Academy Trust, this policy applies to all staff accessing any Lexonic Online Service across all licensed schools within the Trust. Access must be limited to the specific schools named in the Order. Staff at unlicensed schools within the Trust must not access or use any Lexonic Online Service.

5. Conduct Towards Lexonic Staff

Lexonic staff are entitled to work in an environment free from harassment, abuse, or intimidation. Users interacting with Lexonic staff, whether in training sessions, support communications, or any other context, must:

• Communicate respectfully and professionally at all times
• Not engage in any conduct that could reasonably be considered harassment, bullying, discrimination, or abuse
• Not make unreasonable or repeated demands that fall outside the scope of the contracted service

Where behaviour gives Lexonic cause for concern, the matter will be escalated appropriately and Lexonic reserves the right to suspend that individual's access pending investigation. Concerns about Lexonic's own conduct should be directed to complaints@lexonic.org and will be responded to promptly.

6. Consequences of Breach

Breach of this policy by any user may result in:

• Immediate suspension of that individual's access to the relevant Lexonic Online Service
• Suspension of the Customer organisation's licence pending investigation
• Termination of the agreement in accordance with the terms of service or terms and conditions governing the relevant Lexonic Online Service
• A claim for damages, costs, or losses sustained by Lexonic as a result of the breach

Where a breach is caused by a member of the Customer's staff, the Customer remains liable to Lexonic for the consequences of that breach. In the event of a suspected breach, the Licensee shall provide all reasonable assistance and access to relevant employees or former employee contact details where a suspected breach of the Licensor's Intellectual Property Rights has occurred, to the extent permitted by the Data Protection Act 2018.

7. Reporting a Breach

If any user becomes aware of an actual, suspected, or threatened breach of this policy, they must notify Lexonic in writing as soon as possible, providing full details. Reports should be sent to:

• Data or security concerns: privacy@lexonic.org
• General conduct or policy concerns: complaints@lexonic.org
• Support and online service issues: support@lexonic.org

This policy should be read alongside the terms of service, terms and conditions, and Data Processing Addendum applicable to each Lexonic Online Service.
