SUMMER PROGRAM HANDBOOK

St. Edward School exists to provide a comprehensive academic foundation that empowers children in their faith journey by teaching Catholic values while encouraging lifelong service.

Welcome!

St. Edward School Summer Care Program is a childcare program for children ages 5 - 12 years.  Our program strives to serve the needs of parents looking for a safe, supervised environment for their children during the summer months.    

Goals

The goals of our program are to promote the development of social and personal skills in a supportive, structured Catholic environment while providing social interaction, physical exercise, and time to work on academics.  

  1. To provide a safe, caring, trusting, and relaxed environment where your child can grow during the summer months.
  2. To gain respect for themselves, others, and property.
  3. To develop new friendships.
  4. To provide trained, caring, and respectful staff who understand the needs of a stable setting to meet the emotional needs of children.

Who is Eligible?

All students enrolled in grades Kindergarten through 6th grade are eligible to participate.  Seventh and eighth-grade children are eligible to apply to attend as helpers.  No child will be denied or discriminated against based on race, color, creed, religion, or national origin.  

When is the Program Offered?

The program will begin on Tuesday, May 28, 2024 and run until Friday, August 9th, 2024.  The program will run Monday through Friday during this time.    

Program Schedule

There will be a program schedule posted on the south door of the Knights of Columbus Hall listing where the children will be throughout the day.  Children are to be dropped off with St. Edward School summer program staff where they will be checked in.  Parents or other eligible adults will need to pick up children from St. Edward summer program staff where they will be checked out.  

The St. Edward Summer Program begins each day at 7:15 am and ends at 6 pm.  St. Edward Summer Program closes promptly at 6:00 p.m.

Policies and Procedures

Enrollment in the program assumes an understanding that you will abide by the guidelines listed as follows:

Parent Expectations of the Program

  1. Their children are cared for in a safe, supportive environment
  2. They may contact the program supervisor about concerns related to their child or the program confidentially.
  3. They will be informed of any unacceptable behavior on the part of their child or involving their child and able to visit with the supervisor to improve the situation.

Program Expectations of the Parents

  1. Pay fees on time as explained in the fees and payment policies.
  2. Keep contact information current as explained in the enrollment forms.
  3. All school information must be up-to-date for children to attend (for example: shot records, medical information, etc).
  4. Pick up children on time as explained in the Attendance Procedures Section.
  5. Contact the supervisor or the school office if their child will not be attending as scheduled.
  6. Be an active participant by paying close attention to any communications that are provided by the summer program staff regarding scheduling, behavior issues, etc.  Must cooperate in assisting with children if behavior issues arise to help improve the situation.
  7. Inform the St. Edward summer program staff regarding any special needs of their child.

Participant (child) Expectation of the Program

  1. To have a safe, supportive, and Christ-centered environment.
  2. To receive trust and respect from staff.
  3. To receive discipline that is appropriate and non-punitive.
  4. To receive nurturing care from staff members who are actively involved with them.

Program Expectations of the Participants

  1. Have fun, be friendly, be safe, be honest, and be respectful to staff and other participants.
  2. To use the program/school equipment, materials, and facilities respectfully.
  3. To be responsible for their actions.
  4. Must cooperate in the program, with staff and others at all times.
  5. Take care of materials properly and put them in their appropriate place when done.
  6. Remember to act as Christians in a Christ-centered atmosphere.

Enrollment/Registration

Enrollment is complete when all the forms are returned.  The contract is only for the 2024 Summer Program.  The forms are as follows:

Health Summary

Fees:

Each child is charged $35 per day.  Days that are registered for and are missed will be charged $35 unless 48 hours' notice is given.

The program ends promptly at 6:00 p.m.  Every 5 minutes you are late beginning at 6:01 p.m. will incur an additional $5 charge.  If an emergency occurs, please have your emergency contact pick up your child.

If children are not picked up by 6:20 pm and no contact has been made by parents or emergency contacts, local law enforcement will be notified.

You will receive a weekly statement via e-mail with your account balance.  All money owed for the previous week must be received by Tuesday of the following week.  A $40 late fee per month will be assessed.  There will not be a year-end statement sent out in January, however one will be available on the RenWeb Parent Portal.  (www.renweb.com)

 

All staffing will be scheduled on Friday of the week before the following week.  We require that you notify staff at childcare@stedscatholicschool.com of your child’s schedule regarding the summer program by Friday of the previous week so that we may be properly staffed.  You may also sign up for the entire summer so you do not have to contact the director each week.  Days that are registered for and are missed will be charged $33 unless 48 hours' notice is given.

Payment:

St. Edward After School Program a non-profit, self-supporting program and needs prompt payment to meet additional expenses.

St. Edward School utilizes the RenWeb program for student management; as a member of the summer program, your family is enrolled on RenWeb.  This is your portal for managing your contact information and your weekly bill.  It is preferred that you pay your bill online at www.renweb.com.  Checks may be utilized and made payable to “St. Edward School '' with “Summer Program” written in the memo line; please deposit these in the mail slot in front of the Knights of Columbus Hall at 409 S. Washington St.  It is preferred to give any paperwork directly to the summer program director or the school secretary when you drop off or pick up your child.  However, if that does not work you may e-mail the information to childcare@stedscatholicschool.com or mail it to:

Illnesses/Medication Procedures

Illness

Is my child well enough to attend the summer program?  Please do not send your child to the program if:  

* Your child has had an oral temperature of 100 degrees or higher in the past 24 hours.

* Your child has vomited 2 or more times in the past 24 hours.

* Your child has diarrhea and/or they are not feeling well and need to use the bathroom frequently.

* Your child has a rash for which the cause is unknown; see your healthcare provider before sending them to school.

* Your child has an illness that prevents them from participating in routine activities.

Children who are ill must not attend the summer care program.  This includes the following symptoms:  fever, Influenza, diarrhea, Chicken Pox, Head Lice, an undiagnosed rash, inflamed eyes, severe cold or sore throat.

When a child becomes ill during the program, he/she will rest away from the other children for 20 minutes and the parents will be contacted for pick up.  If parents cannot be reached, the emergency contacts will be notified.

If a child is diagnosed with an infectious disease such as COVID, chicken pox, head lice, pink eye, strep throat, whooping cough, etc. you must contact the St. Edward Summer Program staff immediately.

St. Edward Summer Program staff cannot legally distribute medication (prescription or over the counter) to any student without written parental permission.  A Request to Administer Medication is required in every case.  This form can be found at the end of this document, in RenWeb, or by contacting the school.

All medication must be in the original container, with the correct dosing instruments,  with instructions for administering and your child’s name displayed on the container.

ACCIDENTS

Any minor injury such as cuts or bumps will be communicated to parents upon pick up.

If a moderate injury occurs where a child needs medical attention (such as sprains or deep cuts), the staff will contact parents or emergency contacts immediately so you may arrange medical attention.

In an emergency, the staff will immediately contact 911 and then the parent or emergency contact information.  Once the 911 team assesses the situation, they determine what action will be taken.  St. Edward Summer Program is not responsible for medical charges.  

Child Guidance Procedures

Promoting Safety and Self-Esteem for all Students

To maintain a safe and nurturing environment for all children, the St. Edward Summer Program will not tolerate any form of behavior that hurts or intends to hurt others physically, verbally, or emotionally.  All children deserve a positive environment that helps them feel secure, fosters self-esteem, and provides opportunities to develop new skills.  Respect must be shown to all members of the program including staff and students.

Process for Promoting Success in All Children

St. Edward Summer Program views discipline as an opportunity to teach children social skills needed to function in society and daily life.  St. Edward Summer Program staff encourages appropriate behavior through clear guidelines and choices, consistent consequences, and positive staff interaction.  When working with the St. Edward Summer Program, staff will remain proactive, guiding children in making appropriate choices and redirecting them as needed.

Discipline Notice and Plans for Success

The St. Edward Summer Program staff will handle discipline.  The expectations for behavior will be explained to the children regularly.  The first time an occurrence happens there will be a warning given to the student and a specified time frame to make a necessary change.  If that doesn’t work the parents will be contacted on the second occurrence for a meeting with the St. Edward Summer Program director, student, and parents.  A third offense may result in a one-month suspension.  After one month, if the occurrences continue, the student will be suspended for the remainder of the program season.  These procedures need to be followed to provide a safe and positive atmosphere for the remainder of the children in the program.  

The school will communicate with parents or guardians about their child’s behavior and inform them of any concerns relating to the physical, emotional, social, and spiritual health, safety, or welfare of their child, except when prohibited by law enforcement or a social service agency.

The consciences of students and employees will be respected with the assurance of their inviolable right to the acknowledgment that God has created each person as a unity of body and soul, male or female, and that God-designed sexual expression and behavior must be exclusively oriented to love and life in marriage between one man and one woman.

All school policies, procedures, resources, employee training, and assistance given to families are intended to be consistent with the Church's teaching on the dignity of the human person, including human sexuality.  The policy statements included herein are to be reflective of a commitment to a culture of transparency and understanding of Church teachings related to school operations in regards to human sexuality and sexual identity.

Attendance Procedures

Sign In/Out

When your child arrives, he/she needs to sign in with the St. Edward Summer Program staff.  This ensures that all children who are scheduled to be at the program have arrived safely.

When parents pick up their children, they must sign their children out with St. Edward Summer Program staff.  Only parents and those individuals authorized on the Emergency Contact form or the Contract may pick up children from the St. Edward Summer Program.  When registering your child, please name all persons authorized to pick up your child from the program.  

Written statements will not be accepted from the child unless the parent has called the director and discussed it ahead of time.  

Emergency Information

In addition to parents, please include at least two people with local residence/phone numbers on the emergency form who can pick up your child in case of an emergency.  This information is for individuals who can pick up your child promptly in case of emergencies.  Out-of-town relatives should not be included on this form. Also, you must list all persons who can remove your child from summer care, thus out-of-town relatives/friends can be included here.  It is crucial to keep the St. Edward Summer Program staff informed of any changes to your Emergency and Pick Up information.  

Guests/Friends

Any student not enrolled in the summer program will not be able to attend any session of the program.

Insurance

The program carries school liability insurance. Families are required to provide their medical insurance coverage.  

Calendar of Events

A calendar of events will be available to all enrolled families each week.    

Food

Two snacks and a noon meal will be provided each day.  Children may not bring anything other than what is provided unless they bring enough for all participants.  

Student Disability Nondiscrimination

Following Section 504 of the Rehabilitation Act of 1973, St. Edward School does not discriminate based on disability.

Student Sex Nondiscrimination

Students are protected from discrimination based on sex under Title IX of the Education Amendments of 1972 and the Minnesota Human Rights Act. St. Edward School provides equal educational opportunity for all students and does not unlawfully discriminate based on sex.  No student will be excluded from participation in, denied the benefits of, or subjected to discrimination under any educational program or activity operated by the school based on sex.

NOTE:  Prescription medication may be given for two days without a signed physician order if it is brought to school in a properly labeled container from the pharmacy or physician.  After two days, the medication will NOT be administered at school.
