THE GREENS BOARD OF DIRECTORS MEETING

August 29, 2022

2454 El Dorado Court

Call to Order: 5:17 pm         

Members Present: Critt, David, Tracy, Elvira, HOAMCO rep. Sylvia Balizan (left due to illness)

Approval of Minutes: All Board meeting minutes through June 2022 are completed, approved by the Board and sent to all homeowners. (They have also been posted to The Greens website). July meeting minutes have been sent to the Board for approval.

Treasurer’s Report – Sylvia/HOAMCO, Tracy: David - 58% of the year is done, but we have only spent 50% of budget. We are evaluating some projects to complete this year. Currently considering two new yards, plus fixing some of the problem areas. There are a couple of yards that are out of compliance with the CC&Rs and ARC – if owners refuse to repair, the Greens will have repair them and then bill the homeowner. Budget will be monitored closely – we will move money if necessary. Everyone must remember that The Greens is now 30 years old, so there are more and more issues that will have to be addressed. The remainder of the expenditures for this year are expected to be higher. Tracy reported there are a couple of homeowners behind in HOA dues – late notices have been sent.

MOTION: David made a motion to accept the July financial reports provided by Sylvia and HOAMCO.

Secretary’s Report - Tracy: July minutes discussed and approved by the Board with corrections. They will be sent out to all homeowners and posted to the website. (TheGreensatDesertHills.org)

COMMITTEE LIAISON REPORTS:

Landscape Advisory Committee; Critt Garner, Liaison – Danny is having trouble keeping workers. Today there was debris left in peoples’ yards, and grass clippings left all over the outside sidewalk coming into The Greens. Tracy will let Danny know. Grub treatment done around August 1st. Yards were aerated, and will be fertilized when cooler. Shrubs to be trimmed in Sept. Three yards (2422, 2440, and 2432) will have sod repairs done. We are going to reshape 2465 on either end with rock. 2468 had a large bush that had to be removed – now discuss with owner whether to replant or maybe use a boulder to hide the utility boxes? Two houses (2448 and 2418) need to have house numbers visible. Tracy discussed to yellow cards were submitted with 2nd requests from residents. Work has now been completed on both. Landscaping looks pretty good overall. There is always something to do, and something to be repaired with 30-year-old irrigation systems.

Architectural Review Committee; Elvira Masson, Liaison – report given by Elvira from Mary Reynolds, her final report as ARC Chair. The Board must find another person to serve on this committee. Covenants set out requirement that there are three members. Elvira and Critt will talk to a couple of owners for help.

Social Committee; Tracy Thompson, Liaison – Tracy will send out an email to see if anyone is interested in attending a Labor Day Party? She will let the Social Committee know what type of response we get.

Pool Committee; Ron Logan, Liaison – Critt reports all going well. He is still having to go down to the pool once a week to pick up the trash and put into his own trash can. Residents are supposed to take their trash with them. We may have changes next years’ janitorial contract to have trash removed.

Yellow Project Card Report – Tracy: not too many yellow cards. Mary Maley is doing great keeping up on landscape issues, and handling the walk-arounds.

Other Business: “Tree Removal” definition added to Landscape Advisory handout. The Board discussed maybe creating a “Helpful Hints” ARC Handout to make ARC and CC&Rs requirements easier to understand. Tracy will work on this handout and present to the Board.

New Business:  David notes we need to set-up a volunteer session to paint the rusted sections of the white metal fence around the pool and along Buena Vida. (This was scheduled two years, but everything was shut down due to pandemic. We are looking at possibly Saturday, October 22nd for this job. David will provide coffee and donuts. We already have the paint and supplies. Tracy will let everyone know when we need volunteers.
